"Task & Job Management That Keeps Me Organised and On Track"
4.5/5
What do you like best about Flowlu?

I really like the task management feature because it shows me which tasks are overdue and how much time I have left to complete others. It helps me stay organised and make sure I get everything done on time. The job management feature is just as useful, especially when you take the time to set up a template that you can use for future jobs. It makes managing and completing jobs much easier and more efficient. Review collected by and hosted on G2.com.

What do you dislike about Flowlu?

Flowlu calculates the hit rate based on the number of quotes won, not the total value of those quotes. This means it shows how many quotes are successful, but not how much of the total quoted value is being won. It would be useful to have both options available. "Flexible, Customizable Project Tracking That Keeps Our Design Team Aligned"
4/5
What do you like best about Flowlu?

As a Design Operation & Project Delivery Coordinator at a mid-sized design agency in Kansas City, my favorite thing about Flowlu is how it blends flexible project tracking, customizable data fields, and centralized document management all in one lightweight platform. Our team juggles dozens of active client design projects, freelance vendor relationships, and constant creative asset revisions. Before Flowlu, our project data, approval statuses, and freelance contract terms were spread across separate spreadsheets, cloud folders, and chat threads. It was tough to keep our creative, production, and account teams aligned, and tracking asset versions and project phases was always messy.

Flowlu’s fully customizable fields and bulk CSV import functionality have completely streamlined our day-to-day operations. I regularly onboard new client projects and freelance designers in bulk, and Flowlu lets me upload entire project lists and vendor rosters via CSV in minutes. I built custom fields tailored specifically for our design workflows, including project phase tracking, client approval status, creative deliverable version numbers, freelance rate tiers, and contract expiration dates.

A perfect real example is our recent brand refresh campaign for a regional retail client. The project had multiple phases — mood board development, logo iterations, brand guideline drafts, and final file handoff — with tons of versioned assets and external freelance support. I set up a dedicated Flowlu project workspace with our custom phase fields and logged every deliverable version, client feedback status, and freelance task milestone. Our creative team could instantly see which design iterations were client-approved, which files were pending revisions, and which freelance tasks were due. No more digging through scattered Google Drive folders or long email threads to verify project status.

I also love that Flowlu ties task tracking, client communication logs, and document storage directly to each project. All approved assets, signed vendor contracts, and client feedback records live in one centralized spot. This makes my monthly cross-department operational reporting way faster. I can quickly pull organized project data to compile team performance metrics and project delivery timelines without manually compiling data from multiple tools.

Overall, Flowlu’s adaptability to our unique design studio workflows is its biggest strength. It eliminated our disjointed project management system, cut down hours of manual data entry and version tracking, and keeps our entire creative team aligned on project delivery deadlines and client expectations. What do you dislike about Flowlu?

The biggest issue is its file handling and asset versioning support. We constantly upload design source files, brand mockups, and revised deliverables for client review. When our creative team uploads multiple iterations of the same design asset into Flowlu, there’s no built-in way to auto-tag versions or compare previous file revisions side by side. A few weeks back, we were wrapping up a brand identity project and had seven different logo mockup versions uploaded. Our account manager accidentally pulled up an older, unapproved file to share with the client because Flowlu didn’t clearly highlight the latest approved version. We had to add manual naming rules and extra notes on every upload, which creates more work for our busy creative team.

Custom reporting is another weak spot. I rely on reports to put together our monthly cross-department operational reviews. I set up custom fields in Flowlu for project phases, approval status, and freelance contract terms, but the report builder doesn’t let me combine all those fields smoothly. I tried to build a report showing active projects grouped by client approval stage and vendor spend, but the filters kept dropping some of our custom field data. I ended up exporting all the raw data to Excel and building the report manually, which ate up a big chunk of my month-end time.

The integrations are pretty limited too. Our team uses Figma for design work and Dropbox to store large source files. There’s no native Flowlu connection to sync Figma updates, and the Dropbox link setup only embeds basic file links, it won’t automatically pull updated asset versions. We tried a Zapier workaround, but it’s inconsistent and sometimes fails to push new task updates into Flowlu. Review collected by and hosted on G2.com.

"Flowlu’s Communication Feature Keeps Repair Orders Organized"
5/5
What do you like best about Flowlu?

I enjoy the communication feature in Flowlu under assistance needed and how it keeps each repair order in its own conversation. Review collected by and hosted on G2.com.

What do you dislike about Flowlu?

The only thing I can honestly say that I dislike about Flowlu is that after I answer something in the "Assistance Needed bucket" I would like to see it disappear from my to-do's. I do understand that for the program to work efficiently that it is probably not doable! Overall I like the program a lot. Review collected by and hosted on G2.com.

"Easy, Evolving CRM and Task Management—with Room to Improve Timesheets"
5/5
What do you like best about Flowlu?

I find Flowlu easy to use, and the task management screens are easy to use too. I like the linked tables and good reporting in the CRM, and being able to add tasks to person pages. I’ve used Flowlu for 8 years, and it has developed a lot, with new features always being developed. I also like assigning tasks to more than one person, recurring tasks, task templates, subtasks, and checklists. The setup was good, and the team supported us. Review collected by and hosted on G2.com.

What do you dislike about Flowlu?

