I would also love to have more freedom in branding the look at feel of Syndicate. **What problems is MadCap Syndicate solving and how is that benefiting you?** The content I develop is focused on a cloud-based tool that changes quarterly. Because of this, I have to update my content a lot. Using Syndicate with content from Create, I can just select Publish and the content is updated everywhere. No more uploading to the LMS or re-versioning! ### 2. As a single repository for all of our training content (in development and post-production), Xyleme has made sharing, reusing, updating, and archiving content much simpler. 2. Publishing a single content piece to multiple output profiles gives us reuse in a way we’ve never had in the past, and also takes much less time than developing each output type individually. 3. Procedure building is greatly improved (for writing labs) especially the ability to easily drop rich text fields between steps, and the ability to re-order steps which we couldn’t do two years ago. 4. Updating existing (previously published) materials, especially in the eLearning space, is drastically easier than it used to be. (For eLearning, no update to the LMS learning object(s) is required – a huge plus.) 5. Using authoring templates for development, even in a slightly inconsistent and evolutionary way, has produced greater consistency in our finished materials. 6. Review process is great! Consolidating content reviews using the Xyleme Review function has been easier than absorbing and processing individuals’ feedback. **What do you dislike about MadCap Syndicate?** 1. Evolving the team’s individualistic behaviors into a shared, more standardized space has had its challenges. Developers are not quick to conform to a single set of development guidelines (nor do they have an easy time agreeing enough to establish those guidelines). 2. Working in a cloud-based development environment has presented developers with technical obstacles - lags, slow performance, and lost work. (This is a problem that has greatly improved since implementation in 2020.) 3. Customizing output styles – fonts, colors, spacing, etc. - has been frustrating for the development team. Requiring group consensus (see #1), requesting a change from a Xyleme administrator, and potentially needing to escalate to obtain Xyleme paid services – the new process continues to be burdensome to the team. 4. Feedback from the system after submitting an action is awful. A spinning “Loading” icon tells me nothing. 5. Overall speed for previewing anything is still very slow **What problems is MadCap Syndicate solving and how is that benefiting you?** Xyleme created a centralized repository for all content development. No more having files stored on a developer's hard disk or emailing files around for review. Xyleme also significantly decreased the time required to update and republish a single lesson or an entire course. ### 3. We didn't have analytics to show if assessment questions were "high miss" questions, and we didn't have a way to share our training with the International Orkin Franchises who don't use our LMS. Xyleme to overcome these challenges plus more that we never anticipated. We converted over 3,000 pages of content to eLearning, moving away from massive binders. We've helped save roughly $250K per year in printing and shipping costs. All eLearning is our LMS for tracking. We are a health care organization, so when we built content around Covid-19, the content was being updated on an almost weekly basis due to the newness of the virus and all of the changing protocols. Having all of that content linked drastically reduced our development time as content continuously evolved. Customer Support - There are so many resources and support available. Every day there are live help sessions to attend, plus a "Feature Friday" twice a month and a "Core Team Roundtable" monthly. There is also an online "Yammer" community to participate in and connect with other Xyleme users. Open to Feedback and Ideas - Xyleme has a platform for users to submit feedback and ideas...and they LISTEN to it! Many new features and behaviors have been implemented in the system due to customers voicing feedback and Xyleme acting on it. Ease of Use - After initial training, the interface is simple to use. **What do you dislike about MadCap Syndicate?** Restrictive Interactive Development - While Xyleme offers several element types to use to deliver content to learners (ImageMap, Tabs, Slideshow), truly engaging content is limited. Almost all elements within the system are a "click and see" behavior for the learner. Would love to see more interactive (think gamification, responsive interactions) elements available. Web Developer skills are needed to truly optimize on all Xyleme has to offer. Someone with the knowledge of HTML, CSS, Java will have the ability to modify and "play with" the system much more, creating more interactive elements (web components) and output styles and branding. It would be great if the sort of "backend stuff" on outputs was more user-friendly. **What problems is MadCap Syndicate solving and how is that benefiting you?