I use Proton Workspace for secure email communication, encrypted file storage, calendar management, and privacy-focused team collaboration. The platform has a clean and minimal UI, making it easy to manage productivity tools while maintaining strong end-to-end encryption across services. Its integration between Proton Mail, Drive, Calendar, and VPN creates a secure ecosystem for handling sensitive business and personal data. I appreciate its strong focus on privacy without making the platform feel overly technical or difficult to use. The UI is clean, modern, and distraction-free, which makes managing emails, files, and schedules feel smooth across both desktop and mobile devices. **What do you like best about Proton Workspace?**

What I like most about Proton Workspace is how easy it is to centralize all the company's files and documents in one secure place. This significantly improves organization, teamwork, and quick access to information from any device. Additionally, it gives me a lot of confidence due to its focus on privacy and data security.

The interface is clean, modern, and quite intuitive, even for people without much technical knowledge. Everything is well-structured, which helps to quickly find files and tools. Overall, the experience both from the browser and mobile is smooth and leaves a clear sense of security and professionalism.

**What do you dislike about Proton Workspace?**

Everything seems fine to me, to be honest. I wouldn't remove or add anything.

**What do you like best about Proton Workspace?**

What I like best about Proton Workspace is that it lets me keep my day-to-day work inside one secure ecosystem instead of scattering everything across unrelated services. I can handle email through Proton Mail, store and organize files in Proton Drive, and manage account logins with Proton Pass without constantly switching between platforms that all have different privacy policies and account systems.

For my workflow, that matters because a lot of my work involves communication, documents, client files, and account access. Proton Workspace gives me a cleaner way to keep those pieces connected while still feeling like I have more control over my data. I especially like that Proton’s products are built around privacy from the start rather than treating it like an optional feature added later.

**What do you dislike about Proton Workspace?**

The main thing I dislike is that Proton Workspace still does not feel quite as frictionless as Google Workspace or Microsoft 365 in every area, especially when it comes to collaboration and people who are not already familiar with Proton. If I need to share something with someone who lives entirely in Gmail, Google Drive, or Microsoft Office, the workflow can sometimes feel a little less automatic.

Proton Workspace solves the problem of having my email, files, passwords, calendar, and work-related information spread across too many different services. Instead of using one company for email, another for passwords, another for file storage, and another for privacy tools, Proton lets me bring those core pieces into one workspace.

The benefit is that my workflow feels more organized and more intentional. I can communicate, store files, protect passwords, and manage sensitive information in a system that is built around privacy. That reduces the mental clutter of managing multiple services and gives me more confidence that my professional and personal data is not being unnecessarily exposed.

What I like best about Proton Workspace is that all their apps (Mail, Calendar, Drive, VPN, etc.) share a clean, consistent look and feel, making it incredibly intuitive and seamless to switch between them while managing my entire business workflow.

What I dislike about Proton Workspace is that the sharing and collaboration features still need improvement, particularly better and more intuitive ways to securely share documents and workspaces with team members and external people.

**What do you like best about Proton Workspace?**

Really glad to see Proton moving in this direction and offering a fuller suite of products. One of the biggest challenges, I guess, to broader adoption of security and privacy across all products is that there are limited offerings and not enough integration with other tools. Seeing Proton offer more tools—especially Proton Meet—is great, and it allows us to really move toward using Proton for everything. To me, that shows it’s setting a really good standard for Charities.

**What do you dislike about Proton Workspace?**

The pricing for one. Discounts for non-profits and charities is not competitive at all especially when you look at other encrypted mailing services. Proton should be more concerned for this as they themselves operate within a non-profit structure.

Allowing privacy and security to be default across the entire organization.

The integration across the entire suite—combining secure mail, calendar, and document handling in one private ecosystem—is fantastic. Being able to create, edit, and store documents under zero-knowledge encryption ensures that internal business data remains completely confidential. The user interface is clean, modern, and heavily focused on user privacy without overcomplicating things.

While the core office productivity tools are growing, the collaboration features still feel a bit basic compared to older, mainstream office suites. Real-time multi-user document collaboration can sometimes feel rigid, and the advanced formatting options in the document editors are somewhat limited. It works perfectly for standard business documentation but lacks niche power-user features.

It solves the massive challenge of keeping business operations and documentation secure from third-party data logging. By utilizing the workspace suite, we can manage schedules, drafts, and sensitive document management under a single, highly protected roof. This eliminates the need to stitch together multiple disjointed security plug-ins just to get everyday work done privately.

**What do you like best about Proton Workspace?**

The interface is fast and clean. It fulfills basic needs.

**What do you dislike about Proton Workspace?**

The feature set is pretty bare bones. It does what it does well, but it is lacking in some features. For example, Proton Docs can only export to PDF by using the print to PDF function. This work fine, but coupled with the fact that the interface cannot be changed to display pages instead of a continuous text zone makes formatting complicated. This also applies to printing.

