**What do you like best about Maxio?**

Maximum contract structure flexibility. Super easy, yet robust integration with QuickBooks and Salesforce. Complete drill-down capabilities into all financials. Intuitive and easy-to-use user interface.

**What do you dislike about Maxio?**

Only dislike so far has been that the subscription changes (cancellations, early terminations, etc.) have taken a little more work to correctly align financials, invoicing, and metrics reporting. A lot of this is just the learning curve on our side as there is SO MUCH functionality.

**Recommendations to others considering Maxio:**

If you are a primarily B2B subscription business, or any business with sales-negotiated subscription contracts, this solution is definitely for you. The time-saved and the reporting integrity provided are completely worth the cost. We looked extensively into other options (ChargeBee, Chargify, as well as some of the ERP billing tools), but they were all tailored to a B2C business model with minimal flexibility around contract structure. Also SaaS Optics support and the general sales process was FAR AND AWAY the best.

**What problems is Maxio solving and how is that benefiting you?**

Streamlining our sale-close to billing cycle. Adding integrity to our reporting. Expediting our financial close process by automating revenue recognition. Fully automating billing and collections. We are also realizing extra benefits in what SaaS Optics can push back into Salesforce in terms of payment/invoicing information that keeps our Client Services team informed.

**What do you like best about Maxio?**

I like alll of the possibilities for data. There are many differnet angles that SaasOptics allows you sort through which are much more detailed than our previous provider. We are much further along as a business as it pertains to data because of SaasOptics.

**What do you dislike about Maxio?**

I'd like to see the system be more automated. We make errors at times because we are doing calculations on our own. We accedintally change a term or our ARR or MRR information can be off due to user error. When we upgrade a user we calculate on our own etc. This doesn't happen often but I think this would be eliminated if the system was more automated.

**What problems is Maxio solving and how is that benefiting you?**

We utilize SaasOptics for all customer billing. We track all sales rep information, lead source information. Pretty much all of our customer related information in regards to revenue is in SaasOptics. It's the primary source of truth for us.

**What do you like best about Maxio?**

SaaSOptics has allowed us to fully automate our order to cash processes. Information flows seamlessly from Salesforce into SaaSOptics and then into QuickBooks. I have full confidence in our revenue accounting thanks to SaaSOptics, which is priceless when presenting to senior leadership and outside parties. It is obvious when using the software that it was designed for B2B subscription providers. I have not come across a situation where a customer contract flummoxed SaaSOptics' ability to handle it, whether that is from a rev rec or billing perspective.

**What do you dislike about Maxio?**

SaaSOptics is a robust tool, which also makes it complex and therefore the learning curve can be steep. Reporting is a bit cumbersome and can take some time to understand the nuances. Overall, UX is not SaaSOptics strenth.You will likely find that you will need several iterations of analytical tagging to get your reporting correct, but once you are up and running it becomes very simple. Additionally, I think SaaSOptics sometimes tries to answer complication questions before addressing some very simple ones. Examples include difficulties around understanding the number of transactions up for renewal. Certain quirks in SaaSOptics' reporting causes things to be excluded. I find that I have to sometimes download raw data from SaaSOptics in order to do the type of churn analysis that is required of us. The upside is that the data is clean.

**Recommendations to others considering Maxio:**

If you are a B2B SaaS Company, you will have a hard time finding a better solution that SaaSOptics. This is especially true if you are still on QuickBooks. Using SaaSOptics has allowed us to avoid upgrading to a more robust GL by at least a couple of years.

**What do you like best about Maxio?**

I love the fact that SaaSOptics cleanly stitched together billing and subscription management processes that we're previously on separate platforms. SaaSOptics integrates very nicely with Quickbooks and Salesforce to finally give me confidence that I can manage recurring revenue well. The subscription analytics reports are second to none and very easy to generate. They provide reliable and timely information which help us better analyze past performance and set targets for future performance.

**What do you dislike about Maxio?**

SaaSOptics ASC 606 revenue recognition features are still in its genesis and there are some quirks that I have to work around. There are some processes, like reorganizing your transactions within contracts, which take a few too many clicks to achieve what I'm trying to achieve and sometimes this slows me down. The UI appears a little outdated as well.

**Recommendations to others considering Maxio:**

I recommend before buying SaaSOptics, or any other recurring revenue management software, to walk through each and every type of contract, each way you bill, each way you collect money, and each way you recognize revenue on contracts. Going through in detail before you sign up will ensure that the system will meet your needs appropriately.

