The amount of personal time it takes to build a form and workflow.  It's frustrating to have to take time away from other tasks to do so.

**What do you like best about onPhase?**

The ease of use in Docuphase has made our team process disbursements in a quick manner. This is a high volume process and we are sumbitting requests for funds every day. Moreover, Docuphase has the ability for a client portal, meaning that our clients can submit disbursement requests through that and it really helps with our workload, instead of scanning files manually.
Another thing that is helping our business is the capability for record storing. Everything gets scanned quickly and goes into the right record with a barcode, which is something that was easily implemented by our IT team to integrate with our processing teams.
Whenever there are issues, the DocuPhase customer support team is available to sort the things out.

Comfort, ease and flexibility with the process of creating Applications
Convenience and flexibility with creating UDLs (User Defined lists).
How tightly DocuPhase integrated with Scandox, Xtracting & other inbuilt services.
DocuPhase support team they are the best to respond quickly.

**What do you dislike about onPhase?**

It would be better to have more advanced free training videos for Forms & Workflow implementations.
Specific font styles in Signature stampings are not supported, and if we want to add new techniques, we have to wait until the next release/at least one year.

Scanning our Claims, PR, and Credentialing papers and storing them in a digitalized way helps the business in a more effective way to track and proceed.

It's super easy to teach and to use. Approving invoices takes less than 5 minutes. They've recently made adding cost centers and GL codes much easier.

The invoice entering process is a bit slow and I wish it was easier to edit invoices.

We use it to pay invoices entered by business partners. It makes direct billing so much easier.

Straightforward to add and search for documents in DocuPhase.  Data is well organized.

**What do you dislike about onPhase?**

Cannot think of anything at the  moment.

We have records from over 100 years ago that we sometimes need to look at.  Rather than having to maintain hardcopies and go through the ardous process of finding something, DocuPhase quickly provides the document.  We also don't run the danger of physical documents being lost or damaged.

We have been using docuphase for over a year now. Since using it, our AP workflow is managed and organized much better! It saves us time on processing invoices, reviewing po's, and getting approvals! They can make anything work the way you need it to.

**What do you dislike about onPhase?**

It may be slow to start but your process will speed up as time passes, once the system recognizes your invoices and how to read them! I would like to see improvements in response time as far as support. Sometimes there are a few flaws we need assistance on.

DocuPhase solves any delays between receiving an invoice and getting approval or POs reviewed; the process is much quicker and organized all in one place. This process benefits us because we save time and can find anything we are searching for to be located in one place.

If we had not had DocuPhase's electronic invoice workflow before Covid, it would have been challenging with our existing manual invoice approval process.  Our employees love it!!

I can not think of anything that I dislike about Docuphase.  It has helped our AP processes so much!!

DocuPhase took an extremely time-consuming and manual process of invoice approval and made it so much better.  Our employees love it!!

The Automation of Flow once the Invoice has been Captured and it cycles to the correct distribution avenue, whether it is for billing or compliance.  This automation has helped with unneccessary expenses.

**What do you dislike about onPhase?**

I am unhappy with receiving a voice mailbox as the response when calling the customer service line.  Need to get more support individuals to help operate the customer service line.

We do not use the AP Automation Process.  We at FCS use the Docuphase Progression for our Invoicing and Compliance function in our business.  Yes, this has helped our performance with automation.

Docupase has been able to streamline our AP processes with ease of use.  I like how well it has integrated with our ERP system speeding up the workflow process.

**What do you dislike about onPhase?**

Being able to edit templates in DocuPhase is not the easiest thing once the original invoice has been submitted. Even reaching out to support we have had issues accomplishing this task.

DocuPhase solves the workflow we have for A/P processes. Integrating with our ERP system it allows us to process PO's knowing that items are open and pending billing.

The routing of approval was seamless and being able to change approvers was wonderful.

The storage of invoice copies was not optimal and hard to get back to after approval.

