**What do you like best about Ottimate?**

We currently utilize Ottimate for AP and has made this process much smoother from getting vendors paid on time to getting approvals faster. Less emails from the group about whether or not this is approved to pay as we have a simple rhythm for who is responsible for approving different areas and it gets to the right people each time. Ease of use and research has made this such a great product to want to use.

**What do you dislike about Ottimate?**

Downsides have been paying with Virtual Cards for certain vendors as a lot of our vendors received calls regarding the virtual cards and they did not opt into this in the first place.

**What problems is Ottimate solving and how is that benefiting you?**

Having a repository that is easy to research, faster response times and timely payments have made this a system that is worth the money for us and less complications about missing invoices/payments to vendors.

**What do you like best about Ottimate?**

I utilize Ottimate for accounts payable, processing invoices, and obtaining necessary approvals. The tax slide bar has simplified and expedited the process, proving to be very helpful and a huge time-saver. The customer service team shows great attention, listens to what we ask, and involves us when trying out new software features. The new chat feature is really great, with real-time responses available when I have an issue or question. Additionally, I believe Ottimate is the best software for accounts payable I've ever worked with.

**What do you dislike about Ottimate?**

There are some issues we're working out, but I don't feel comfortable yet with complete automation for my invoices. Some things are not being picked up correctly in the invoice header and taxes must still be checked at this time. There is not a lot of deviation regarding invoice descriptions on the line items and must be recoded often.

**What problems is Ottimate solving and how is that benefiting you?**

Ottimate simplifies and speeds up invoice processing with the tax slide bar, saving time on reconciling taxes per GL code. The chat feature provides real-time assistance, enhancing the overall user experience.

**What do you like best about Ottimate?**

This software saves me a ton of time each day. Prior to the software, I could spend up to 2 hours inputting invoices. With Ottimate, that time has been cut down to around 10min. per day. By utilizing this software, I was able to hold off on hiring an assistant. This has been a huge money-saver for our small organization.

**What do you dislike about Ottimate?**

The only thing I dislike about this software is that it can take up to 24 hours for the invoices to be ready once uploaded. Therefore, if I have an invoice that needs to be turned around same day, manual entry is still required.

**What problems is Ottimate solving and how is that benefiting you?**

I am the only person in the accounting/finance department. This makes my time very valuable. This software allows me to utilize my time better, with less manual input.

**What do you like best about Ottimate?**

I use Ottimate to process vendor invoices, and I appreciate how it removes the paper from the accounts payable operation. Invoices are sent or uploaded directly to the software, and the approval chain allows for quick and efficient digital review and approval, which speeds up payments to our vendors. Historical invoice information is also easily accessible for quick reference, saving time and increasing organization for tracking outstanding invoices. I like that all invoices, current and historical, are available quickly for search rather than having to pull paper invoices from a cabinet. This makes referencing past charges or historical billing information from a vendor much easier and saves a lot of time. I find the electronic approval chains especially great because they prevent lost invoices as they move from department to department. Ottimate also remembers how past vendor invoices were coded and suggests coding based on historical data, saving a lot of time and effort during the coding process. The setup and customer service were high-rated, with an easy setup process that was well-supported by the Ottimate team.

**What do you dislike about Ottimate?**

Currently, I am noticing that when vendors complete invitations to enroll in ACH payments, Ottimate's backend approval process for these accounts seems to take awhile (more than the 1-2 days noted on the completed invitation). I have needed to open support tickets to check on the approval of these accounts in order to open these vendors up for electronic payment. This is an extra step that has been a little frustrating but worth it in the end. I am also noticing that the 'Bulk Action' coding of line items is a little quirky in that it seems that this action cannot be relied upon consistently to update coding for all line items on an invoice. I will select 'Bulk Action' at times and designate the coding to find that for some reason, not all line items were updated with the Bulk Action. Another area where I'm having some issues is with vendors who receive early payment discounts. Some of our vendors offer these discounts on some invoices and not others, and it seems that Ottimate cannot handle this type of arrangement - it requires manual entering of these invoices in order to accurately process the discounts. Another area that would be nice is if VendorPay payments were processed to vendors in a tighter turnaround from when they are processed through Ottimate.  Currently, we process VendorPay payments on Friday and our vendors will not receive the payment until the following Thursday although the funds come out of our bank account the next business day.  If there is a urgent payment we need to make, it is hard to explain to a vendor that we process a payment but it takes a few days for them to receive (whereas, if we did an ACH payment manually through our bank, the vendor would receive it next day).  Finally, we have noticed that some vendors are sending over documents that Ottimate attempts to break out into multiple invoices even though they are likely one invoice - I've gone through a call with Ottimate where they have set up a Supporting Documents email address to provide to these vendors, but it has been a little extra work trying to identify these vendors and make the corrections. In the meantime, we were billed for the invoice overage from our contract as a result of this issue.

