It’s also easy to find requisitions and POs, and it has the ability to extract data into an Excel spreadsheet. **What do you dislike about Coupa?** Sometimes I have to enter the same information multiple times. Also, when I submit a change order, it isn’t automatically fed into Malbek (contracts). **What problems is Coupa solving and how is that benefiting you?** The ability to connect with the contracting platform (Malbek) makes it easier to link contracts to POs, as well as track invoices and expenditure. ### 2. You only have to locate items once you have linked in the vendor as once the order is approved the PO is cut and automatically sent out. **What do you dislike about Coupa?** Reporting is somewhat difficult to tailor to your needs as what we need requires elements from Requisition/Orders and the Inventory side. Due to this you cannot just schedule a report to be sent out, there ends up being manual work required. Also just looking at what hasn't been received isn't effective when taking into account the service PO's. Those PO's are an invoice approval not a receipt and I have yet to find a way to track what has and has not been completed in the system. We also have issues linking new system and old and utilizing the items for ordering section effectively. **What problems is Coupa solving and how is that benefiting you?** The delay in ordering while waiting on the buyer to get to your email, the delay in approvals, the delay in going back and ordering once approved, and allowing greater visibility of the process. ### 6. It eliminates some of the work on accountings end to allow for efficiencies. **What do you dislike about Coupa?** I do not like that you cannot do a project PO with multiple sub POs and vendors attached to it. As a construction manager it is highly inefficient to track project spend. **What problems is Coupa solving and how is that benefiting you?** Managing vendor invoices is the primary solution. It is easy to track the progress of an order or invoice all the way to final payment and receipt of funds by the client. You can also easily order office supplies and IT equipment. Coupa handles the onboarding for new suppliers, so suppliers directly provide all the information needed for payment and integration into our systems. It helped us keep track of when we were paying vendors and made sure all deadlines were met. **What do you dislike about Coupa?** Coupa has many fields to fill out and is not the most intuitive for first-time users. It is also hard if you want to order through a retail site like Amazon and not the most flexible. I sometimes had to find a third-party gifting organizations to make the purchases for me. Also, some suppliers / clients were not able to provide all the documentation required for onboarding due to being a smaller business or single individual, which delayed payments for services rendered. **What problems is Coupa solving and how is that benefiting you?** Through Coupa, it has been easier to pay vendors and procure supplies. This is the product's real strength. There has been some good strides in the right direction with approval routing, exporting data, form development, supplier connectivity, PO to invoice matching.... Very good. **What do you dislike about Coupa?** It is endlessly frustrating to integrate with Coupa. Imagine playing baseball and being in the outfield. Coupa will only catch the ball if it lands directly in your mitt. There is no opportunity to export columns as different column names (for the next piece of software); exporting to sFTP is not in the UI (you have to ask for it through the ticketing system), Internal item management (internal catalog) is a game of Russian roulette... you never know what its going to do.... not import, import and create a new item, update a similar item, etc... That is a big deal for us. You cannot schedule "end of month" pricing updates. They say they will have it on v19 (Sept 2017). It would be nicer to see the content groups within the item view. You have to do vlookups on the items and contracts to see who can actually see the item. We have issues where the supplier item portion (lower item detail) gets zapped for no particular reason. That is fun... detecting corrupted items and trying to restore its information. Keep good external records! The "ownership" of items over time is exhausting. Let's say you initially start to manage a catalog. Then push this off to the supplier to keep up.... You have to shut down your items and republish new items... then they decide to not do this anymore.... and you have to take over control.... easy to create a 3rd duplicate item. Not fun to detect item duplicates. And powerless to delete unused and incorrect items in the catalog even if no transaction uses it. Once your internal catalog gets too big, you can no longer download via CSV/Zip file. You need to be very careful and push large catalogs to cXML punchouts (consider internal www.rinktee.com punchouts) to keep the non-inventoried items off the Coupa internal catalog. In contrast WorkDay does a spendid job getting under the hood and being able to write reports exactly as you need them. Coupa should look closely how WorkDay does this. **Recommendations to others considering Coupa:** Deem and WorkDay Procurement are being seriously looked at by our company. **What problems is Coupa solving and how is that benefiting you?** Carts to REQs to POs -- that is the main use. CLM, Spend Analytics, Inventory, Expense are all added modules that require more $. Its hard to go to bat for Coupa, when it does a poor job on the core procurement platform. This is fixable if someone is really working with the existing customer base and understands what is going on. Seems like all their testing is based on initial loads of data and more effort needs to be placed on item management lifecycle and allowing the administrators to bulk perform several repetitive actions. ### 37. Easy to download your receipt, enter your data, and submit your report. Also gives accounting more control with the accounting review process. The app is also great added bonus. **What do you dislike about Coupa?** Reporting, this was a key piece to why we liked this software. We found out the reason field which isn't a custom field is not reportable so we have to create a custom field so we can pull in this data. We also found out recently that the audit status as a defect. Even though we are selecting a category for each line, it shows up as blank on the line level report in the system on about 50% of our statements. The audit status is another questionable feature. Gives a lot of associates a bad rating even though they have all the the items populated and receipts attached when accounting audits their statements. **Recommendations to others considering Coupa:** We are a P-Card company so we have 675 cards for certain levels that the company pays for. We also have a mid-month cycle. Both of these became issues with our implementation. We had to wait for a fix in spring 2016 and then we had to set-up our own integration to make the system work for us. **What problems is Coupa solving and how is that benefiting you?** With Coupa we have moved to a paperless system for expenses.