** Content development efficiencies and consistency with educational experiences and branding for our learners. If there are things we would like to see in the software, Xyleme has a robust request system and our ideas are often implemented. **Recommendations to others considering MadCap Syndicate:** Spend the time to plan your implementation. Take time to talk with other users that have a similar business model. **What problems is MadCap Syndicate solving and how is that benefiting you?** We can make real-time updates that go out to our learners as soon as they are published. Previously, learners would only see updates quarterly. The other big lift is we can now "turn off" client files. Previous to Xyleme, once our course files were with our clients, we had no control. Now, they get updates real-time and we can turn files off if a contract is not renewed. ### 7. In theory, you can save time by writing content once and re-using it throughout many courses. However, this depends a lot on your content. Often, the same content is not used across many courses, so this benefit may not be as big as it would seem. **What do you dislike about MadCap Syndicate?** Xyleme is challenging to use, often buggy, and is limited in what it can create. Although the user interface has recently been overhauled, Xyleme still remains quite challanging to use. Creating simple text elements, like lists is often cumbersome. Xyleme enforces an unnecessarily strict structure onto the content you create which often prevents you from adding content where you like. There are numerous arbitrary rules to what can be placed where - Slides cannot have inline text, Image Maps must have a title, etc. We have been using Xyleme for a number of years, and though it has improved, it remains quite buggy. Overlays, which allow you to annotate images, very often come out misaligned when published. Copying and pasting content often results in errors. We have had course content become inaccessible due to the underlying XML content becoming corrupt. Functionality is also pretty limited. There are a few elements that you can add to a Web course that add some interactivity, but for the most part, its just text and images. The built-in interactive elements are limited: Image Maps do not allw much customization and do not look too aethethtically pealseing. The new Catagories interaction is extraordinarily restrictive, as if it was designed with only one specific purpose in mind. Xyleme has Web Components that allow you to create customised HTML content, but unfortuately, they are nearly impossible for a developer to use and are quite lmited for the programmer as well. Xyleme claims to be able to produce many outputs from one source of content. But this is not entirely true - one of the first things you learn is that there are 2 main types of source docuemnts: Web course for creating web coures, and SSP for creating print/PDF documents. I really wish that Xyleme would do better, since content reuse can be a huge time saver. Unfortunately, the difficulties in producing content end up wasting a lot of time as well. Unless you expect to re-use a significant amount of content, you will not be saving much time overall. **What problems is MadCap Syndicate solving and how is that benefiting you?** We wanted to have one repository for all content, the ability to re-use content, and have consistent style across courseware. We have achieved some of these goals, but I don't think it is worth the added difficulty of simply creating content in Xyleme. ### 8. We needed a solution that gave our customers a single platform where they could access everything they needed, but that also allowed for us to deliver learning content via their own LMS systems if needed. We needed to be able to accomplish all of this while retaining insight into learning consumption, not creating redundant content and being able to quickly author and publish consistent content. Xyleme has solve this problem for us by allowing us to embed our content into our Client Community seamlessly creating a one-stop-shop for our clients that also provided the data we need. ### 9. At its core, the XML based platform provides an extensive and customizable framework from which we can build a scalable authoring and publishing platform. **What do you dislike about MadCap Syndicate?** The web editor is too narrowly focused on single document authoring. It lacks a comprehensive view of the entire learning repository while authoring. This is important when your learning model leans heavily of object reuse. The new Editor (2020) interface is much improved, but more work is needed before it can replace the Desktop Editor. Desktop editor, while powerful, has aged, and it shows. I would like to see Xyleme invest a little to make some fundamental improvements to their Desktop Editor. **What problems is MadCap Syndicate solving and how is that benefiting you?