The staff was very helpful in getting us up and rolling. We needed enterprise-level solutions but were getting priced out of our previous main platform. Cognito turned out to be a much more affordable solution. **What do you dislike about Cognito Forms?** While the platform is easy to use, sometimes you do have to hunt and peck to find what you are looking for. The how-to guides are robust, but one or two videos might be needed, especially when it comes to sending responses automatically to other people. Also, there are two missing functions that I'm wishing for more than anything: the ability to import an electronic form into the platform (like Jotform does), and the ability to send responses to Google Sheets without having to use an intermediary like Zapier. **What problems is Cognito Forms solving and how is that benefiting you?** Cognito is providing a more affordable solution to our form-building needs. We use it to administer employee surveys as well as to collect data, pictures and other forms. Its compatibility with SharePoint is another great feature as it allows us to take the data we collect and use it in other ways or to create work flows that to support follow up and other processes. **What do you dislike about Cognito Forms?** It would be great to be able to have a form have a more dynamic function, such as the ability to pull information into a form and use it as a look-up form for other forms. We currently have several look-up forms, and those are helpful, but what is lacking is the ability to have it extract data from another source to be a lookup resource. **What problems is Cognito Forms solving and how is that benefiting you?** It allows us to collect and house data for multiple purposes and it's very user friendly for the people building forms and the person filling them out. The fact that a pdf can be generated is a bonus. As there are many tools to collect information but most don't return the information to the person completing it. ### 3. I used it to create HIPPA-compliant patient intake forms and test-results forms. The ability to create custom PDFs exactly the way I want them is incredible and all the validation and controls inside the form is great. I found other tools could not match the level of professionalism of Cognito forms. **What do you dislike about Cognito Forms?** I wish Cognito Forms had a built-in scheduling function so I did not need to interface it with Calendly or some other scheduler. I also wish the HIPPA compliance came at a lower cost as it makes this too expensive for small, low traffic providers. Performance can be super slow too (this can be caused by several things, but I can't seem to prevent it even though I try to avoid the issues that cause slowness.) I have times I have to bring up Cognito forms and walk away for an hour or more before data can be seen (not a problem for people filling out forms - just for those looking at data). **What problems is Cognito Forms solving and how is that benefiting you?** Allows pre-registration for medical tests and services so patient doesn't have to do this on-site. Additionally, it is really straight forward to teach other people how to use the forms because of how easy it is to use. **What do you dislike about Cognito Forms?** I don't like how currency and the date format are tied to the country that the form is designed for. I am located in the US and I want to use 24 hour time, but I'm unable to unless I select a country like the UK, which also switches me over to dd/mm/yy which my team doesn't use. **What problems is Cognito Forms solving and how is that benefiting you?** We need to have people on our team fill out forms for overtime and what not, and this gives a great digital way of doing so. The templates they offer are great starting points that can then be customized based on our specific needs, and we can continue to tweak them as needed to streamline our workflow further. Without the luxury of a custom HRIS to manage our HR service request forms, we've leveraged Cognito to create our own service request process to offer more efficient and effective HR service delivery to our stakeholders. We've used Cognito for performance management, online recruiting, HR service requests, employee engagement surveys, onboarding/offboarding forms, and event planning. With the new workflow/roles features, we've been able to leverage Cognito in even more HR processes that require approvals/manager input, and we're looking forward to expanding the range of HR activities even further. **What do you dislike about Cognito Forms?** There are some quirks that we've learned to work around, but generally, there's nothing we actively dislike. It would be wonderful to have more robust tracking/auditing details (this is a new feature that was just released recently, so I'm sure there are plans to build it out further in the future) and to be able to set automated reminders/emails based on certain triggers/actions. The conditional logic wizard has improved significantly since we first started using Cognito in 2020, but there is still room for improvement. It would be helpful to be able to combine conditional logic with the custom roles, so we could simultaneously set certain forms/fields to be accessible by specific roles AND under specific conditions rather than either or. **What problems is Cognito Forms solving and how is that benefiting you?** Since we can't actively leverage an enterprise-level HRIS to manage many of our HR processes, Cognito has allowed us the flexibility to build out the forms/processes/workflows we need ourselves. In some ways, it gives us even more control over the process than a traditional HRIS, which requires complicated configuration and implementation by a third party. We don't have to rely on any customer service or implementation team to configure the workflows for us because the system is simple enough for us to do it ourselves. This has saved us countless man-hours and additional costs that would've been sunk into a traditional HRIS implementation. ### 6. Extremely easy to build customized forms with different questions and sections showing to the relevant responders based on answers to previous questions and sections 2. It is very easy to connect it to other apps, and it USED TO BE very easy to set up different notification emails and actions based on people"s responses, but now this is gone, you need to start creating some complex workflows instead :( So I would say I no longer like them, but I am stuck using them as we invested a lot of hours building our contact forms back when it was easy to use them. **What do you dislike about Cognito Forms?