**What do you like best about Wflow?**

What really stands out to me with Wflow is that it is built to complement our existing accounting stack rather than forcing a full‑scale system migration. Our firm relies on well‑established German bookkeeping software for all official tax postings, and switching our core system would bring huge compliance risks for all our client accounting records. Most expense tools I trialled push you to move every finance process onto their platform, which was completely off‑limits for us. I also value how approachable the receipt upload and review workflow is for our non‑technical tax consultants. Our advisors spend most of their time doing on‑site client tax audits across northern Germany; they are brilliant at client advisory but hate complicated‑to‑learn finance software. They can snap photos of restaurant bills, parking tickets and train receipts out in the field and submit directly inside Wflow, no deep accounting knowledge required. Last winter tax season, four of our consultants were constantly travelling to visit small‑business clients. Previously with Vertical Expense, they would mis‑file dozens of receipts into wrong folders, and I would waste half‑days tracking missing documents. After switching to Wflow, they dropped over 85 receipts straight into the submission queue, and zero files got lost in email or mis‑named shared folders. Its configurable CSV export options are another huge practical win for our day‑to‑day work. I can tweak export fields to match the exact import template our core accounting system expects. Before we had this flexibility, I had to rebuild entire spreadsheets manually after every expense batch. That said, it is not without small annoyances. During that same busy winter period, one export run still corrupted German umlaut characters in vendor names. I had to open the CSV file in Excel and manually fix around 12 vendor entries before I could import data. Even with that occasional glitch, Wflow’s ability to sit on top of our current toolchain and simplify receipt intake is its biggest strength for our small accounting practice.

**What do you dislike about Wflow?**

Wflow comes with multiple painful limitations that create extra manual work for our German accounting practice, most critically its poor native support for local German VAT‑taxation logic. When our consultants upload travel, catering or client‑meeting receipts, the platform only captures the gross total amount; it will not automatically split out different VAT percentages. Earlier this quarter, I processed a large batch of travel expenses submitted by our consultants returning from on‑site visits for one of our bakery‑industry clients. Around 18 separate expense lines carried incorrect VAT breakdowns. I had to open every single receipt image, recalculate tax portions by hand and edit each entry individually. That whole correction process took me close to three hours, time I should have spent working on that bakery client’s monthly bookkeeping instead. Equally worrying is its weak compliance‑oriented document archiving. German tax law requires permanent, unchangeable time‑stamped records for every expense receipt. Wflow saves uploaded files, yet users with basic edit rights can modify or erase entries with no locked audit log and no recycle bin for recovery. We ran into a very awkward real‑world incident: one junior team member was tidying‑up old expense projects and accidentally deleted several expense documents belonging to a local retail client. There was no way to restore those files inside Wflow. We had to email that client and ask them to resend copies of their original invoices, which made our firm look unprofessional and created extra follow‑up work for our client‑relations workflow. On top of that, there is no native integration connector for our German accounting software. Every single expense batch still depends on manual CSV export‑and‑import cycles. Sometimes special German characters get broken during export, adding yet another round of manual checks. Wflow helps us collect receipts easily, but these gaps force us to maintain heavy manual validation and separate Nextcloud backup workflows just to stay compliant with local accounting rules.

**What problems is Wflow solving and how is that benefiting you?**

Wflow was brought in specifically to fix our messy pre‑processing bottleneck we suffered while using Vertical Expense. Back then, we constantly fought mis‑formatted exports, broken VAT calculations and receipts scattered across mis‑ordered shared folders. Before adopting Wflow, every receipt photo and client‑submitted invoice required me to manually sort files in Nextcloud and type all key information into Excel spreadsheets. I remember one tough phase last autumn, when we supported multiple small‑business customers through their quarterly tax closing. Our consultants were constantly out doing on‑site advisory appointments. We received piles of travel‑related expense documents. Using Vertical Expense at that time, we had a major mishap: a batch of 40‑plus consultant travel receipts exported with completely messed‑up VAT fields. Repairing those records delayed our month‑end close by two full business days and put our whole operations team under heavy pressure. That stressful event pushed us to hunt for a better pre‑processing solution. Wflow solved a large part of that pain point. All employee receipts land in one central review queue instead of getting scattered across email threads or messy shared drives. Our travelling consultants can submit expense documents in the field, I can review and tag entries in bulk, and generate adjusted CSV files ready for our main accounting software. During last quarter’s busy tax period, we processed more than 130 individual expense records through Wflow, work that previously would have taken me many extra evenings of overtime work. Still, the tool does not remove all our compliance burdens entirely. Mid‑way through last quarter, I exported a sizeable expense batch and discovered several entries had missing VAT splits. I had to cross‑reference each line item against original receipt files and sync corrected final documents over to Nextcloud for tax‑compliant safekeeping. Wflow greatly cuts down our manual file‑sorting workload, but we still must invest significant time on manual compliance checks to satisfy German tax‑keeping requirements.
