Knowlix is an all-in-one AI business platform built to run your operations, not advise on them. The AI Teammate sends invoices, chases leads, moves projects, and drafts emails on its own while your team focuses on real work. The two founders behind Knowlix have built and sold companies before this one. One took Kyte to Turo after $370M raised. The other took Metaio to Apple. Two decades of shipping software people pay for. The AI Teammate handles the work other software still asks humans to do. It writes follow-ups when leads stall, sends invoices when projects close, updates status from email threads, and drafts replies in your tone. Everything runs inside one system on shared data, so the AI never asks for context it should already have. Most small businesses pay for HubSpot, ClickUp or Asana, QuickBooks, and Slack, plus a stack of point tools nobody remembers subscribing to. That setup costs hundreds per seat each month and forces three copies of every customer record. Knowlix replaces all of it. One login, one customer record, one AI that can act across the whole stack. Built for teams of 5 to 100 running real operations across sales, projects, and finance. Trades and field service, professional services firms, wellness and fitness studios, agencies, and tech-enabled SMBs across Europe and North America. If your business runs on those rails, Knowlix is the layer underneath. Four groups cover the day: Sales and CRM (pipeline, quotes, contracts), Operations (projects, tasks, inventory), Finance (invoicing, expenses, books), and Marketing and HR (campaigns, hiring, payroll). 50+ apps share one data model and one AI, with website builder, POS, and notetaker on the same backbone. **What do you like best about knowlix.ai?**

Three things, in order.

The AI Teammate drafts proposal follow-ups and client status emails for me. I used to write every message from scratch. Now they land in my drafts inbox already personalized to the client, the project, and the current stage. I review them, tweak a line or two, and send. It’s cut roughly four hours a week from my Sunday admin.

Retainer billing basically runs itself at the end of the cycle. We bill clients on monthly retainers with project milestones layered in. Before Knowlix, that meant manually cross-referencing three tools every month. Now Knowlix triggers the invoice with the right line items as soon as the milestone is signed off.

Customer history is finally in one place. When a returning client calls about a project from 18 months ago, I can pull up the original quote, all revisions, the final FFE list, the final invoice, and the vendor list with a single search. That used to take 20 minutes across four different tools.

**What do you dislike about knowlix.ai?**

Two main points.

First, Knowlix’s markup management for FFE specifications isn’t as specialized as Studio Designer. If you’re a high-volume residential studio purchasing from 30+ vendors and dealing with complex trade discounts, you’ll likely still want Studio Designer for that particular workflow. Knowlix handles overall project costs well, but it doesn’t replace the industry tool when it comes to detailed FFE markup. I’ve been told the team is exploring deeper integrations with industry software, and that would be a meaningful improvement.

Second, the AI Teammate sometimes drafts client emails in a tone that feels a bit too corporate. Interior design is a creative, brand-driven industry, and clients generally expect a warmer voice. I’ve learned to review the drafts closely and adjust them before sending. Voice tuning per studio is on the roadmap, which should help.

**What problems is knowlix.ai solving and how is that benefiting you?**

We cut down from 7 tools to 3 (Knowlix, Studio Designer, Adobe Creative Cloud). Our software subscription spend dropped by about €480 per month across the studio.

I’m getting roughly 6 hours back each week, mainly thanks to automated proposal follow-ups and the end-of-month retainer invoicing cycle that used to take up half a Sunday.

Our proposal win rate is up around 18% compared with this time last year. A lot of that comes down to stalled proposals no longer quietly dying. The AI Teammate sends follow-ups at exactly the moments I would have intended to, but didn’t.

Vendor coordination on a single complex project isn’t my bottleneck anymore. Drawings, RFIs, and lead-time reminders are tracked and chased without me having to hold the thread.

And honestly, I don’t do studio admin on Sundays anymore. That’s not a metric, but it’s the one that matters.
