I’m a graphic designer, not a database engineer, and I stumbled on Ninox by accident in 2021 and haven’t looked back since. It let me build exactly what I need without hiring experts: a single workspace for my service offers, print materials, customers, freelancers, printers, plus a complete invoicing and accounting setup. The help desk has been consistently patient and genuinely helpful whenever I’ve had questions. Before Ninox I tried Microsoft Access (plus two or three extra programs) to stitch my workflow together. It never felt intuitive, and I couldn’t get everything into one database without outside help. Ninox replaced that patchwork with a single, flexible system I can actually maintain myself. The result: less time wrestling with tools, more time designing and a clearer view of my studio’s operations, from project intake to invoicing. Bottom line: If you want a powerful database that feels approachable and looks clean, Ninox delivers. Then I created a Ninox database in which I kept my "knowledge". It evolved over time. Some things I kept and others I discarded again. I am not a coding expert but because Ninox is so easy to use, I was able to tackle any problem I had. After a while this develops into an extremely helpful tool to search and evaluate information. You can keep scientific papers, connect them to indications, drugs, key words, clinical studies and much more. You can import CSV files from PubMed or other sources. At the end it turned into a knowledge management system that I couldn't live without anymore. I am pretty sure that the people at Ninox didn't build their database with this in mind but it ilustrates that there is hardly anyone, who wouldn't benefit from this software. ### 5. Little by little I learned, mainly thanks to the forum, since at that time the first manual was quite simple. What I highlight the most is the ease of creating relationships between tables and building a data model as powerful as you want. Additionally, the graphical interface is designed intuitively: just drag on the screen to create a powerful and personalized experience. I also greatly value the ease of integration with other tools: in my case, I mainly use Make, which gives me great power to perform automations. Added to this is the speed of implementation, even in complex projects, and the good customer service, always willing to help when any doubt arises. Since then, I have used it continuously because it combines exactly what I was looking for: power and simplicity. **What do you dislike about Ninox?** I miss a more comprehensive official manual that explains in detail how to harness the power of scripts and the use of HTML, for example, to design dashboards. Additionally, working with scripts remains too complex for many users without professional experience. However, two key issues have drastically changed my opinion of the software: 1. Declining Customer Service: The quality of customer support has significantly worsened. It often feels like communicating with a chatbot, as the responses are generic and fail to address the actual question. It seems the inquiries are not understood, and there appears to be no genuine interest in providing solutions. 2. Restrictive Storage Limits and Unreasonable Costs: While the pricing seems fair at first glance, databases quickly hit storage limits as they grow (which is the core purpose of such software). Depending on the plan, only 1 or 2 GB are included. For years, it was possible to use larger databases without issues or warnings. Then, suddenly, a message appeared stating the database was too large and required additional licenses. At that point, accessing the data was impossible—not even for reading or exporting. The only option was to purchase more licenses, even though I am the sole user of the database. Despite this, the message persisted, and the support team merely suggested buying even more licenses. Now, for my single-user database, I require 7 licenses at €120 each per year. Alternative solutions, such as offering additional storage at a reasonable price, have been repeatedly declined. Charging €120 per year for just 1 GB of storage feels entirely excessive. **What problems is Ninox solving and how is that benefiting you?** We use Ninox as a CRM and for writing quotations and invoices. However, there are many helpful explanatory videos available for this purpose. **What do you dislike about Ninox?** I switched to the CRM of AbaNinja (much cheaper and directly connected to the accounting). Therefore, I deleted the automatic license renewal on the Ninox platform in due time. Nevertheless, the license was debited from my credit card again in June 24. After inquiries with Ninox, they claimed that I should have sent an additional email and that I could not prove my cancellation. Now, we use Ninox for all business processes, from A to Z. It handles quotes, invoices, accounting, workshop job cards, and manages both customers and employees. It couldn't be better. **What do you dislike about Ninox?** It would be great if one could host Ninox themselves. What if Ninox is no longer developed further, or if there is no more hosting available? With different views and print layouts, we made a custom workflow for our industrial production kitchen. Employees use the prints coming out of Ninox, we need paper trails of every produced batch. Ninox is the only program which can do these custom print layouts as far as i know. Simpy delete the irrelevant information , and add the important info. You have to dig into the syntax a little. I dont have a coding background, but for me it was easy to set up. Very helpful community as well. Try it and you wont be dissapointed! I tried almost every other available project management software, but this one is the best. Keep up the great work! **What do you dislike about Ninox?** Hopefully they will simplify the users ability to view/edit columns. So with every column you can select users for editing, and also restrict even more with viewing. Also would like a better undo functionality. Or go into history and redo any action easily. With Ninox we have a lot of freedom doing this. Importing all existing data was done fast. Rebuilding all relations between the tables was done fast with some input from the Ninox forum. I could also extend my CRM with a complete bookkeeping solution, which includes now having my forecast as a part of the bookkeeping. I realized this by using budget bookings. YTD and forecast data are currently seamlessly working together. All three companies' critical numbers of my business are now in a single dashboard. First time having a system where I can build my business processes quickly and easily. You should have experience with relational data structures and a base knowledge of scripting languages. **What do you dislike about Ninox?** The only thing I am missing so far is a function to lock records against update/delete. I gave this as feature request to the Ninox development team and received first feedback that also other customers are looking for such an extension. **What problems is Ninox solving and how is that benefiting you?** I am using Ninox to build my own CRM and extend it with functionality that usually needs additional licenses for other systems and integration work between them. Within 24 hours, I had a response and an appointment. I was immediately helped via remote maintenance. When a small error was still present, I received an additional 30 minutes of support with remote maintenance for free (!). Now everything is running smoothly. The appointment took place on time. Very friendly service. You almost feel guilty for the free support. I was also offered to download the new invoice form. I did that, but the data structure didn't fit. A field had to be added to the invoice table and the invoice form had to be adjusted. Since I programmed databases myself 15 years ago, I was able to make the adjustments to the layout myself. After the support ended, I made various changes to the layout, including adjusting the number format, so now I have a completely customized database. Ninox offers some templates for databases, so many users can acquire a ready-made database for very little money. For example, there are databases for an address book, for appointments, for events, for invoices, for inventory management, for products, for time tracking, for projects, for real estate, for accounting, and for contacts. You can also create a database for your own CRM or an empty database for individual programming. For those who have some programming knowledge, Ninox offers an excellent foundation.