For a small company with few invoices and staff it works great, but if the company starts getting over 1000 invoices a month, it gets cumbersome

**What do you like best about onPhase?**

The ability to change and implement a process or form has been a tremendous benefit to us.  During the pandemic, this ability is invaluable as it has allowed us to become a remote team very easily.  Not only are we able to access records remotely, but we're able to collect signatures and process onboarding paperwork in a virtual environment.  We have recently changed our services areas, which included closing several locations while opening new locations.  DocuPhase allowed me to make these changes so that our workflow was not affected by the new areas, within hours.  

We initially looked at DocuPhase for document management, but that is only the tip of the iceberg.  I have never seen a software with the ability to change so much, so easily.   I also feel like I have friends at DocuPhase.  When I have questions or need help with something, maybe just an idea about how I could approach something, I've always been able to reach someone by email or phone pretty quickly.  It's not like calling into a call center, I feel like I'm calling my personal support team.  If someone doesn't know an answer, they get with colleagues and get the information.

Currently, we manage all of our wireless phone lines in DocuPhase.  Each of our locations are able to see in real time what phone lines are assigned to their locations.  If they need to change something or order new equipment, they only need to look up the form, enter the changes they need and submit it.  Not only does it notify the necessary people to make the changes or order equipment, it also retains the form in the process until the line is no longer in use.  This allows us to locate phone numbers quickly, track equipment, review expense by location, retain the history of the equipment including who it's been assigned to, plus any other valuable information.  Prior to DocuPhase, this was all maintained on a spreadsheet and emailed multiple times, this process design was suggested by a DocuPhase team member.  We're also tracking auto insurance, company assets and contracts/leases using the same design.  In creating these processes, I eliminated the need to purchase two additional tracking software.

**What do you dislike about onPhase?**

I wish there was more advanced training.  The initial training is amazing and there is a lot of information.  When you leave, you're ready to build the world.  After a couple of years, you're kind of used to building things a certain way.  As DocuPhase grows and evolves, so does their training.  It's redundant to take the initial training again, but refresher or update courses would be very beneficial.

**Recommendations to others considering onPhase:**

When you purchase DocuPhase, plan your implementation carefully.  The DocuPhase side of implementation is beautiful, but the hard part is deciding what to implement, what content you need to store and how you plan to access it.  I also recommend including all of the users in a process, not just one person.  If you go into it with one person's ideas and no other input, you will run into issues.  DocuPhase can only implement what you give them, your initial processes need to be strong or as soon as you put them in progression, you will definitely see the issues.

**What problems is onPhase solving and how is that benefiting you?**

We have automated onboarding and status changes for employees and contractors, purchase orders - from requests through payment, accounts payable invoices, wireless equipment, tracking identification badges and replacements, check requests and payroll adjustments, pto requests, voided checks and unclaimed property tracking, vendor management, accident reports and many others.  

The largest benefit has been accountability and ease of access.  DocuPhase made peoples jobs a lot easier, which made their work a lot more valuable and more efficient.  Before we would hear "I emailed that a week ago" or "I never received that", now the work items are in a process that not only makes it clearer who did or didn't do something, but it ensures that no one forgets to do something because it's right there on their work list.  Our overall efficiency and trust has improved, now instead of thinking of what someone didn't do, the first thought is why can't I see it in DocuPhase, what happened.  DocuPhase gave us the tools to work together better and encourages creative collaboration.  All of our users know that if they think there is a better way or something needs to be changed, they just need to voice it.  If it's a good change, we implement it.  People feel valued and important, they're not just users, they actually have input and are a part of the whole process not just the task they're assigned.

I like the fluidity of the application and how they are passionate about listening to their customers requests

**What do you dislike about onPhase?**

I don't like to be coddled so I wish they would make their upgrade processes more user friendly so they do  not have to hold our hands for every upgrade big or minor. The upgrade is included in your subscription and Maintenance agreement but what is not included is the hours needed by their team to assist with the upgrade so it makes us feel like we are being nickel and dimed when we need the enhancements but can utilize them until we pay for their support to help us upgrade to the latest build.

**Recommendations to others considering onPhase:**

Look at their history it will speak for itself on how long they have been in the market and how much they have grown since entering the market.