**What problems is Maxio solving and how is that benefiting you?**

SaaSOptics helped me solve the problem of recurring revenue management. Previously we were losing a lot of renewals due to messy administrative and accounting processing surrounding recurring revenue. Another problem that SaaSOptics help me solve that many of subscription platforms helped me solve is that I can perform both recurring and one-time billing under the same platform, which is very beneficial for the type of business we are. SaaSOptics is very customizable to almost any billing practice, which works very well for our company because we bill in a variety different ways.

**What do you like best about Maxio?**

The tool is very well thought out - when logging contracts and transactions they can be arranged in custom revenue and invoice schedules in various ways with the click of a button. The tool takes on all the heavy lifting and at produces clear reports to better know and grow your business. The customer support is very helpful and the team is constantly rolling out updates to improve the experience. The addition of the new API has helped a lot (yet not all) cases and allowed us to integrate with various other systems.

**What do you dislike about Maxio?**

Loading reports can be very slow. Not all entities (especially reports) are accessible via the API - so we still have to use CSV exports at several points. The tool was initially built to be used with a general ledger like QuickBooks - there is still several downsides when you are running it without one (like we are). We are just starting out with subscription billing - this module is relatively new - and we have had some trouble rolling it out for the German speaking market.

**Recommendations to others considering Maxio:**

Consider making SaaSOptics your data master for all things related to the contract. We also used some CRM fields for the contracts still and syncing has been a struggle.

**What problems is Maxio solving and how is that benefiting you?**

Getting an overview/reports on all customers, their MRRs and handling subscription management.
The workflows have been made very easy and fast compared do our previous solution. People have a better grasp on new business, churn and CLV.
Financial reporting has become a breeze - especially proper revenue recognition.

Chargify offers so many automation which has been really nice to lower the hands-on work that is needing to be done. It allows me to focus my time on other areas.

**What do you like best about Maxio?**

One of the challenges to B2B SaaS is ensuring timeliness of collections from our customers. SaaS Optics allows us to do this by leveraging their invoice dunning settings. We have three cohorts of customers that work with us here at Anvyl, and each have their own customized invoice dunning settings. 

SaaS Optics' analytics includes many B2B SaaS industry standard KPI's such as MRR, LTV, Churn, etc - this makes for a smooth board reporting process. I can customize these reports so that our CEO, CRO, and CSM's have the reports they need at their fingertips. These reports help us identify which customers are coming up for renewal, which customers have been over/underbilled, and who our top 5 customers are.

**What do you dislike about Maxio?**

SaaS Optics' current way to recognize revenue in QBO is average. Currently, SaaS Optics generates reports that must be manually entered into QBO. One of these corresponding journal entries acts as a "plug" into Unbilled Accounts Receivable, which lends itself to a data completeness issue in QBO. In a perfect world, SaaS Optics and QBO are aligned across all revenue related accounts. 

SaaS Optics doesn't have a refined method for recognizing and realizing refunded cash from customers.

**Recommendations to others considering Maxio:**

Anvyl is a B2B SaaS company with less than $5M of revenue and less than 100 customers. We currently offer three core services. I have full faith that SaaS Optics is willing and able to scale with our business. I've worked with their support team and others to help maximize SaaS Optics' value. For example, I've only just begun to leverage their analytics and recurring reports. As SaaS Optics continues to issue more features, I'll be sure to introduce them to our team.

**What problems is Maxio solving and how is that benefiting you?**

Cash Management, Subscription management. As a company, we spend less time sending invoice remainders and calculating revenue. SaaS Optics has solved for some complex accounting, compliance, and tax related issues. SaaS Optics is simply a great source of truth for us here at Anvyl.

Display, and navigation and tracking of AP, organization and navigation for finding clients. Easy search function. Makes it easy to send PDF invoices and edit to resend.

Search is not very easy and does not clear old searches so breadcrumbs are misleading. Needs to be an easy view window for looking at invoices. Needs more automations for and options for automations such as auto send emails with custom text and timimg

We were taking atleast 2 days a month just to recognize our revenue in excel based on the number of transactions we had. With implementing SaasOptics- it now takes us a matter of hours to finish revenue and post entries in our GL. We also use other reporting like Deferred revenue, collection cadences etc.

none that I can think of. Saas Optics has been able to answer all of our queries

The most helpful feature of SaaSoptics would be the KPIs for churn, ARR, MRR, etc.  Everyone on the leadership team at Keen has access to SaaSoptics and can drill down to the customer level to figure out what is driving our ARR/MRR numbers.  I've found it helps to keep us all focused on the right numbers.

