Signature 365's pronouns field, at least at my organization, has to be set by people who have admin access, instead of it being something individuals can set. I think it is genuinely good that this field exists, but people who might want to select those themselves may not be comfortable reaching out to someone else to have it done. As an IT person, I find the web page of Signature 365 easy to use, and we rarely have any issues with it. It just works the way we need it to, making it a system you set up once and then allow marketing to update as needed, which is light touch and low maintenance. I also appreciate the flexibility Signature 365 offers by allowing us to add personal touches to signatures, catering to users who want custom titles or holidays while keeping it straightforward for those who prefer the standard format. The initial setup was really easy; we created a signature, cloned it, and made minor edits as needed. Regarding the sync time, the AD to Entra Sync process is not under our control, but it is possible to trigger an immediate sync from Entra to Signature 365 from the portal. It has an excellent price point compare to other solutions, especially when we talk about a software who have integration with office. I couldn't recommend more this software. It saves me a lot of time and lets both me and the IT team hand this work over to the Marketing team, which makes things easier for everyone. Before, we used a third-party tool that forced us to tweak the HTML whenever we wanted to move even the smallest gift or add a new image to the email signatures, which took us a lot of time. Since we started using this solution, we’ve recovered our investment through the time we save on these configurations. The possibility to assign different signatures through Active Directory groups helps us a lot when we have internal mobility, or when we need to separate external outsourcing, to prevent them from sending emails with our internal signature. Now our emails look more professional. Marketing can manage the gifts and corporate badges much more easily, and it also frees me up to focus on IT questions instead of constantly handling signature updates. On assigning signatures without Azure group management, we'd always recommend assigning rules based on group membership where possible, as this significantly reduces the overhead of managing individual users. If your IT setup makes Entra ID group management difficult, it may be worth a conversation with our support team, who can advise on the best approach for your environment. On template previewing; Signature 365 includes a preview window within the template designer, so this may be worth exploring if you haven't already. It's worth noting that true cross-client rendering preview, particularly for Outlook Classic which uses its own proprietary rendering engine, is a challenge the industry as a whole hasn't reliably solved, so any previewing tool will have its limitations in that regard. Example of custom company field i created is newsletter link that is in every signature and batch-changeable in 1 edit. - Knownledge base is very well managed and the guidelines are clear to follow, with many practical examples - Custom roles for IT Administrators + extra people to only view and manage parts of the tool are a thing. What do you dislike about Signature 365? - Rules have priority, a preview or simulation of what apply to users is a missing feature at the moment. When you have many rule, a missclick can commit an unwanted change. Be careful. - Campaigns have priority too, but with a button and not with drag and drop - The entire signature is in a table, a feature to add space before the signature (out of table) is missing at the moment - Does not support at the moment external images, so a new company logo cannot be read in the official website and can lead to a mismatch if not well coordinated Review collected by and hosted on G2.com. What problems is Signature 365 solving and how is that benefiting you? - No need anymore of an on-premise server as the previous product we were using, which load to scan Active Directory and provide the signature (classic HTM files) freeze usually the machine for a lot of time, and the sync between the agent and the server took about 2 hours. - Users machine does not need to have a local agent installed anymore, since the add-in is deployed directly into the M365 profile. - We didn't use before mobile signatures for lacking of funcionality of previous software, and now it's a reality and integrated in navite Outlook app and 3rd party with a specific "inject-signature" configuration. - Statistics of click-rate on banners are showing to stakeholders that social networks aren't the solution to everything and potential business can be exploited more Review collected by and hosted on G2.com. It's great to see the breadth of features you've been putting to use, and we're really pleased the product has made such a tangible difference compared to your previous on-premises setup. On your feedback points, the rule simulation feature is a fair observation, and something that our product team are considering. In the meantime, we'd recommend using the "Stop processing more rules" option if possible when building out rule sets, as this can help prevent unintended signature assignments. Our support team are always happy to help review rule configurations if needed. Drag-and-drop reordering is a reasonable improvement to this, and I've created an improvement request for our dev team. While Signature 365 doesn't allow references directly from an external URL, updating an image within the portal pushes the change across all signatures using the image, so keeping your logo consistent across the organisation is still a single update rather than many. Due to the way signatures are structured to ensure consistent rendering across Outlook versions, adding spacing outside of the signature block isn't currently possible, though this is something we may look at as part of our ongoing template designer improvements. Signature 365 makes it easy to manage signatures across the company. The web portal is straightforward to use, and the integration with Microsoft 365 means we don’t have to worry about creating users and groups. If you’re moving over from their on-premise product, Symprex Email Signature Manager, the migration wizard can upload signatures, campaigns, and rules. In my experience it worked really well and saved a lot of time during the migration process. The technical support was very responsive when I had a few queries about how the on-prem agent would interact with the O365 add-in, they also checked in periodically to make sure our testing was going well. The only limitation we’ve noticed is how long it can take for the Microsoft 365 Admin Center to deploy the integrated app, 'Signature 365 for Outlook,' to users. With Signature 365, we can set up a distribution group and link this to the signature manager. Simply adding a user to this group generates a signature, making the task quick and easy. I find Signature 365 to be user-friendly, as I don't need to spend a lot of time configuring or installing it. It works seamlessly, and I don't have to babysit the system. The transition and migration have been smooth, and although we're doing the migration little by little, it's working fine for us right now. The product integrates well with Microsoft 365, and I don't have to install any client or agent, just enable Signature 365 for users. We haven't encountered any problems so far; it has been good for us. The support team, especially Jamie, is very helpful and knowledgeable, making the setup straightforward and easy.
