The employee self-service portal reduces admin work: staff handle leave and personal info updates themselves, with every change logged. The built-in time tracker auto-calculates overtime, breaks and vacation per German labor rules, replacing error-prone Excel sheets. GDPR retention reminders help us avoid fines, and custom exports quickly generate reports for works council meetings.
What Factorial has contributed the most to us is centralizing in a single platform things that we previously had spread across spreadsheets, emails, and the management office.
The interface is clean and very clear, especially the employee dashboard. Requesting vacations, downloading payslips, or clocking in is done in a few clicks, without a learning curve. Employees (even the less tech-savvy ones) use it without having to ask us for help, which was already a problem with the previous tool. The mobile app for clocking in works well and allows location control, which in our case we use to differentiate between office and remote days.
The integration with Google Workspace is very convenient for onboarding and offboarding employees (calendar, email). We also use the connection with the management office for payroll, which has eliminated many back-and-forth emails each month with attached documents. The API is accessible if you need custom integrations, although we haven't reached that point yet.
The platform responds well even during times of heavy use, such as month-end or year-end when everyone requests vacations. We haven't had significant downtimes in the months we've been using it.
The modular model allows us to pay only for what we use (in our case, personnel management, absences, and electronic signature). Compared to having a traditional management office, Excel, and DocuSign separately, it is cost-effective. For small companies, the cost per employee is reasonable.
The onboarding was faster than expected. We imported employee data with a CSV template and it was operational in a couple of days. The chat support responds in reasonable times and resolves configuration doubts without needing to escalate.
The AI assistant for creating job descriptions and contracts has been a useful discovery that we didn't expect. It generates reasonable drafts that we then adjust manually, saving us time on tasks we used to do from scratch or by copying from old templates.
