The software application is very easy and simple to navigate. It will provide a single location for all our relevant control documents, not only for editing, reviewing and approval processes, but also for final versions that all employees in our organisation can access and attest to. This will provide a potentially robust approach to version control and will help us maintain a consistent policy framework going forward. Before implementing Xoralia, our organization’s policy and procedure documents were scattered across multiple folders and locations, making it difficult for staff to find, update, or manage information efficiently. We needed a centralized solution to house all policies and procedures in one accessible location, with role-based permissions and the ability to easily track edits and approvals across departments.

We were finding SharePoint libraries increasingly difficult to manage as the number of our policies and procedures grew. Navigating folders and maintaining control over document versions was becoming a challenge, especially as we prepared to implement a Quality Management System (QMS).

We were keen to find a solution that would allow our employees to work seamlessly within our existing Microsoft 365 environment, without introducing yet another third-party login or external portal. After evaluating multiple options, Xoralia emerged as one of the top choices, primarily due to its native SharePoint integration and improved search functionality.

While we still have a lot to do in rolling out our QMS, Xoralia is already proving to be a strong foundation for the document management side of things. The attestation features and automated notifications are particularly helpful in ensuring staff engagement and compliance.

While there is a fair amount of reliance on the Xoralia web portal, it does pull everything together in a way that SharePoint alone simply can’t. Experienced and novice policy management administrators will find that the platform is quick to setup, easy to learn, and easily adopted by employees. Platform provides complex policy review workflows and lets you quickly publish approved policies to employees using existing Active Directory Groups. Tool is missing search functionality when viewing the document inside the portal. Issue is not significant if you allow users to download the documents. However, if you block this permission, no content search is possible. Review collected by and hosted on G2.com.

Xoralia has removed a huge amount of pain and manual process from my organisation, reducing our overheads (by reducing hidden costs) while also improving our quality and compliance with legal and contractual requirements. The tool is easy to use and does the things we need it to do in an intuitive and accessible way, and Content Formula are constantly improving it which means that as time passes, the product solves problems that we didn't even realise we had. There were some features (specifically policy workflow management) that were not native functionality of the product when we first started using it - we had to use Microsoft Power Automate to do certain things. That was a bit clunky and cumbersome but that issue was recently resolved with a new release, and we didn't have to pay anything extra to benefit from it. The product also didn't support storing policies in private Sharepoint sites however, having fed that back to Content Formula, that issue has now also been resolved. I would very much recommend this company. Working with Content Formula, specifically Xoralia, has been a pleaseure for me and my company. From the initial contact to strategy and then implementation they have been results-focused through relationship building. We had originally been looking for a way to improve our Policy & Procedure review and approval process but hadn't realized that there would be options available to us within the SharePoint environment that we already used. Our project manager Amber Oakes and her team were organized and professional; they set straight to work to understand current state where our needs for improvement were. The developers were able to create an effective tool that was cleanly and smoothly able to manage the path of our documents from initial draft through reviews, approvals, sign-offs, training, and so on. The communication is wonderful. They are clear, and detailed in their notes and are always open to feedback. The only aspect of the partnership that took any degree of focus was scheduling calls due to their location in the UK and our location in the States. Even in that they were accommodating. This is far from a dislike however i have spoken with the Developers regarding having an archive for previous document versions following the publishing process, so they are more accessible.