We are solving our paperless initiative buy utilizing this system and the benefits is that they work very diligent to stay relevant to the latest Technology trends and they try to grant almost every wish list requested by their customers.

DocuPhase provides a great resource for creating workflows to automate tasks and remove the need for back and forth paperwork or emails which can get lost. Document images are easily located within DocuPhase which eliminates contact from other departments looking for information.

**What do you dislike about onPhase?**

There is a learning curve with building own workflows in DocuPhase. DocuPhase offers an in person 2-week training course to help in which the user learns how to build workflows, manage DocuPhase, etc. Would like to see training sessions offered online for those who cannot attend in person or provide training manuals, etc.

**Recommendations to others considering onPhase:**

DocuPhase is an enterprise-wide solution and can be used in all areas of a company not just Finance/Accounting.

Our company already had Document Automation, but DocuPhase's solution is more user friendly. Also, we have created many different workflows which helped speed up processes and allows for better visualization into tasks.

what I dislike about this product is not much.

overall application is good.  support sometimes take too long to resolve issues when we call support.

One problem it is solving for us is being able to have a centralized location for everyone to access data. One benefit is that it is helping us keep more organized now that many users are accessing data from different remote locations.

The way this product his streamlined our operations, made filing obsolete, made being able to search and find a document instantaneous. Not to mention the staff who are above awesome in every way and responsive and so knowledgeable. The way tasks have been automated is just crazy.  Such an efficient tool.

I really can think of nothing negative to say.

If you are in anyway hesitating, don’t. This change the entire face of our company in our efficiencies. Not to mention the quality of our work and controls over all of our work products.

Emails are very standard and changing workflows once they are in place is asking for pain.

Have a clear goal of what processes you would like to automate. Stick to them and learn how the system works so you can build around it.

The DocuPhase platform is user-friendly and straightforward to use. DocuPhase is customizable to most company's needs. Finally, security can be set up at the user or group level.

I was the first user for our company seven years ago and I I still use DocuPhase daily. The program is intuitive, versatile, and dependable.

**What do you dislike about onPhase?**

There is very little to dislike about the program.  I would like to use an index field as a stamp.

We have solved some HTML 5 viewer issues with a compatibility issues we have with some users using legacy documents. It requires IT to place the browser in a legacy view that does allow us to use the HTML 5 Viewer.

It did get the job done. It let me see where my requests were in the fin depts queue.

**What do you dislike about onPhase?**

It didn’t work in my default browser and I had to open it in a secondary browser.  It was hard to find my teams requests. The user interface was also difficult to use. I kept a separate spreadsheet to track the request numbers so I could search for them in the system.

It did ensure that all requests were in one place across all departments. In theory, it cut down on emails to the finance department about requests.

**What do you like best about onPhase?**

We originally started using this for online document storage for our invoices to speed up the Audit process.  Later we really started to see the advantages when we implemented automated processes for invoice approval.

**What do you dislike about onPhase?**

The Implementation takes 30 - 60 days so there is a process to get up and running.  It's to be expected but the training and time the team took to ensure we were properly set up is worth the wait.

Docuphase has cut out so much time in my work day. Now, I can have documents transferred  instantly and the response is just as fast! I have been able to meet deadlines faster and have a digital trail sent documents. Not sure how anyone gets by without this!

**What do you dislike about onPhase?**

I can't think of anything that would make me dislike docuphase. If they could find a way to automate anything else, that would be helpful but I am not sure it could be improved.

**What problems is onPhase solving and how is that benefiting you?**

Turnover time. Before, it would take a few days to get forms sent back and forth along with having to complete even more paperwork. Now, it's almost instantly. This has improved so much.

The software is great to be used when you have a lot of vendors and need to keep tabs on everything. The vendor is the one who submits the invoices and that war we only have to see what's being submitted and pay. 

**What do you dislike about onPhase?**

It's a little out of date and has a few minor bugs that would be greatly appreciated to be fixed.

No paperwork is needed. Everything is handled through the site and makes you keep a good trail of work.
