Another thing I value in this software is its legal accounting and trust accounting capabilities. In addition, users can collaborate better, and administrative tasks become more efficient. **What do you dislike about CosmoLex?** A point of dislike regarding CosmoLex is that the program is rather cluttered since so much functionality exists within one system, making navigation through such functions as billing, accounting, and matter management quite difficult. Another point of dislike is that certain processes may involve several clicks, which slows down routine activities. Reporting functionality should also be customized more, as sometimes the view of reports does not fit specific needs of certain users. Finally, although the program is highly functional, integration with other tools could be much smoother. I can reconcile all of my bank statements, including my trust account, within about two minutes per account because it's easy, straightforward, and just really well thought out. Also, using CosmoLex allowed me to replace two programs I was using before with one program in the cloud. The initial setup was a piece of cake. **What do you dislike about CosmoLex?** The only issues that I have with CosmoLex is that sometimes there is only a particular way to execute a certain transaction. I also find it very reasonable in terms of price point. Being able to upload documents directly to their portal helps as well, and it further cuts down on those calls. **What do you dislike about CosmoLex?** On the summary page, I wish it included more details, such as the client’s date of birth and driver’s license number. The portal gives them an easy way to upload their documents, and then Cosmolex notifies us when new information is available. The setup was pretty easy when they first launched, and even though it has more features now, there's a supportive team available. No separate accounting software is necessary so everything from time, to billing to collection integrates seamlessly. It is a very customizable and flexible program that can accommodate different needs. Also, the software forces good Trust accounting procedures. It is hard to run afoul of the Bar Trust Accounting rules using the software. I love the integration with LawPay. This makes collection much easier. **What do you dislike about CosmoLex?** In recent years, CosmoLex has been sold at least twice. The newest corporate owner is not nearly as responsive and quick with support questions. CosmoLex has gone the way of most successful small businesses, they have been sold to large companies that increase the price and decrease the customer service. Also, it is very annoying that they are constantly trying to push/sell new products to you. The program will "freeze" up from time to time and you have to either reload the page or sometimes close it down. It will at times get very slow, but this doesn't happen with regularity. **Recommendations to others considering CosmoLex:** I have been a satisfied Cosmolex user since 2016. I am very pleased and happy this product was available to us as a new law firm starting from scratch. **What problems is CosmoLex solving and how is that benefiting you?** We were a newly launched law firm when we first started with CosmoLex. CosmoLex offered a more user friendly interface and a less expensive option to the law firm management program we had previously used at the larger firm. It keeps our firm streamlined. We spend way less time using CosmoLex than we would with using billing software plus something like QuickBooks. It also provides safety nets for the trust accounting piece. The Customer Support is very good and much better than other Legal Accounting Software that I have used. My bookkeeper uses CosmoLex to do my accounting and there have been no issues with that. He actually recommended CosmoLex to me. I use CosmoLex daily in my practice primarily for docketing and billing purposes and have had no significant issues. There is a small learning curve when you switch to the software but it is easy to master. **What do you dislike about CosmoLex?** I only use CosmoLex for docketing, billing, and bookkeeping purposes so I can't comment on the other tools available. I really like the built-in reports because they are very easy to access and understand, making firm reviews much easier since all of the information is in the same place. The matter creation feature is beneficial because it keeps all the information in one place. I also appreciate the conflict checks, which are done in one quick step rather than going through individual files to see if there is a conflict. **What do you dislike about CosmoLex?** I find that more accounting reports would be nice, like billing summaries and general ledgers for individual files. Also, a more accurate time keeper reporting would be beneficial. A more accurate unbilled balance would also be nice—sometimes if there are a lot of dockets/disbursements in a file, the unbilled balance at the top of the matter will give a number, but when you go to generate the invoice, the number is different. It doesn't happen often, but it seems the unbilled balance calculates HST on the total while invoices calculate HST on individual lines, which sometimes gives different amounts. **What problems is CosmoLex solving and how is that benefiting you?** CosmoLex lets us review files easily, knowing what happened and what's needed next. We paid Cosmolex to transfer our data and books from PC Law. We have a bookkeeper and an accounting firm since the inception of our firm. There were no complaints from Cosmolex when transferring our data. After the first tax year, our accountant noticed serious deficiencies in the data and they had to spend considerable time rebuilding our books which cost us an extra $4000 in accounting fees. We complained to Cosmolex but took no responsibility and said our books were problematic to begin with and they would not compensate us. We switched to Clio thereafter. **What do you dislike about CosmoLex?