I use QuickBooks Payments to raise invoices and collect money, and I appreciate that it's a pretty universal and flexible solution. It works for almost anybody who has a card, regardless of whether they have an account like PayPal or any other solution. I find the fee for QuickBooks Payments to be similar to other card merchants and PayPal, which is quite standard, but the most frustrating part is the integration with QuickBooks itself. It doesn't make sense to me that it's not well-integrated. Payments coming into QuickBooks are not automatically categorized, which causes error messages. I have to manually categorize them and ensure there's no double accounting. This is something I would expect to be smooth and automatic, especially since it’s not a third-party system but from QuickBooks itself. To manage this, it’s best to encourage ACH payments for invoices over $1,000 and reserve card payments for convenience. Deposit timing can also be an issue, as standard deposits take one to two business days and may take longer for new clients or larger transactions, which can impact payroll or scheduled obligations. Additionally, QuickBooks may flag transactions for review, place holds on funds, or request documentation—often triggered by larger payments, new clients, or unusual activity—meaning you can do everything correctly and still experience delays. QuickBooks Payments has been a great tool for my business. I enjoy how I can receive payments and pay subcontractors directly, and the setup for billing was easy, connecting directly to my business bank account. I appreciate the quick notifications of increased processing limits as my business grew. Invoicing is simple now with fields that are easy to follow, invoices sent directly to customers with payment terms included, automated reminders, and I'm included on invoices. I can see when invoices have been opened, when payment is initiated, and if anything is late. The process for paying subcontractors is efficient too. I would also like customers to be sent a detailed receipt when their transaction is done so that they can see their cost breakdown. As I have a lot of customers approach me afterwards and ask for one. And when I go into the system, it's not a very detailed receipt that I can give them either. I like that it helps in providing seamless information to my tax accountant, especially regarding the P&L and mileage tracking, which is regularly updated. I don't like the fact that the cost is increasing while keeping the same features. Also, the mileage tracker sometimes hangs up and shuts down. There have been times when I was traveling for business, thinking it was running, only to find out later that it wasn't, and I wasn't getting those mileage tracked.
