Rohirrim's Customer Support Team is totally invested in my company's success with the tool, and we have benefited from their team's in-person and virtual training sessions; I can't speak highly enough of that team. The tool itself has a bit of a learning curve to it, but the training manual has step-by-step instructions that help you acclimate to the interface and what to do with each of the tool's features: Answer Engine, Solutions Architect, Proposal Writer, and Graphics Lookbook. Once I learned which feature to use for which purpose, it became a regular tool in my BD writing toolbox. I use RohanRFP at least weekly because it is a GenAI tool that is closed to just my company's environment, protecting our proprietary information--something that is critically important. Adding files to my company's resource library is really easy with Microsoft Azure Storage Explorer, which allows us to create a file structure that is easy to follow in the RohanRFP interface. I will start by saying that the quality of RohanRFP's outputs is dependent on the quality of your company's resource library. If there aren't enough files in the resource library, or if that material is dated, then the results are less likely to be fully accurate. I have seen the model become more deterministic over the years, which gives me more confidence that the tool will admit when it doesn't have the answer. But RohanRFP doesn't have a feature that expresses how confident it is in the accuracy of the material; blindly trusting the RohanRFP outputs can be a big issue, particularly for newer colleagues who are less familiar with the company's past performances.

My company has power users and those who use it less frequently. It has been difficult to get 100% of the team on board with the tool because some find that there aren't enough instructions woven into the screens of each feature (Solutions Architect and Proposal Writer especially). For users who need to use the tool less frequently, we have found that it is easier to forget what to do at each step. The training manual certainly helps answer these questions, but RohanRFP could benefit from more instructional language inserted into each step of the process. Well, RohanRFP has transformed our proposal process by substantially improving our efficiency, first-draft quality, and team morale. The platform could benefit from deeper integration with other systems in the proposal tech stack, such as CRM, pricing tools, or business intelligence suites. RohanRFP tool is a fantastic solution that accurately shreds RFPs and logically uses a company’s past performance to generate an outline and initial draft. The core process is incredibly fast—typically completed in just 10 to 15 minutes. This does not include the time needed for users to apply the platform’s extensive customization options.

The document upload process was quick and easy, with documents becoming searchable and referenceable within 24 hours. One of the most utilized features was the Q&A section, which allowed users to ask questions directly to the documents. This could generate comprehensive summary of cross-company capabilities and/or specific summaries of contracts and technologies, and I found myself using this feature daily.

Overall, the product is excellent—but what truly made RohanRFP stand out was the customer service. Everyone we worked with was responsive, professional, knowledgeable, and kind. The data ingest process is straight-forward. However, the ability to exclude specific documents (artifacts) is currently not there.
