I can change the schedule, which workers it shows, who gets what permissions, and what types of jobs people can do! I also love their report feature. I was able to estimate my department's budget for student worker funds to the dollar. It's useful for so much and very underrated, in my opinion. Students can also request vacation time through the program and personalize their availability; however, if I need to have control over their availability myself, I can take away that permission. **What do you dislike about WhenToWork by TCP?** I get very frustrated with the "future repeating weekly" and "date specific" options for availability. I don't see those specific types of availability until the actual day they happen, so if I'm scheduling ahead, it makes for a huge mess. I have had to tell my students specifically not to use those options. They just cause headaches. I personally also wish I could turn off the "dislike" option for availability. I would prefer only to know when they can work and when they can't. I treat dislikes as a time they cannot work since I've had so much trouble with it in the past. **Recommendations to others considering WhenToWork by TCP:** When you start using when to work, I strongly suggest creating a dummy employee account to test and see things from their point of view. Try using the "future repeating weekly" and "date specific" options in availability and see how it affects your scheduling. Make full use of the employee profiles and reports you can create. You can also connect when to work to your google calendar or download the app to get push notifications when a schedule change or a shift goes up on the trade board. **What problems is WhenToWork by TCP solving and how is that benefiting you?** I have used when to work to create desk schedules that eliminate gaps in coverage. I have also used it to keep contact and emergency contact info on workers. It includes the date they started working with us, which is very helpful. I've also used it to gauge how many hours we will need to cover and pay for in a fiscal year. Being able to schedule ahead and make reports based on hours and pay has helped with budgeting in our department. ### 8. Online scheduling is good and bad when it comes to employee settings. Managers and employees need interaction in person (not just virtually). I am always able to tell exactly when I need to work and what my boss wants me to know in just a few taps. This truly is one of the best apps for workers in any company, large or small. When my boss sends a message, I am able to quickly find it after I am alerted via email or phone notification. **What do you dislike about WhenToWork by TCP?** My least favorite part of When to Work is the amount of menu screens it has. It tends to "hide" things under 3 or 4 menus that are not always the easiest to navigate. To find open shifts to pick up, for example, I have to go through 4 different screens until I am able to pull up the date that I want. This can become very annoying after a while as I need to check my shifts rather often. **Recommendations to others considering WhenToWork by TCP:** If you are looking at WhenToWork, my advice to you is to consider how much you value efficient organization within your company. If you value it very highly (as most companies do), this service is definitely for you. **What problems is WhenToWork by TCP solving and how is that benefiting you?** Previously, I did not always keep the most accurate calendar for my work shifts. However, with When to Work, I am always able to tell exactly when I am schduled to work, and my boss can instantly update my shifts with a few clicks. I am even alerted by email whenever my boss makes a change to my schedule, so that I can ensure I am scheduled for the correct dates and times. The security settings and integration support appear to be a bit lacking. I also like that it shows me other shifts that are available for picking up if I ever have to time to pickup some more shifts. It’s super easy and clear to read everything, whether it’s when I’m working, how many hours I’m working a week, or when I could possibly pickup shifts. This program works very well with mobile devices too, so that’s very nice and handy. **What do you dislike about WhenToWork by TCP?** I dislike that sometimes the shift trade board looks a little jumbled up and crowded, making it a little hard to read sometimes. However, this only happens when a large amount of shifts are on the trade board, which doesn’t usually occur for me. **Recommendations to others considering WhenToWork by TCP:** I think this is really good program for sending out when people are supposed to work. It is very logical how to do each thing through both the online website and the app. As a manager and scheduler, I like that I can save templates of schedules that I repeatedly make and that I can autofill those shifts without much thought. The ability to check schedules both online and on your phone is useful in that it provides a variety of ways to easily access ones schedule. **What do you dislike about WhenToWork by TCP?** My only complaint with When to Work is that lately not all shifts have been showing up on a person's schedule when using the app in only certain "views". A shift will show up on a computer and in some phone views, but not on the home page or upcoming shifts page. When I'e communicated this with When to Work support they tell me that this happens because the app has not refreshed. However this doesn't make sense, becuase no updates have been made recently when this occurs. **What problems is WhenToWork by TCP solving and how is that benefiting you?** Prior to utilizing When to Work, my organization had a set monthly schedule that was not responsive to changing event needs or a person's specific time off requests. Using When to Work with a weekly schedule has allowed us to solve this problem. It does not add much addititional time to the scheduler's day either. Employees have clearly communicated shifts with no discrepancy over who is expected to work when. This has been a great improvement for our organization! We will save money in the long run and be better able to address the needs of our customers due to accurate staffing. ### 17. I can separate my student workers by area they work, schedule them however far in advance I want, send out messages to select groups or everyone at once, and so much more. **What do you dislike about WhenToWork by TCP?** I wish I could select multiple shifts to delete at once, instead of having to do it one at a time or delete the whole schedule. I also with there was a drag and drop option for moving shifts. It'd make it so much easier than having to go in and manually change the beginning and end times. I would also love if WhenToWork could create something that allows students to use the program to clock in and out. This would cut out a lot of extra work. **Recommendations to others considering WhenToWork by TCP:** If you are just starting out with WhenToWork, make sure that you are utilizing the saved schedule feature. It's been a huge help to me. I can save different schedules for during the school year, breaks, intersession and holidays. It makes it so much easier to just make the schedules once, then fill them in with different students. They can send requests to trade shifts or request time off. From a visual perspective, you can see the schedules from a day, weekly, or monthly view. You also have the option to see everyone scheduled at once, or make it more of a personal schedule. It has neat features like setting preferences for work times in addition to the regular availability. You are able to see all staff info as well as trade shifts. There is a mobile app that works well. **What do you dislike about WhenToWork by TCP?** The look of the software is outdated and the trading/messaging process could be a bit smoother. The mobile application did not always notify me when I had a new trade to approve or a new message waiting. It is incredibly easy to use on your phone, to look at current shifts, trade shifts, and pick up shifts. I enjoy the notifications that the application sends when you have a new shift scheduled or when a schedule change has been approved. It means that I don't need to check the website or application constantly. **What do you dislike about WhenToWork by TCP?** The app does not update as quickly with new shifts as I would like. This lets them know and to be able to plan their day due to who is scheduled, has time off for the day. What I also really like about WhenToWork is that we 10 different sections schedules that employees fall under and you can see the group you need at one time which makes it nice. Instead of seeing all fifty plus employees I can just see just the employees that I supervise. If I need to another group I can do that too. **What do you dislike about WhenToWork by TCP?** The main thing that I dislike about WhenToWork is imputing schedules for long periods of time are not easy enough. If you do not have full access you can only put in the person schedule week by week. The person that has full access can put in a persons schedule for months at a time.
