Before implementing Xoralia, our organization’s policy and procedure documents were scattered across multiple folders and locations, making it difficult for staff to find, update, or manage information efficiently. We needed a centralized solution to house all policies and procedures in one accessible location, with role-based permissions and the ability to easily track edits and approvals across departments. Xoralia met all of these needs and more. The platform provided a streamlined, user-friendly way to manage and organize our policy documents, while also simplifying the process for updating and reviewing content across teams.

We were finding SharePoint libraries increasingly difficult to manage as the number of our policies and procedures grew. Navigating folders and maintaining control over document versions was becoming a challenge, especially as we prepared to implement a Quality Management System (QMS). We were keen to find a solution that would allow our employees to work seamlessly within our existing Microsoft 365 environment, without introducing yet another third-party login or external portal. After evaluating multiple options, Xoralia emerged as one of the top choices, primarily due to its native SharePoint integration and improved search functionality. While we still have a lot to do in rolling out our QMS, Xoralia is already proving to be a strong foundation for the document management side of things. The attestation features and automated notifications are particularly helpful in ensuring staff engagement and compliance. The team that we have dealt with (Alex, Alex & Fabio) have really been great, especially helping our IT team get Xoralia implemented and connected into SharePoint.

The software application is very easy and simple to navigate. It will provide a single location for all our relevant control documents, not only for editing, reviewing and approval processes, but also for final versions that all employees in our organisation can access and attest to. This will provide a potentially robust approach to version control and will help us maintain a consistent policy framework going forward. We opted for an onboarding process, and this was detailed and guided, with support from Content Formula provided in a timely and helpful manner.