** ACAMS implemented Xyleme's LCMS and CDS platforms to fundamentally change the way we author, publish, and manage our learning content. Our learners are professionals in banking, law enforcement, governmental bodies, and others. We began using Xyleme in 2019 and have since migrated existing content as well as authored and published new content. Our translation workflows have benefited tremendously since implementing Xyleme. In some cases, we migrated content from its existing format to Xyleme because of the efficiencies realized while managing translation and outputs for 11+ languages. Xyleme's cloud-based platform allows us to work as remote team of internal and external colleagues around the globe. Our authoring team, like our customers, are globally dispersed, and Xyleme's platform has proven overall to be reliable and stable. With a repeatable content/publishing model in place, we are currently authoring and publishing thousands of reusable learning objects per year, each of which are discrete and reusable. Just like Lego blocks, our learning objects can be easily reused and repurposed for e-learning, print, virtual classroom, and in-person training. ### 10. In addition, the ability to quickly customize a learning solution for a specific customer has been invaluable. With Xyleme, we can do this without spending the resources on creating a whole new module/learning solution from the ground up. Since we can quickly link content from other places, we can quickly create the specific education that any particular audience needs, once that content lives within Xyleme. **What do you dislike about MadCap Syndicate?** This isn't really a dislike, but a consideration for other companies. It does require careful governance and planning to reach the full ROI of this system. You can't just start developing content before carefully considering how you want content to be reused, how you want Xyleme to be structured, and without putting some type of usage governance in place. **What problems is MadCap Syndicate solving and how is that benefiting you?** During the COVID-19 pandemic, we needed to create over 200 pieces of education related to COVID. Because our content was already housed in Xyleme, we were able to do this. We already had content related to infection prevention, PPE, etc. We were able to mine this content to create relevant education with a very fast turn-around, within our current FTE. We would not have been able to achieve this without the use of Xyleme. ### 11. Our learning department serves many audiences who interact with the same products and services different ways. Before Xyleme, we had accumulated a high volume of duplicated training content that we had to maintain and translate, which became increasingly expensive. When we moved to Xyleme, we were able to redesign our content into reusable chunks of XML-based content. We can now use the same chunk in multiple training modules and publish it many ways with a click of a button -- and maintain only one version of the content! We also use Xyleme's Content Delivery Service (CDS) for all our training content and have integrated it with various learning portals and our LMS so that we are storing only one copy of the finished learning content. Nice! Functionality aside, Xyleme has gone to great lengths to forge a personal, trusting, and supportive relationship with our team. Highlights include their daily open Q&A and Ask the Expert questions where you can get support from experts in the Xyleme team at no extra cost (just when you need it most and can't afford to wait), and their Feature Friday training sessions with a different topic every other week. Any time we've had urgent issues, the Xyleme team has come to our rescue and worked closely until our problems are solved. Their customer success programs are outstanding and they go out of their way to connect customers together so we can help each other. **What do you dislike about MadCap Syndicate?** Our company has invested considerable time and effort to develop skills in house to build custom web components and templates so we can output the XML source to many different custom formats, brands and designs. When we first moved to the platform, our designers had to get used to the idea of working within the constraints of the templates. But we all understand the value of the trade-off so this isn't really a complaint -- just something that takes some planning and change management. **What problems is MadCap Syndicate solving and how is that benefiting you?** Some of the key benefits are: - Ability to write content once and then reuse it over and over, but maintain only one copy. Huge cost savings here. - Faster translation (using the XLIFF export and import). - Central repository for all finished learning content (on Xyleme CDS). We sell hundreds of SCORM self-study courses both for retail consumption (delivered on our own LMS) and for corporate clients (delivered on their LMSs). Before Xyleme/CDS, it had been become virtually impossible to distribute updated content to all customers each time a course was updated. Now, we can update all customers, both retail and corporate, with a single course publish. This was a game-changer for us, as it allows us to focus much more on updating the actual content and less on the hassle of distributing it. It was also a game-changer for our customers, as they also did not have to keep updating the courses on their LMSs in order to keep the content updated. **What do you dislike about MadCap Syndicate?** There is a little bit of a learning curve, particularly in the beginning. However, Xyleme has the best customer service of any company we have ever worked with and provides dozens of resources to assist as our needs evolve. **What problems is MadCap Syndicate solving and how is that benefiting you?