** Ever after they launched and FORCED all existing users to use their workflows, things became very hard to set up, and this WAS their most significant advantage ... Furthermore, the automatic notifications we spent hours on building suddenly stopped sending the relevant email notifications Upon asking to opt-out from "workflows" support tells you that this is no longer possible, and you end up re-building your forms and spending an indefinite amount of time on training your employees how to note use, not build the forms. Things that used to be done with 1 click (ex. We completely understand that the way certain things work in Workflow can take some getting used to, but we believe that the abilities that Workflow automation adds will be well worth it! Workflow took the place of Submission Settings since Workflow actions will be used when an entry is submitted or updated. And because of this, all organizations were moved to include the new feature. Since emails will no longer trigger when a status is changed, an Action button will need to be used instead. You can create one specifically for this purpose that changes the status of the entry to the desired status and set the Allow Action to Internal. This would only allow this action from the Entries page or if someone had a Workflow Sharing Link for the "Internal" role. It may actually be that your workflow can be simplified by sending a workflow share link to someone and they can make a change to the entry directly from the link without having to log in to Cognito Forms. IN no uncertain terms, CognitoForms has become an integral part of our company's digital transformation efforts, enabling capabilities and automation of business processes that we had no idea we could solve so easily. **What do you dislike about Cognito Forms?** Not much, frankly, 1) We'd like to see more in-app control over form object styling and a few more data access APIs to make data maintenance in the app a bit easier. **What problems is Cognito Forms solving and how is that benefiting you?** A myriad of internal processes, from employee Hiring and onboarding workflows to complex multipage rental/lease applications. Frankly, the uses we find for CognitoForms expand almost daily into every corner of our business. Build-in identifier questions so that you can maintain one data set for the survey over time. I like that I can send a form link to clients, then they can fill out and submit their info, then I get an email notification and can easily login to view what they submitted. It's much easier for me, compared to collecting client info over the phone, or having them fill out a paper form to scan (how others in my industry collect info!). **What do you dislike about Cognito Forms?** I dislike having to setup my forms. The interface is a bit cumbersome, so it takes more time than I think it should. I do like that I can copy existing forms to use as a template for another one, but if I go to delete a section on the new form, I get a notification that deleting that section will delete previously collected data -- and it's unclear to me whether that applies to the original form. So I err on the side of caution; instead of deleting the section, I just hide it -- which is a nice feature but makes my form look cluttered until I preview. **Recommendations to others considering Cognito Forms:** When initially setting up your forms, put in plenty of time making sure you're happy with it, before collecting info. Once some info is collected, I find making changes to existing forms to become a bit confusing and cluttered on the back-end. We use online forms infrequently but often enough that we need an outside host. Cognito's forms are professional, functional, and have a variety of included functions like long-form answer, short-form answer, required questions, multiple-choice checkboxes, and drop-down menu choices. It also has more complex if-then fields that allow a customized form depending on what the user selects as they're filling out the form. Form building is fairly easy and once a form is completed, generates a downloadable pdf. It's easy to tell how much progress is made on incomplete forms and to organize your forms into subfolders on the main page. It integrates well with our company website and so far, we have not had any technical issues with form submission or use. **What do you dislike about Cognito Forms?** Cognito is still growing its form functionality, which means that more established online form applications have some edge over it. We switched from a more expensive service simply because they did not have a lower volume option that better fit our needs. We were priced out of a company that had previously allowed us a payment plan for forms on a per-form basis, then switched to a subscription service which we did not even come close to meeting the monthly volume. **Recommendations to others considering Cognito Forms:** For users considering Cognito, the best is yet to come. It is constantly rolling out new features that enhance the user experience. When I've suggested features, its customer service team responds quickly (and personally - no form responses!) with information about when that particular feature will roll out. Ease of setting up forms is probably on par with Excel in the sense that if you have the technical competence to input and use formulas in Excel, you probably have the skill set necessary to navigate Cognito's formbuilding. You don't need any knowledge of html or other basic website building. Cognito also offers helpful video tutorials about their software and are easily reached via customer service.
