This reviewer was offered a nominal gift card as thank you for completing this review. **Reviewed Date:** August 23, 2026 **What do you like best about Roomex?** I really like Roomex for its combined self‑service travel booking and built‑in policy enforcement, which relieves a huge amount of manual admin pressure from me as HR Administrator at PersonnelCore Frankfurt when handling employee business trips. The policy‑controlled booking engine is its standout feature. I can set our company budget caps, maximum nightly rates and approved accommodation rules upfront inside the platform. When our travelling staff search for hotels or apartments for client‑site visits, any options outside our approved price range get automatically filtered out. Team members can book fully compliant stays on their own, without me having to manually review and approve every single reservation one by one. Before we moved over from SettleUp Pro, we had no real‑time booking guardrails. I once found out a field consultant had booked an over‑budget hotel only after he submitted his expense claim weeks later. I spent hours going back‑and‑forth between the employee and finance team sorting out excess charges, which pulled me away from core HR work like new‑hire onboarding and attendance checks. I also deeply value its centralized record‑keeping. Every booking confirmation, cost breakdown and digital receipt stays attached directly to the relevant employee profile within Roomex. I no longer have to endlessly chase staff for scattered email attachments or hunt for lost paper receipts at month‑end close. With just a few clicks I can pull up the complete travel history for any team member and generate consolidated cost reports to hand over to finance. Even with known flaws like garbled German umlauts on exports and no native sync with Bitrix24 and Nextcloud, Roomex eliminates so much reactive firefighting work that used to eat up my working day. **What do you dislike about Roomex?** Export functionality brings consistent, recurring pain points in my daily HR‑admin work. When I generate PDF and CSV travel‑cost reports for finance month‑end review, German umlaut characters in employee names, department labels and German city names frequently render garbled. For instance, city names like “München” or “Köln” turn into broken symbols inside exported files. I have to open every single report, manually locate and correct corrupted entries line by line before I can share final versions with finance. Not long ago during an especially busy month‑end, I was swamped with onboarding tasks and payroll prep. This extra proofreading work added close to two hours of unexpected overtime just to fix export encoding errors. This encoding issue is one of our most frequent day‑to‑day frustrations. For export‑specific improvements, I would strongly suggest Roomex add proper UTF‑8 encoding support for both CSV and PDF outputs. CSV should default to UTF‑8 without hidden manual settings, and PDF rendering needs full native support for German special characters. It would also help to offer pre‑configured export templates: one for finance reconciliation, one for internal HR travel overview. Beyond exports, there are other meaningful gaps. There are no out‑of‑the‑box pre‑built travel‑policy templates tailored for small German SMEs. I have to recreate budget limits and approval workflows from scratch. Many advanced policy‑configuration menus are only available in English, creating friction for our less‑tech‑savvy native‑German‑speaking colleagues. We also lack bulk‑import capability for legacy expense records we carried over from SettleUp Pro, forcing fully manual data migration. These shortcomings create avoidable repetitive admin overhead that slows down our whole travel‑management workflow. **What problems is Roomex solving and how is that benefiting you?** I use Roomex to manage end‑to‑end employee business‑travel bookings and travel‑related expenses, streamlining our internal workflows and greatly improving company travel‑policy compliance. Before switching from SettleUp Pro, our process was disjointed: staff booked accommodation on external third‑party sites, then submitted receipts afterwards for reimbursement. There was zero real‑time policy check at the point of booking. I still remember a concrete bad experience: one of our travelling team members booked a hotel well above our allowed budget. The whole booking lived outside our expense tool, and I only uncovered the overspend when processing his expense claim at month‑end. I wasted multiple hours mediating between employee and finance to resolve the extra costs, time I should have spent handling staff onboarding, attendance tracking and basic payroll arrangements. Roomex solves this core pain by putting policy guardrails directly inside the booking flow. Non‑compliant accommodation gets blocked before confirmation, and all bookings, costs and receipts live centralized inside one platform. I no longer need to dig through piles of disjointed email threads chasing receipts. Self‑service booking also cuts down constant back‑and‑forth booking requests landing in my HR inbox. That being said, significant limitations remain. Garbled German umlaut characters in PDF/CSV exports still require full manual proofreading. There is no native integration with our other tools Bitrix24, Nextcloud and QuestionStar, so travel cost data must be manually transferred, which once caused minor finance reconciliation delays when I was overloaded. Missing German‑SME policy templates and no bulk‑import for legacy SettleUp Pro data also add setup friction. Even with those drawbacks, Roomex has drastically reduced the chaotic, reactive travel admin work we dealt with under our old workflow. ### 2.