While Proton Docs supports Markdown shortcuts when writing, it is not an actual Markdown editor, so files need to be converted to docx. Speaking of which, docx, xlsx, etc, are the only file formats supported by the editors. This makes compatibility with open source office suits not as easy.

**What problems is Proton Workspace solving and how is that benefiting you?**

I need to upload my documents to Proton Drive in order to work from my laptop and Proton Workspace makes quick edits much easier.

**What do you like best about Proton Workspace?**

I’ve enjoyed switching my workflow over and now feel more confident and secure about how my data is being handled. I’ve also appreciated the work suite adding new features like Proton Meet and a calendar scheduling feature. Having been a Proton user for a while, I can tell the products are being innovated on consistently and that the overall user experience keeps improving. I also value the transparency around these changes, especially through the regular updates I receive from time to time as a user.

**What do you dislike about Proton Workspace?**

As a workspace user, I prefer having all my needs handled within a single workflow. For example, there still isn’t a strong alternative to Google Slides within the Proton Suite. Also, Proton Docs can be a bit harder to collaborate in, since many people I work with don’t have Proton accounts set up. Because of that, I sometimes feel like I still need to maintain accounts on other platforms.

For me, privacy and data security are the biggest factors. I also feel much better about supporting more ethical tech.

I like having email, calendar, storage, and password management connected under one privacy-focused account. Proton Workspace feels like a cleaner, more secure alternative to the big office suites for basic business operations.

It is not as mature as Google Workspace or Microsoft 365 for real-time collaboration, integrations, and advanced office features. It works best when privacy matters more than maximum ecosystem compatibility.

What I like the most is the synergy created through the Proton apps, for example, the link between emails and the calendar is very useful.
The management of the organization's users is excellent and simple to use.
The customization of the company's logo is also a plus.

I have been using the Proton ecosystem for years and every day. I am satisfied with its enterprise-level functioning and management. I don’t see any negatives at the moment.

The simple management of accesses and users, no need to log in with their passwords. It’s simple to add an email for a user account. In short, the whole management process.

It's not stealing information and using it for ad harvesting, i.e. its not Google. It's not using my information to train the latest AI bot.

**What do you dislike about Proton Workspace?**

I mentioned these with drive. Document suggest mode needs to be default in every doc. Edit-default mostly works ONLY for individual projects, not work projects. There's no a suggest-only mode. 

There should be 4 levels of permissions: 
Owner (ultimate authority for assign + delegate permissions,  ultimate authority for accept/reject changes, should be able to assign somebody else as owner if needed)
Editor (sub for assign + delegate permissions, sub for accept/reject suggested changes)
Suggest-Only (can only suggest changes and review work)
Review-Only (can only review work)

Need better track-changes versioning that clearly shows version changes (very difficult to use)

Proton Workspace in general is such a lovely, amazing ecosystem to work in: everything just works well, it's simplified, it's beautiful/aesthetic/clean, and I have so much peace of mind knowing everything I do is safe and secure.

Sometimes it's a bit confusing integrating the various apps, but it's also because I'm not the most computer/tech savvy.

I really haven't used it. Proton apps for iOS are part of each day for me. I use Proton Mail/Calendar/Drive on MacOS.

**What do you dislike about Proton Workspace?**

My experience so far with Proton is rather fragmented. I use the apps. I rarely log into the workspace itself. I'm a Chrome user, so I log into my Proton accounts through my Gmail profile in Chrome. I'd love it if Proton offered a no-frills browser to complement the rest of the workspace.

As I mentioned, I'm a satisfied consumer of the individual applications. I really don't use workspace.

It includes everything our business needs and interconnects well. We have recently been using the document and spreadsheet editors internally.

The spreadsheet package is currently underdeveloped and would benefit from a desktop app. However with it being in the early stages there is nothing to be complained about.

It's a drop-in replacement for MS365 or Google docs that doesn't train is AI on your private data.

**What do you dislike about Proton Workspace?**

Sharing content with non proton users is still a little rough but its possible. 
It's spreadsheet doesn't have all the data import features of excel or google sheets.

**What problems is Proton Workspace solving and how is that benefiting you?**

I love that my data is mine. It's private. It's not feeding public AI models. It's also very reliable. 
I have yet to experience an outage or breach. Can't say that of google or MS.

Proton Workspace allows us to privately collaborate on spreadsheets in real-time.

**What do you dislike about Proton Workspace?**

We wish there were more features with Proton space such as the ability to work on PDF designs and presentations (such as PowerPoint). Sometimes the documents do not sync as quickly for our team members.

It helps us have a private and secure workspace to share items and collaborate on things. This is not something we can get with the same security and privacy with other providers.