**What do you dislike about Maxio?**

I wish that SaaSoptics had choices on how churn is calculated.  Currently, the revenue churn is only a monthly number.  We use an annual revenue churn number.

**What problems is Maxio solving and how is that benefiting you?**

We have been able to stay on Quickbooks for our accounting software, even as a SaaS company.  Reporting our revenue in Excel would be a nightmare.  We also are able to use the invoicing through the system and I can tell if people have opened the email to look at their invoice or not.

I like the ability to instantly look at our financial metrics.

The report menu system is clunky.  I'd like a full page on which each row has a report name, description and control buttons for editing, etc.  Now, on such a small menu, it's difficult to recall which report shows what.

We are solving projections within a subscription-based accrual business.  We've been able to institute controls, understand trends and monitor cash flow.

Its all about learning the Maxio way. This product has leveled up my SaaS knowledge and experience (making me a more marketable employee). There is also no other product that will allow me to manage 650 customers as a finance team of 1.

Don't even think about implementing if you don't come to the table with clean data. Do your homework before implementation.

I have been a user of SaaSoptics for over a year now and our experience has been great. The software does need training and its not that intuitive, but once you know where everything is it's very simple to operate. The training/ onboarding session with their onboarding team were very helpful. They use a system that has a list of to-do's for you and their SaaSoptics rep.

**What do you dislike about Maxio?**

The integration set up within Salesforce was pretty simple. I do wish there was more functionality in Salesforce or an better interface for the teams.

We have all of our finances in one localized place. The invoicing function has been one of the most useful tool we use.

Many different Financial reports which I can generate easily for upper management (MRR, ARR, Renewals, Revenue by Contract & Cohort reports). Quick & helpful responses from Saas Team, when help tickets submitted. Issues usually solved within 24 hours.

**What do you dislike about Maxio?**

Having to make manual adjustments for some reports such as MRR and ARR

SaaSoptics has been a great solution in recording monthly Revenue, Deferred Revenue, Customer Churn, Forecasting & Changes to plans (Upsells, Downsells, cancellations) are tracked very easily. Would highly recommend SaaSoptics as a solution

Accurate revenue & deferred revenue numbers when generating invoices in different currencies. Alot less time spent on generating monthly & quarterly reports. Able to easily email PDF invoices to customers

The amount of information available is fantastic. There is a lot of digestible information through the application that helps us make decisions and know where we should focus efforts.

It could be a little easier to navigate. Maybe if there was a way to save favorite reports/pages it would be helpful.

They're a great team. Take advantage of what they offer.

I very much enjoy the instantaneous calculation and display of updated MRR / ARR. Also, being able to add new line items is easy, seamless, and agile.

**What do you dislike about Maxio?**

During implementation, there was a learning curve to understanding SaaSOptic's nomenclature versus our previous solution.

**What problems is Maxio solving and how is that benefiting you?**

SaaSOptics manages  the entirety of our customer billing life cycle. We've been able to benefit from very accurate and up to date ARR numbers.

I love the ability to calculate revenue recognition and deferred revenue on an individual contract basis. All of our contracts are unique in that they have different start and end dates, and SaaSOptics does a great job with accommodating this.

I wish the reporting functionality was a bit more flexible (e.g., ability to report by day instead of by month).

If you have complexity in any of your contracts in terms of revenue recognition, I'm confident that the team at SaaSOptics can accommodate your working style.

Moving out of Excel and into an automated system that integrates with Salesforce, Quickbooks, and Stripe has cut down on a ton of time in Excel, including eliminating a lot of the errors.

In all the screens in SaaS optics we have help options to make sure the navigation's and options are used for all our AR activities. I really appreciate that is very friendly in invoicing  as well as segregating which is past due/current

I deeply appreciate their attention to the customer experience.  I've learned so much about my business - all at a few clicks.  What used to takes hour to gather analytics and forecast now takes minutes.

It's not simple software, however, for such a powerful tool - they've done an incredible job making it easy to use and navigate.

Automating reports for deferred revenue, accounting for revenue across state/country,  easily accessing meaningful analytics and reports in real time.

Automates contract management, including invoicing.  Close a deal, set it up in SO and your are good to go - your invoices will go out as scheduled, your revenue will be recognized as scheduled, you are alerted to when a deal is set to expire.  Customers can pay online super easy.  Autopay is awesome. Cadences significantly reduce time and effort spent trying to collect past due invoices. 