Ottimate helps me process vendor invoices electronically, streamlining approvals and payment processes, reducing paperwork, and increasing organization. It saves time by remembering past actions for invoice coding, and electronic payments eliminate the need for checks.

**What do you like best about Ottimate?**

Ottimate has been a great tool for our AP team -- combining EDI features, an easy to use repository of invoices, and payment processing. We now exclusively use Ottimate for all things Accounts Payable and have tremendously expedited our processing speed.

**What do you dislike about Ottimate?**

There are a few things still to be desired -- the ability to help the system learn where information is found on vendor-specific invoices, visibility into discount terms and management for various term structures, and a few other smaller items. Altogether, nothing that we can't work around.

Ottimate helps with the speed of reviewing and approving invoices, as well as the time it takes to cut checks, store invoices, and follow-up on vendor payments.

**What do you like best about Ottimate?**

I really appreciate how Ottimate has helped us process invoices much faster, freeing up time for our team. The AP automation is amazing and seeing an invoice get uploaded and coded by the system is wonderful. Paying our vendors is now extremely easy, thanks to ACH and credit card payments. Tracking all of our payments to our vendors and within our accounting software is very convenient. The reporting has been extremely helpful for month-end purposes, and the spend analyzer helps us see what one product costs across multiple hotels, which has been awesome for cutting costs and ensuring universal pricing. The initial setup went very smoothly, and we could quickly work through all of the setup with the implementation team.

**What do you dislike about Ottimate?**

The only thing I have found that could be improved is that the AI tends to do things and input items or code that have previously been deleted.

Ottimate speeds up invoice processing, allowing our GMs to focus on tasks that matter. It helps us avoid mail fraud and makes handling payments super easy. We can easily track vendor payments, which integrates smoothly with our accounting software.

I really appreciate how Ottimate saves me time by using machine learning to help book invoices, and I love having payments all in one place. It's great that it does most of the work for me. I also like that it's easy to make payments to vendors, regardless of payment type. Some vendors accept VCards issued through Ottimate, which give cash back, and it's helpful that Ottimate will cut and mail checks for a small fee. The easy implementation was also a plus.

Sometimes the invoices aren't booked correctly, and the posting dates don't get learned over time.

**What problems is Ottimate solving and how is that benefiting you?**

Ottimate saves me time with machine learning for booking invoices and centralizes payments. It's easy to pay vendors, including using VCards with cashback. Ottimate also cuts and mails checks for a small fee, making vendor payments convenient regardless of payment type.

I think the thing that could improve is the interface. So some dashboards and reports could be easily inputted into the platform.

**What do you like best about Ottimate?**

I just like that Ottimate integrated with our back office accounting system, which is very nice and seamless, so we're not having to do export and imports like that. The support staff has been fantastic, especially Stephanie. What I like most is the virtual cards and earning some cashback on that, allowing us to do ACH directly. Also, I like that it's able to do our positive pay file directly to our bank, which has been very nice. The AI learns every time we upload invoices and knows our coding, saving us time. It's nice that the vCard allows us to pay our vendors quicker and the cashback helps with the monthly subscription fees. It's also nice that our vendors get paid directly into their bank accounts via ACH, avoiding the need for mailing checks. The integration with our back office system is fantastic and works well with our business intelligence tool, helping us improve our system by giving us data insights.

**What do you dislike about Ottimate?**

One thing would be, it's not able to discern the amount of checks. We had requested that any check over $25,000 have a second signature. Unfortunately, the system at this point cannot do that. So we've done a workaround with a second signature, and that's fine.