** Clio and QuickBooks are better software. **What problems is CosmoLex solving and how is that benefiting you?** With PC Law we had to remote into the PC that it was installed on. Our bookkeeper had to share access with us. It does some things great (not limited to 20 timecards per page on the timesheet, can bulk select multiple time entries in a matter if you need to delete a bunch, hovering over an event in the calendar gives you the details) but some things definitely need improvement. **What do you dislike about CosmoLex?** I've been using their beta "NextGen" as much as possible lately. It does some things great but some things definitely need improvement. Customization of the fields doesn't work in some tabs. Trying to update timecards constantly pops up shortcuts for adding events or something else, probably because there's no spinning wheel now to tell me it's not ready for me to start typing in a field. Changing the billing rate level on a time entry sometimes doesn't work unless you stop the time entry first. Trying to connect with support seems to take absolutely forever unless you're just having a quick chat. Great product that Lost A Lot of Steam in Amalgamation with ProfitSolv **Rating:** 3.0/5.0 stars **Reviewed by:** Karen B. | Sole Practitioner and Owner, Small-Business (50 or fewer emp.) **Reviewed Date:** August 08, 2025 **What do you like best about CosmoLex?** I sue this software everyday often for 14-16 hours per day during busy seasons. The most important feature for me is the built in accounting. It reduces time spent and prevents errors. The next important feature is the document generator. However, it has limitations as it can only accept a limited number of fields into the quick insert feature and so my practice as to download the extensive word document to obtain the coding for fields. It has integrated well with microsoft word for the document generator and generally easy to create documents. I do like CosmoLex from a well rounded perspective. It's UI is aesthetically easy on the eye and can be customized for better effectiveness. There are training sessions available to join, which are actually helpful. Transition to CosmoLex was easy enough and at the time, prior to ProfitSolv, there was a great amount of good tech support to assist. **What do you dislike about CosmoLex?** My number one complaint about CosmoLex is customer service and tech support. Prior to the amalgamation with ProfitSolv I would have given CosmoLex a 10/10 for customer service. Now it is a 6/10 at best. Tech support is slow and often hard to reach as various methods to reach them have not worked properly. When you do hear from them it is usually an email with a set of instructions that if I am lucky work. There is no personal touch. Prior to ProfitSolv I knew my tech support agents and they were very knowledgeable and exceptionally responsive - that is now gone. Additionally, being a Canadian customer my annual fee is subject to the fluctuations in the CAD/USD. Prior to Profit Solve, I could call my business contact and ask them to process my next annual renewal when the exchange rate was good and they did it promptly. Now I have to wait strictly for the annual renewal date. The use of CosmoLex pay (integrated online payments) would be a great feature except for the cost - it is quite pricey compared to other Canadian non-integrated payment services. In short, CosmoLex under ProfitSolv no longer cares about the customer, they are just another big corporation. So unfortunate. **What problems is CosmoLex solving and how is that benefiting you?** The new Next Gen CosmoLex is still clunky and limits how much data is available on a screen. From the current version to Next Gen you loose at least 50% of the data that is available per screen - which is significant waste of time as you have to continually navigate screens to get the same information that used to be all on one screen. The UI is awful on Next Gen. It is not clear how they intend to address this issue. ### 18. Since 2017 the service has steadily eroded especially in the last few years where they keep hiking up the price every few months by $10. For me the final straw is their billing system where they locked my account due to alleged non payments - even though the last three payments were withdrawn fine. I'm going to be moving away from something. I suggest you stay away unless you also want to be held ransom due to their billing issues. Go somewhere else. **What problems is CosmoLex solving and how is that benefiting you?** it was solving practice management issues. It no longer does. Solely focused on making more money without providing additional vlaue. ### 19. Bank Reconciliations are so easy and I like the layout. I like that I can create a deposit slip. I like the accounts payable and being able to save recurring bills. I like that you can search the program so well for things; check amounts, client names, etc. I like the whole printing check layout. I like that I can still work in Cosmolex while my report is generated. **What do you dislike about CosmoLex?** I dislike the random glitches... The client file is all balanced but the generated report says an outstanding $0.01 When posting accounts there's a $0.01 glitch, so sometimes we have to do a discount of $0.01 Sometimes it is hard to delete a duplicate client. It'll say "Something went wrong" and then I can't delete that duplicate client at all. The same thing happens sometimes to delete a Chart of Accounts. I wish there was a way to avoid duplicates or amalgamate clients together. I wish when you're in all matters and working on an individual file when you go back... I wish it would go back and be on the file you're working on. For example, I'm posting an account, then depositing money but oops there's no trust account attached to the file. I have to go back to All Matters and search the file I was working on. **Recommendations to others considering CosmoLex:** Just try it out, I'm sure you're going to like it. **What problems is CosmoLex solving and how is that benefiting you?