I think the timesheet is good, but I expected more for reporting on EU projects. I need to define more custom fields to categorize time. Review collected by and hosted on G2.com.

"Organized, On-the-Go Lead Management with Powerful Automations"
5/5
What do you like best about Flowlu?

I like having everything in one organized place so I can refer back to clients, people I’ve spoken to, and people I need to speak to. I can access Flowlu wherever I am and share it with multiple team members so we can all work on it at once. It helps me keep track of clients, trialists, and people training with us while we’re on the move. I also like the automations, that it keeps track of things better, and that it’s a cleaner app. The initial setup was very easy. Review collected by and hosted on G2.com.

What do you dislike about Flowlu?

I think the features with duplicates could be a little better when it comes to deletion. Sometimes it’s hard to delete them, and it would be cool to have a few more categories to create. Review collected by and hosted on G2.com.

"All-in-One Event Management That Keeps Teams on Track"
4/5
What do you like best about Flowlu?

I use Flowlu to manage inquiries through the pipeline and events as projects. Templates help us deliver things consistently, and it cuts down the admin of setting things up and keeps us on track. I like that everyone can see what’s going on with each event. Having everything in one place works well for me, and I appreciate that Flowlu is constantly developing and improving, with good features coming out. I value the pipeline, projects, and invoicing, and the help centers are really good. Review collected by and hosted on G2.com.

What do you dislike about Flowlu?

I found it takes a while to onboard all the correct information, though the help centers are really good. Review collected by and hosted on G2.com.

"Connected, Fast CRM with Powerful Automation"
4.5/5
What do you like best about Flowlu?

I like that Flowlu connects everything and keeps my company information, meetings, pipelines, and tasks in one place. It’s fast and quite easy to use once I set it up. I love the MCP and that I can connect Claude to it, make automations, and see how leads are structured. It’s on another level compared to the CRM I used before, Zimplu. Review collected by and hosted on G2.com.

What do you dislike about Flowlu?

I’d like to connect multiple things to one event, like a company and an opportunity, or multiple companies. Review collected by and hosted on G2.com.

It's pretty intuitive and easy to use. We've created a workflow that helps us be on top of things and keep track of every stage of a project. In addition, we add attachments so every member of our team can find documents at any time. Review collected by and hosted on G2.com.

What do you dislike about Flowlu?

We haven't been able to add some features, there should be more variety in widgets we can add. Review collected by and hosted on G2.com.

"Unified Platform with Minor CSV Hiccups"
4/5
What do you like best about Flowlu?

I appreciate Flowlu's unified design that melds CRM sales pipeline, client project management, and basic financial overviews within a single workspace, which fits our small Los‑Angeles internet startup Westlight Digital Labs really well. It saves us from buying separate platforms for sales tracking and project delivery, which would otherwise drive up costs for our 32‑person team that has no dedicated in‑house IT staff. Once our sales team closes a deal, they can spin‑up a connected project right away, paste in scope notes, log estimated contract value, and hand‑off task assignments to our delivery team without ever switching out of Flowlu. We saw this value firsthand during our spring outreach push targeting regional B2B consulting prospects we sourced from Nimble. Sales reps logged call takeaways, shifted deal stages, and jotted down each client’s unique requests directly on their opportunity records. When deals moved to won, our delivery team could open those same records and read through full negotiation history, budget boundaries and custom requirements immediately. On one specific instance, we were onboarding a local marketing agency client; delivery reviewed the notes inside Flowlu and caught a custom reporting add‑on the sales team had agreed upon, before drafting project timelines. This kept us from delivering work that did not match what the client had expected. Most of our team members are not technically inclined, and they learned the core workflows within a couple of days with no lengthy formal training. Custom dashboard setup can feel clunky at times, which is a minor annoyance. Even so, the biggest win is tearing down data silos between sales and delivery. Keeping deal context and live client work together inside one cost‑effective tool works great for our lean day‑to‑day operations. Review collected by and hosted on G2.com.

What do you dislike about Flowlu?

The role‑based permission controls in Flowlu create real headaches for our cross‑team workflows. Our goal was to let delivery staff read client deal background without being able to alter confidential sales pricing and financial figures. Unfortunately the pre‑built permission sets are very limited, and crafting finely‑tuned custom roles is far from intuitive. We keep getting stuck with two bad options: either grant delivery broad edit permissions, or block them entirely from valuable sales context. There are no field‑level visibility toggles, so we cannot hide only sensitive columns while keeping other customer information visible. This created a real‑world mishap earlier this year. While onboarding a new digital service client, I temporarily gave delivery expanded access so they could resolve an urgent project task. One team member unintentionally edited the negotiated pricing field on that opportunity record. I only spotted the wrong pricing when I did my daily data spot‑check and had to restore accurate values from our CSV backup files. Beyond that, there is no activity audit log tracking permission adjustments. When access glitches pop‑up for sales or delivery users, I cannot look back to see who modified permissions, what changed, or when it happened, which slows down troubleshooting. We are also unable to build hybrid custom‑role templates to mix‑and‑match access rights across different modules. We cannot create something like “full project edit rights plus read‑only CRM access with zero finance access”. This constantly forces us to compromise, choosing between proper data security or necessary cross‑team visibility for our growing list of B2B clients and prospects.