**What problems is Ottimate solving and how is that benefiting you?**

I use Ottimate to automate our AP system, writing checks, and invoices. It eliminated manual check signing and embraced ACH and vCard payments, enhancing remote work efficiency. The integration with our accounting system and the seamless use of virtual cards are really beneficial.

I like the ease of uploading documents to Ottimate and appreciate the ability to revisit uploads via linked confirmations. Each time I receive a confirmation email of the upload, I save it for my records. This is really helpful as it allows me to check when bills are paid, and I can use the Ottimate confirmation to send to accounts payable for a status update. I use Ottimate regularly to upload invoices from third-party vendors and have accounts payable manage admin bills. It accounts for all submitted invoices and allows for research or reference to uploaded info, which is valuable because management can review the submitted materials.

**What do you dislike about Ottimate?**

There have been a few times I've uploaded documents and they weren't found by our AP department. Once identified, I simply re-uploaded the docs and sent via email to ensure they could reference.

I use Ottimate to upload invoices, which makes it easy to account for all submitted invoices, allows for reference to uploaded info, and lets management review submitted materials. The confirmation emails help me track payments and inquire about status updates.

We recently transitioned from Market Basket to Ottimate. I really appreciate how it remembers coding, which makes the entire process much smoother and more efficient for us. As we continue to load everything in, I expect it will become even easier. I also find it helpful that I can quickly adjust the routing when necessary, such as for CapEx, and apply those changes to just a single order. Additionally, having the ability to view payments without needing to contact accounting for details is fantastic and saves a lot of time.

My only real complaint about Ottimate is that the input sometimes separates things it wasn't meant to, which isn't difficult to fix but definitely threw me at first.

From an approving standpoint, it's very straightforward. I use Ottimate to approve invoices for vendors I book, and I can also search for past invoices under a certain vendor name as well as verifying payment terms and history. I don't work on the back end of entering the info, but from my perspective, it's very intuitive and easy to navigate.

**What do you dislike about Ottimate?**

I wish there was a way to search by both vendor name as it's entered in by accounting, but also other keywords when I'm searching for a vendor who's actual name is different than their vendor name.

**What problems is Ottimate solving and how is that benefiting you?**

It makes approval of vendors seamless. I can flag if there's an error and kick it back to our AP department, and I can also see who else approved or flagged any invoice.

Some invoices take several days to appear. Often drops invoice pages in upload. Inability to select by vendor code rather then name when updating the vendor name. Can take long to save changes. Sometimes changes need to be redone and saved several times.

After a few hiccups - Ottimate has cut down the processing time for over 2000 invoices a month.  Our vendors are used to the payment schedule and how the VCard works - it has increased our efficiency

**What do you dislike about Ottimate?**

We had concerns as to how they presented the Vcard in the beginning as it was causing confusion amongst some of our vendors. Most still prefer the Ach option

I love that I only have to go to one place to review all of my invoices and all my vendors. It is extremely efficient and saves my team and I lots of time. We can upload invoices, we can check pricing and shipping information, and it helps us to make sure we are in line with the budget and what we forecasted for.

I have not come across anything in Ottimate that I dislike. All of my experiences have been helpful and convenient.

Ottimate helps me to ensure all of my invoices are being recorded, coded, approved, paid, and filed appropriately. This helps me to ensure I am within my budget and lets me know where I am at in my spending.

Ottimate is a reliable software that is easy to use and teach the team how to use. We have had it for a few years and it functions by reading the invoice, going through the approval chains and being submit for payment. Researching in ottimate is easy and user friendly.

**What do you dislike about Ottimate?**

There is some frustration around customizing restrictions and uploading that I have experienced. We would like GL level restrictions to prevent coding departments to balance sheet accounts. And the default of splitting up invoices by multiple pages is a bad default. We are constantly chasing down supporting pages.

**What problems is Ottimate solving and how is that benefiting you?**

Ottimate has beefed up their fraud prevention. We had a bad actor change the banking information for a vendor and steal 50k. Since ottimate has helped prevent other bad actors from doing the same.

Offline payments do not export through vendor pay.  All issues have to run through support, there isn't much you can fix on your own. Different modules have different rules on how the same button works.