** I had a really big problem that kept happening to me when I was generating some reports on random files, however, the engineers fixed it. It does not allow an administrative assistant to see appointments made by others. The program forces administrative assistants to work for it rather than the program working for the administrative assistants. It is slow and convoluted - there shouldn't be 3 different locations I have to remember to enter a simple disbursement based on what type of disbursement it is. Constantly having to edit profiles because the system rearranges names to its liking, not as we need them. My god, the system is SLOW, CLUNKY, and FRUSTRATING. **What problems is CosmoLex solving and how is that benefiting you?** None, when first installed, help was somewhat good, but as time passed, assistance became less and less useful. Staff are helpful but never seem to grasp what isn't working. When the energy is expended to push a solution, the response is SLOW. My lawyer has several different rates so having the ability to set different values for her makes billing a lot easier. I appreciate the ability to sort e-mails based on the files like I can in Outlook and generating reports is very easy and straightforward. The various filters make finding specific entries easy and entering accounting information is quick and easy. I love the dashboard and tasks as they both help me stay on top of overdue invoices and upcoming file work. **What do you dislike about CosmoLex?** Editing timesheets and bills is frustrating because if I catch a typo in the description and try to change the entry in a bill it rejects saying I cannot change the GST amount even though the description has nothing to do with the GST. I have to remove the entry from the invoice, save it, go back and edit the entry, then put it back in the invoice. The use of HTML is very unfriendly to people unfamiliar with it and I have had to save several documents with source codes based on what invoice I am generating and often have to edit the invoice in PDF anyway because the generated invoice cuts off part of the date or there are too many unnecessary spaces. We frequently get e-mails from past clients after the file is closed and it is frustrating that I cannot tag e-mails into closed files without opening them again. **What problems is CosmoLex solving and how is that benefiting you?** Cosmolex help desk is always extremely helpful and willing to walk you through any questions I have. The task management system/workflows are unuseable for us. We have to utilize another program, Asana, for that purpose. The use of a separate program wouldn't be the end of the world if there was at least a good integration but that doesn't exist either. The document sharing to the client portal is tedious. My questions have always been answered quickly through the live chat function. I also really love the documents tab. I upload my trial documents into the folders and can easily access them during trial from my iPad, so I don't need to print of hundreds of pages of documents. **What do you dislike about CosmoLex?** I would like to see a cumulative billable hours feature within each client's matter. The unpaid, unbilled, operating and trust fund totals are helpful, but when I'm doing a file that has a maximum number of billable hours (for example, a Legal Aid Alberta file, which always comes with a maximum number of hours per certificate), it would help to know when I am getting close to that number (without having to generate an invoice) so I know if I need to request authorization for more hours. The reports are also very comprehensive but sometimes I struggle with figuring out exactly what report meets the criteria I am trying to look at so the reports are not quite as user friendly to learn quickly as the rest of the software and more "basic" features. **Recommendations to others considering CosmoLex:** Do the onboarding training and take the Cosmolex training (basic and advanced) if you have time. **What problems is CosmoLex solving and how is that benefiting you?** Cosmolex has made timetracking, invoicing, and keeping track of paid invoices so much more efficient. It has very likely increased my billings because I have it open all the time and I immediately input my time for each matter I'm working on, whether it's for 0.1 hours or for a full day trial. Most are silly little things like I wish they had more colors for the calendar or wish the software emailed you when a task has been assigned to you, etc. Most are things that I think will eventually get added or fixed in future updates. A bigger thing that I dislike is that you can not have extra timekeepers for independent contractors or when you have an employee leave and a new one start you have to deactivate the old employee but then will need to reactivate them if you need to edit any of their invoice entries. This is not impossible to work with but it is a pain. I also wish the system had more reports/better reports to help track attorney billable hours and collections in terms of yearly reviews, etc. I also wish there was a better explanation for each report so that I could read a help article or watch a help video on each report that tells me what it does and how the calculations are created etc. specifically when it comes to attorney collections/billable hours. **What problems is CosmoLex solving and how is that benefiting you?