Having all of our records in a central place, searchable by our stakeholders. **What do you dislike about eScribe?** Managing attendees/removing attendees is poorly designed. **Recommendations to others considering eScribe:** We moved to eScribe from a different digital agenda system. Data migration was flawless, customer support is incredible responsive. The app and web interfaces are both very easy for our users to navigate. Our eScribe is tied to Active Directory, which makes new account creation very easy. A centralized records depot for our meeting minutes and agendas including backup documentation has been instrumental in streamlining our processes - especially in the current education climate (with staffing cuts and shortages, every minute counts) Thanks for the opportunity to provide feedback. **What problems is eScribe solving and how is that benefiting you?** We have solved the problem of historical records and precedent-setting motions being tracked by one employee. These items can now be searched by anyone looking for them. We have also reduced the time it takes for minutes creation and publishing, thanks to eScribe. ### 3. We selected eScribe as our electronic meeting management software after an extensive review of other competitors and found eScribe to provide the best solution at a cost that was within our budget. **What do you dislike about eScribe?** We have, in the last year, experienced some turnover in our eScribe users and we're finding that it's not very easy to replace the names of users in all the places they may have been listed. If it were possible to do a 'search and replace' of a user name to assign the new user to all the rights that the previous user had, that would be very useful. **What problems is eScribe solving and how is that benefiting you?** The use of eScribe has allowed us to better plan for meetings because we are aware in advance of what reports are being scheduled for a particular meeting. We've recently started using the 'draft' agenda feature which has also made that process easier. We are also able to better manage our agenda preparation deadlines by having hard cut-offs established for when reports have to be submitted and when they must be approved by. ### 4. Don't like when there are issues with preparing the Agenda, hmmm. The product could be better if it would download more document formats, if it was integrated with Laserfiche, our document management respository, and if the Report Manager was less cumbersome. **What problems is eScribe solving and how is that benefiting you?** Love how it has all the meeting content in that one escribe repository. Love the Voting Module during meetings., both virtually and in-person. We now use eScribe frequently to do searches of items that had come before Council. Saves great time with minute preparation too. I highly recommend it! ### 5. I also love the copy and paste function, and the refer item function is also very convenient. It took me a while to get comfortable with the system, as there are a lot of functions, but now I would not do without. **What do you dislike about eScribe?** I dislike the display of the e-mail invites - it looks like junk mail and sometimes leads to confusion for new users. I dislike the fact that when you refer item - when choosing the meeting, all meetings are all listed, and it's the oldest first, should be the other way around ( I cannot imagine referring an item to a meeting that has past years ago). Also, dislike that every time we "prepare" a meeting would are obligated to go into "Attach" resolution pages. We never do it any other way, should be able to set this function and never have to worry about it. **What problems is eScribe solving and how is that benefiting you?** It keeps us organized and easy to refer back if someone has declared a conflict and under what item. ### 6. It makes Agenda & Minute preparation easy, with features such as templates and auto-saving. **What do you dislike about eScribe?** Currently, we are working on problems with the iPad app for eSCRIBE meetings and closed meeting agendas. It is being resolved but is something that is delaying our full implementation. Also, the settings for centering the logo and text could be more user-friendly. **Recommendations to others considering eScribe:** Explore other organizations that use the system and determine which aspects of the eScribe programs are necessary for your organization. Speak to other administrators to better understand the implementation process, and be ready to implement a training program for staff and other users. **What problems is eScribe solving and how is that benefiting you?** The biggest problem we are solving with eSCRIBE is the formatting and uploading documents. It is a huge time saver not having to bookmark every agenda item and the simple uploading of Agendas & Minutes to the iFrame. ### 7. The platform is extremely user friendly, makes training additional staff easy. **What do you dislike about eScribe?** Can't say I have any dislikes. We have some 'suggestions' for platform enhancements, and the customer portal is great for submitting those requests. **What problems is eScribe solving and how is that benefiting you?** eScribe allows us to build and publish multiple agendas with ease. Prior to eScribe we were solely paper based, if there was a change or an error in printing, it resulted in much time to correct, with eScribe, changes, additions, amendments are easy. ### 8. Once you get used to the way that eSCRIBE works it becomes more intuitive. **What do you dislike about eScribe?** When you have added attendees to a meeting I don't like how they appear in the minutes. We should have more options other than Present, Resource, Regrets ~ like Guests and Presenters etc. **Recommendations to others considering eScribe:** Ensure you access all the relevant training, especially for the super users/administrators as they should access training and review the training multiple times until they are proficient. **What problems is eScribe solving and how is that benefiting you?** Keeping all meeting related docs in one spot - easy to find - easy to reference historical pieces when needed - saves on time and frustration....very efficient. Creating reports, attaching documents (multiple) and forwarding through the approval process. **What do you dislike about eScribe?** To search in Report Manager is fairly easy, however, it would be nice to be able to link to the agenda item in question from that screen. **What problems is eScribe solving and how is that benefiting you?** Creating standards within the organization. Recently amended template to include the Strategic & Tactical Plan (drop down menu). Very helpful in ensuring that our Plan is current. ### 10. It saves us from buying server hardware and software licenses. **What do you dislike about eScribe?** Voting portion doesn't meet our needs. Software is very buggy. It took about one year to work out the bugs and have our requirements met. **What problems is eScribe solving and how is that benefiting you?** One solution to manage our meetings. We're still in the implementation phase one year later. ### 11. Repeated info gets pre-populated. Minutes can be taken while live at the meeting, and they get generated in the order they were entered. ### 12. I also use it to search resolutions and issues very frequently. **What do you dislike about eScribe?** There are some areas that are a bit time consuming and needs some tweaking. **What problems is eScribe solving and how is that benefiting you?** All staff involved can access and edit/revise draft reports, attach documents etc which is very beneficial. Searching past resolutions or past reports that have gone to Council is also very beneficial and has saved a lot of time. ### 14. My experience has been very positive. Useful to begin creating agenda's in advance and having one place to store all the info. **What do you dislike about eScribe?** Formatting. I find I am consistently formatting Minutes in Word after they are prepared. Roll Call is not user friendly either. You are unable to easily change and have a particpant enter late and the minutes reflect same. **What problems is eScribe solving and how is that benefiting you?** Starting an agenda in advance has been solved. Tracking meetings is beneficial. Uploading to website is great. ### 16.