No more paper, no more filing cabinets full of invoices.  Details are at my fingertips all of the time.  No more signing 50 checks a week, and waiting for the second signer to show up.

**What do you like best about Ottimate?**

Ottimate streamlines our accounting process, which has allowed for my accurate and timely financial reports. We now have more time for in-depth reconciliations and analysis of accounts, and we couldn't be happier with the product and service we have received. This software is user-friendly, and offers tons of neat features that I haven't seen from competitors.  Additionally, their customer support team is first in class, very knowledgeable, and super friendly.

**What do you dislike about Ottimate?**

The downside of using Ottimate would be that it has created more work for us in our office, by that I mean we may not have gotten to certain reconciliations every month due to our long and tedious accounting process. However, now we have a lot more free time to complete projects that we struggled to spend time on.

Ottimate immediatley solved our long and tedious manual process, additionally it allows us to see which departments are holding invoices and not submitting them to accounting in a timely fashion. Secondly, their statement reconciliation feature has saved us countless hours, and has proven to be very accurate.

Using Ottimate has greatly reduced the time for both our managers and accounting team for AP. We love being able to easily review invoices later in the month when running budgets. The AI quickly processes GL codes and helps keep us more organized. Love the auto upload features as well.

Still working on some of the reports being helpful, they are a little clunky still. Also, sometimes the AI isn't reading our invoices correctly and there is more work needed to process than expected.

Ottimate has helped simplify some of our AP processes. We still don't use the payment features but look forward to that in the future. Also, there are some useful reports for us that easy to pull since it's been updated and helps give us some very interesting pricing information.

The best thing about Ottimate is the ease of AI. It is very easy for General Managers to scan and approve invoices because of Ottimate's AI features.

**What do you dislike about Ottimate?**

The vendor pay feature is troubling. I do not like how Ottimate takes the money from our bank account then does not follow through with the payment on their end. There have been slips in payments being withdrawn from our banks but not paid to the clients. This happens when the Vcard feature does not go through, and Ottimate does not pay them via ACH or check. This happens too frequently in my opinion.

Some of their vendor setups are not working correctly. I have to frequently merge vendors.

Ottimate is a time-saving tool used to help us process invoices and get approvals from managers associated with certain accounts.

We currently have over 50 locations using Ottimate, and I, at the corporate location, can easily assist anyone using this program and manage the invoice process.

The only issue I have is that you can't create a space in the invoice number; it is just a run-on without spaces, even if you use the space bar.

I LIKE THE WAY IT RETAINS GL CODES TO MAKE LESS REDUNDENCY WHEN CODING INVOICES. I LOVE HAVING COPIES OF ALL INVOICES. VERY USER FRIENDLY. i LIKE THE POSITIVE PAY FILL

IT TAKE LONGER THAN IWANT TO UPDATE IN PVNG

IT IS FAST EFFIECIENT AND EASY TO TRAIN STAFF

**What do you like best about Ottimate?**

All AP Automation software provides similar functionality and is usually suited for specific systems. What makes Ottimate standout is their customer service and how easy they are to work with. Never been happier with a software partner.

**What do you dislike about Ottimate?**

Once you hit the limitations of their system it can be difficult, however they have done a good job to remediate this and create better systems and plugins (API) for different software platforms.

**What problems is Ottimate solving and how is that benefiting you?**

Multi-location invoice management.

Ability to add users in multiple companies without having them be general managers.

Ottimate Streamline both Invoice processing and workflow.

**What do you dislike about Ottimate?**

I wish the automation around mapping coding was a tad be better. When going through coding a lot of the same invoices are coded incorrectly when Ottimate auto codes it. Could be a user issue or made I need additional training on this matter.s

It helps with all the manual processes and approvalsthat are needed in our day-to-day work

I save so much time not having to enter all of the codes we use because it does it automatically once you set up vendors.

So far I haven't experienced any downsides.

It is accomplishing coding, approving and payment of invoices.

Super easy to pick up and use. Everything is very self explanatory and user friendly. Customer support is great, super fast on responses too.

**What do you dislike about Ottimate?**

Not being able to export into excel a list of pending invoices for review.

**What problems is Ottimate solving and how is that benefiting you?**

AP automation is the problem Ottimate is solving for us. We have such a large volume of invoices its impossible to do manually.