** It solves a lot of my accounting problems. The migration process was explained well at first instance and the support throughout that process was exceptional. There was a misunderstanding on billing which was quickly and effectively dealt with. Initial and ongoing training is fantastic, leaving nothing wanting. The ongoing access to support is the major game-changer from previous practice management software/systems we have used. I have questions answered within minutes by explanation or demonstration. Issues are resolved either immediately or a ticket is opened with ongoing updates and communication on how the issue is being worked on or resolved. **What do you dislike about CosmoLex?** Inability to blend fee/tax payments. This is a bit of an issue for me as I often write-off the last bit of an account which could be up to a couple hundred dollars at times so the tax implications of not being able to have payments on account be registered as a tax/fee payment blend is an issue. I've submitted a request for this to be an option and am working with my accountant to try to figure out how best to deal with this to ensure my Federal and Provincial tax payable are accurate but because I'm also new and learning the system that's tricky for me. I've asked for assistance and was simply told there is nothing I can do - no blending of payments by default and no option to manually break down an incoming payment on account to the components. Would really love some movement on this issue which is my only issue/concern with the software at all. **What problems is CosmoLex solving and how is that benefiting you?** I'm finding more time in the day using this program. I can invoice, collect payments, and reconcile accounts so much faster. The amount of options in the search feature is also very useful and powerful. **What do you dislike about CosmoLex?** Some features don't translate for Canadian users, such as automatic bank transactions being uploaded to CosmoLex. The invoice templates are also very finicky, and I find it difficult to format them to my liking. I like how our in house accountant is able to easily speak with an employee of Cosmolex whenever someone makes a mistake in time entering. Cosmolex is good because it allows multiple personnel who bill to be listed- there is not a maximum which is nice since there are paralegals. I like how there is an option for us to correspond with the clients within Cosmolex even though our firm does not utilize it. **What do you dislike about CosmoLex?** That it does not show when a payment was made on invoices if there is a leftover balance. Basically, I wish the invoices would carry over without having to make multiple ones. I do not like how the invoicing does not send a reminder to either the firm or the client to let them know they have overdue invoices. I think this is something that should be an option if the certain firm wanted it. I may not be using it properly but I have not found a workaround here. It would be wonderful as well to have a kind of guide for all of the tools that managers can use. I've found the accounting system to be better than any other software. **What do you dislike about CosmoLex?** There are a lot of columns in the basic view that cannot be removed/edited (so mandatory columns) as a solo, for example, I do not need to know that I am the matter owner for each item (that's a given). We wanted a software system that integrated the accounting along with our calendar and billing software. Cosmolex fills this gap nicely. It also reminds me to bill for calendared events and for tasks that might otherwise get overlooked. I believe that CosmoLex has saved us money in the long run. There haven't been nearly as many bugs as we encountered with PCLAW and it is a very stable platform. We also like the integration of LawPay and the ease in which clients can pay their invoices that have outstanding balances or to add money to their retainer when needed. I have enjoyed the ease in which billing can be performed, as I have started billing for all work performed each week. This task now takes less than 15 minutes, and it allows clients to stay informed of everything that has occurred in their matter as well as the current status of their retainer balance. **What do you dislike about CosmoLex?** I would like some items in the user interface to be more intuitive. The interface could less cumbersome. There are several features that I believe should be included, like the ability to search the calendar for specific names or to be included in the conflict search. I would also like the ability to easily send a blanket email to all active clients. But, most of these issues are minor and can be worked around. I believe that there should be a universal search box that you could search for any name and it would provide a list of everywhere that name has been used within the system. I would like to be able to have a tab within each Contact screen, that list every matter that the Contact has been associated in the past. All of these seem to be simple features to add, that I have requested that have not been added at this point, to my knowledge. **What problems is CosmoLex solving and how is that benefiting you?** We find customer billing to be far easier. Also, the fee finder has been helpful in making sure that I have billed for all time spent in the case. While using clio, you have to have another accounting software. I used quickbooks. However, it is painful sometimes, as sometimes Clio and QuickBooks do not talk with each other and sometimes they talk too much means Clio starts to send entries twice. And then you have to spend hours to clear the accounting mess. Certainly, Clio is more advanced on the client management side. However, if you have an accounting issue, cosmolex says talk to QuickBooks and QuickBooks says that talk to cosmolex and you are stuck in limbo.