** In addition to the efficiency benefit described above, we also have benefited from the consistency and professional look of our outputs, the flexibility to print slides both to PPT and in notebooks (Word, PDF), the ability to filter content to instructor vs. student outputs, the ability to store content in a content object format (keeping related learning objectives, content, practice activities, assessment questions, etc., in one place and linking these out to different places in the content), the subject matter expert review functionality (which allows SMEs to review the same outputs simultaneously and see each other's comments), etc. ### 13. Their team ultimately wants us to be successful in using their product. They also do a great job of listening to their customers. They take our feedback on things that would enhance the way that we use the product and many of those suggestions will be put in place. I also love that they are very willing to connect us with other Xyleme customers who are willing to share how they are using the software, unique things that their company is doing with the product and how we can better improve our own implementation of the software. The community of resources is fantastic! **What do you dislike about MadCap Syndicate?** Currently, there are not a lot of products that seamlessly integrate with Xyleme in an automated way; however, I know this is something that is on Xyleme's radar to make their software work better and connect better with other systems. While it's not in place currently, I'm looking forward to when they are able to build those bridges which will make their platform much more powerful. There really isn't a lot of things that I dislike about the software because, honestly, they are so open to feedback that anything that is wrong, they work on correcting or finding ways to help us work through it. **Recommendations to others considering MadCap Syndicate:** Bringing on a content management system is no easy task, but what many people don't realize is that moving to a structured authoring environment will transform the way that you create content. For many groups, you will need to be prepared to change the way you have always authored content. When you're going through this process, it's not the software that's creating the challenge, it's really the habits that you've picked up over the years creating your content. Change is hard and bringing in a platform like Xyleme will involve some level of change or possibly total change. You must be ready to make that change because the benefits are truly worth it! At the end of the day, whatever software you use ... make sure the vendor is a partner with you and not just a salesman. You will get much more out of the system when you're both working together! **What problems is MadCap Syndicate solving and how is that benefiting you?** Xyleme has helped us better manage the content that we create. Not only are the authoring tools powerful, but the reuse is a great asset to any company. We are just moving into a much stronger reusable learning object strategy and I'm looking forward to leveraging the tool more. This is our first foray into the world of LCMS products, and we selected Xyleme after an extensive vetting process over the better part of a year. It's a powerful tool that has the potential to do far more than we're using in this earliest stage, and in their wisdom, Xyleme recognizes that most (if not all) of their customers are in a similar boat. As a result, our customer relationship manager walked us through a guided onboarding experience before we began to migrate content. Not only did this build a basic understanding of the platform, but it built an excellent relationship that became instrumental during the stress of migration. As we moved, and converted our legacy content, our rep was with us every step of the way and was very much a part of the team. Xyleme is far more powerful, flexible and open than our previous authoring platform and sets us up to take advantage of features like content reuse which will be critical as our business continues to grow. **What do you dislike about MadCap Syndicate?** There are some administrative features and reporting functions that are only available in a legacy version of the platform called desktop editor. The majority of work can be done in the web based application, but having to toggle between the two is cumbersome. It allows for multi-point distribution of learning content and the ability to incorporate learning content directly into many systems - all you need is the ability to code a link into the tool. This has led to dramatic increases in the use of reference content since we can better meet learners right where they need it. Most importantly, every interaction is tracked so we can easily tell if we are connecting with learners. No more "throwing it over the wall" and hoping it's getting used. The ease of updating and re-publishing content is also fantastic. **What do you dislike about MadCap Syndicate?** The ability to design in the system using templates and the ability to reuse content in multiple deliverables is very powerful, and brings out solid, consistent, professional looking content.
