It has become the mainstay of our daily operations. The forms already exsisting in the automation have helped us create our most common used forms in less them half the time of our former method. The best thing has been the support staff, they are quick to respond and offer help unitll my question is answered. Especially impressed Emily P. and Maureen U. they both are so kowledgable and fun to work with! **What do you dislike about Smokeball?** I do not like that they haven't added a split billing option for billing when the invoice needs to be split between parties, such as GAL cleints. Also minor thing, but although Smokeball does intergrate with Word, it does not have the autocorrect feature and some of the formatting options avaiable in all parts of Smokeball such as the memos area (where we do keep a lot of our notes) we would love to see that added. **What problems is Smokeball solving and how is that benefiting you?** Quicker document creation. I enjoy the training videos and support community for help with some of the less intuitive features. Without a doubt, the best feature is the forms, templates and workflows which are highly customizable. I do mostly transactional work and do not "reinvent the wheel" so it is extremely helpful for me to open files quickly based on templates and get right to work. **What do you dislike about Smokeball?** I wish that Smokeball was compatible with Mac, or if it had a web browser version to use on the go. I also wish it could set rates for types of matters since I often work on fixed fee. Also, it was easier in my old software to track aging receivables/unpaid invoices. **What problems is Smokeball solving and how is that benefiting you?** Smokeball has basically eliminated my need for an admin assistant to set up files, prepare retainer letters, and other form documents. I also like the fact that all entries are in real time and I know instantly if I am in court as to whether my office scheduled an appointment for me so as to prevent double booking. Its messaging system works well also. Lastly, their support team is top notch-responds right away and makes useful suggestions. **What do you dislike about Smokeball?** I would like to see more functions added to it such as creating a time entry from an event or task; creating a form library, a tickler system, a phone and email communication system. I had these functions on my prior case management software, and they worked great. It is helpful in tracking tasks and status' of your cases. **What do you dislike about Smokeball?** If everyone in the firm is not using it, then it isn't helpful. It can't be solely on the paralegals to enter information. Support can be a little frustrating at times because they do not know the legal lingo we use, even though this is supposed to be a "legal case software". The local speed is good despite a modest internet connection **What do you dislike about Smokeball?** The tiered structure annoys me. Some very useful items that should be available at all levels are sequestered for the top tier. Also the attention paid to accounting needs (eg, how to do ALL trust accounting in SB) needs development and/or documentation. Example: reprinting a check (with a new number) that has been spoiled in printing is ridiculously difficult. Even QuickBooks Online has that figured out. **What problems is Smokeball solving and how is that benefiting you?** Sending billing reminders is quite easy, especially since we now have a workaround for identifying "information only" invoices by sight (Ms Prazak). It is very easy to develop letter and email "stubs" for improving communication. This had a substantial impact on our operations, causing delays and inefficiencies. We had to find an alternative to Smokeball because of these technical issues. Customer Service Concerns: Despite the software's prolonged downtime, our requests for early contract termination were denied. The company's decision to prioritize a relatively small amount over our long-standing business relationship was disheartening. Trustworthiness: Given the challenges, our trust in the software's reliability and the company's commitment to its customers has been eroded. It would be ill-advised for us to return to using Smokeball in the future. Windows Only: It is PC only unless you use a virtual machine like Parallels to have Windows running inside your Mac. I understand why they do it because of the tight integration with MS Office and auto time tracking, but it would be great if they could figure out a way to get it done for Mac. I prefer a Mac but am a PC/Mac office because of Smokeball. This reliance on Windows caused additional headaches because we couldn't use our Macs to access the case files. Smokeball had to provide our data so we could use non-practice management software to run our cases. It was incredibly frustrating and inefficient. **What problems is Smokeball solving and how is that benefiting you?** The document automation, form automation, and time-tracking features are outstanding. It will pay for Smokeball with its passive time tracking. Gone are the days of trying to start and stop the timer and forgetting. I am terrible, horrible, incorrigible about keeping track of my time. I have gone to flat rating some things, but time remains my primary way of billing. I used to have a complex and legthy system to "hoover" up all of my time which involved going through sent emails, phone, a desk notebook, and sometimes my online folders to review all documents updated that month. It took hours AND I would always estimate my time on the low side. Now, the system is quicker and reversed. Smokeball does time things for which I don't want to bill, but it's easy to just click them to "not billable." But for billable work - I have the actual time. Second standout - and probably equally important - SUPPORT like I've never seen. I've been in practice 45+ years and Smokeball support stands head and shoulders above anything I've seen. And because of that, rather than getting frustrated because I can't do what I want to do, or don't get how to use a function - I can easily get the support I want quickly. As a result, the 3rd best thing is that I'm actually learning new habits (you can teach an old attorney new tricks), which is making me more efficient. So those are thee 3 best things which are huge to me. 2 months in and I'm billing more in less time and most importantly to me, I feel more in control of my practice. **What do you dislike about Smokeball?** I am a transactional business attorney who works alone, with minimal admin or paralegal help. I spend most of my time drafting or reviewing contracts, and most of them are IP related. I also do some other IP and labor work for my clients. I have always separated out my clients' work by "matter." BUT... Smokeball is so matter-centric that I've found two issues: 1: Finding the right matter for clients with multiple matters of the same basic type was difficult. My WONDERFUL onboarding specialist showed me how to solve this problem in most instances, and I've been told there's a new function coming out to fix this platform-wide. So it seems this problem will be going away. 2: invoicing clients with multiple matters being billed in one month involves several steps and actually going outside of Smokeball. I hope this is also fixed as it seems Smokeball is constantly upgrading the software. My enthusiasm for Smokeball is not significantly marred by these problems. Invoicing is a one day a month thing, and I wouldn't trade the benefits for easier invoicing for anything. But I'm trying to give a complete picture **What problems is Smokeball solving and how is that benefiting you?** Tracking time. Getting into good habits about saving crtitical information like phone numbers and client contacts for specific matters. Having everything to do with a matter easily accessible. The portability of the product is also amazing - being able to pull up documents on my phone in an emergency is awesome. Automatic billing feature saves me a lot of time. Mail merge works great. The tech support is outstanding and they are responsive. They have a lot of training. **What do you dislike about Smokeball?** There's a big learning curve for billing. I wish the software had full accounting. I was told calendar integration with Outlook doesn't work currenlty. Migration from our old software wasn't that great and is taking much longer than anticipated with some issues. The software isn't perfect, but I'm not sure any legal software is. Sometimes, the AI billing is too aggressive. It's relatively new software, so I'm sure it will improve over time. **What problems is Smokeball solving and how is that benefiting you?** Auto billing is nice. It's a very thorough software.
