"Structured Contact Management Beyond Spreadsheets"
4/5
What do you like best about MaxTrackIt?

What I value most about MaxTrackIt is how it brings stable structure to all our prospect and client contact data, getting us away from the error‑prone shared spreadsheets we used to run our small design studio. Before we switched over, every website inquiry, portfolio download lead and event‑collected contact lived inside a shared Google Sheet. That setup blew up on us during a brand promotion campaign, when an intern accidentally overwrote whole columns of tag data. We lost all our audience labels, I sent out mismatched marketing emails and got confused replies from multiple prospects. That stressful incident made me realize how dangerous spreadsheets are for email‑marketing preparation. Inside MaxTrackIt, I can quickly assign custom tags for service interests such as logo design, full brand identity, print collateral and web UI work, alongside project‑stage tags for new inquiry, quoting, active work and finished client. When I’m getting ready for newsletters or limited‑time promotional sends, I filter contacts right within the platform. I can split cold leads, ongoing project clients and past completed‑project customers, so my email layout, copy and offers fit exactly what each group cares about. I can also pull up each contact’s short activity history, to check whether they downloaded our design samples or submitted a quote request in the past. The interface is approachable enough for our junior project coordinators. They can look up lead backgrounds and add short notes without breaking or overwriting existing contact records, something we constantly worried about with spreadsheets. Even though I still need to export CSV lists to our email tool Omnisend, MaxTrackIt gives me consistent, repeatable audience segmentation that keeps my email‑marketing campaigns on track and prevents those costly audience‑mix‑up mistakes we experienced before. What do you dislike about MaxTrackIt?

While MaxTrackIt does a solid job organizing our design‑studio leads, its form‑import functionality is really clunky and creates extra manual work for my email‑marketing workflow. We collect new prospects mainly from website forms where visitors download our design‑portfolio samples. Whenever we publish a popular new case‑study on our site, we get a large flood of new leads pouring into MaxTrackIt, and that’s when the import issues tend to show up. Not long ago, we released a full brand‑design case‑study on our website and brought in roughly 80 new leads. After these leads synced into MaxTrackIt, around twelve contact profiles had missing custom‑field data. The self‑reported service‑interest information that tells me whether they want logo work, print design or web layouts simply failed to populate. I didn’t notice this problem at first, and I only caught it while I was building audience segments for our follow‑up newsletter. If I had exported those incomplete profiles and sent campaigns based on missing data, I would have sent irrelevant promotional emails to the wrong prospects. I had to go back to our original form‑response logs outside MaxTrackIt, open each affected contact profile one‑by‑one, and manually fill in every missing service‑interest detail. That whole process ate up almost half of my workday and pushed back my newsletter send schedule. Beyond form‑import bugs, there is no native sync with Omnisend. Every filtered contact list still requires manual CSV export, which opens up extra risk for human error. It would also help if we had finer‑grained user permissions; junior staff can’t add tags without full‑access rights. Better form‑data reliability and direct integration with marketing tools would cut down lots of my manual cleanup tasks. Review collected by and hosted on G2.com.