I love this software! I can remain a department of 1 because of it.  Worth every penny

**What do you dislike about Maxio?**

Onboarding was a whirlwind of info - overwhelming at 1st.  Should structure only the bare basics out of the gate, and then continue with more advanced topics over time.  A phased approach vs a mass dump of info all up front.  Onboarding was good, just too much too fast

**What problems is Maxio solving and how is that benefiting you?**

Upon making a large acquisition we inherited 100s of contracts.  Our business beforehand was slightly different and did not have many deals to manage/ invoice/ collect.

1st 3 months post acquisition I used consultants to manage this @ $5k per month. Not sustainable and did not want to build out a costly finance/ accounting dept.  SaaSOptics solved this at ~ 1/4 the cost.  Barely used any of the functionality other than invoicing the 1st 6 months, and was pleased just with that.  Now getting even more value out of advanced features.  Tremendous software that automates so many tasks.

Example- been chasing down late payments hard for the last 2 months.  A struggle, ridiculously inefficient.  Last night used the "cadences" function for the very 1st time, and literally within a minute 3 invoices were paid online.  Today, a large customer paid 4 past due invoices totaling over $100K that we had spent in an inordinate amount of time trying to collect via traditional methods.

Cadences coupled with AutoPay = amazing efficiency for you AND your customers.

Sometimes cancelling or changing a contract can be confusing.  They have a lot of support documentation though and it is helpful.

**Recommendations to others considering Maxio:**

Start your implementation several months before going live so that you can upload any previous data - this can take some time.  Take time to watch the videos and read the support offered.  Establish internal policies and procedures for managing contract changes so that you understand how they impact your financials.

**What problems is Maxio solving and how is that benefiting you?**

We have accurate revenue recognition, much easier A/R management and a storehouse for all of our contract and billing information.  We are able to attach contract documents and this proves helpful when we need to research historical data.  We have eliminated spreadsheets completely for revenue recognition calcualtions.

The in-depth reporting that SaaSoptics provides allows us to forecast Churn, Manage previous and upcoming invoices, Forecast Net Revenue and look at many other metrics which help us look at Financials with a renewed angle. It also seamlessly integrates with Salesforce which is a huge advantage for any company using Salesforce.

**What do you dislike about Maxio?**

The UI is a bit clunky and you need to manipulate the numbers a bit for the reports to make sense for the way you manage financials. It is also a bit complex and people might take time to get used to it.

**Recommendations to others considering Maxio:**

Definitely use this if you are looking for a solution to get your Financial reporting, invoicing and Financial forecasting aligned and organized. It integrates with a lot of tools that can ease the process of accessing information on multiple platforms.

**What problems is Maxio solving and how is that benefiting you?**

SaaSoptics is solving the problem of having to run manual reports to look at how much revenue we would make this month or forecast for the upcoming quarters. It has also helped us in solving the issue of managing up-sells and contract renewals efficiently as well as giving as a good view via the subscription momentum report

Certain processes seem overly manual. Bulk transaction renewals, for example, don't allow for you to bulk edit the billing method or dates, nor the rate that could be applied down across all transactions.

Their support is phenomenal.  Solid solution for revenue recognition for both subscriptions and professional services.  Nice out of the box Salesforce.com integration.  We also leverage SaaSOptics for invoicing.

There is a bit of learning curve.  Some of the reporting is not terribly intuitive.  They really need to perform SOC1 Type II audits.

Accurate revenue recognition with sync to / from Salesforce and to Ledger.  It's extended the life of our ledger (QB Online).  Term invoicings are automatic.

If revenue recognition is a pain point, this tool provides an elegant solution. It takes an effort, but the result is worth it when you see your results in their awesome analytics reports.

I strongly recommend that you pay for their integration services. While it will run concurrent with training , it made it possible for me to get up and running in a little over 2 weeks.

Worth mentioning is their fast, knowledgeable customer support and some of the best help documentation I've ever read. Everyone I've interacted with at the company has been a real pleasure to work with.

They're e-invoicing software is great - if you invoice exactly as they prescribe. You really do have to commit time to get this up and running.

I licensed SaaSoptics for one primary reason to handle revenue recognition. It now takes one click at the end of the month to get my journal entries. As an added benefit, in setting up the system, it found five contracts that had not been billed - paying for its first year in the first three weeks of my license.

Not every contract is the same. The accounting rules don't necessarily stay constant either. SaaSOptics has been OUTSTANDING in providing customer and product support, especially related to the accounting rules change (ASC606).

We're currently solving for the accounting rules change around revenue recognition on contracts. Hillary and the team have been incredible. Their reports are helpful to a Saas business.  The service is easy to use and intuitive.  They provide pretty good customer service for the most part and responsive, which is important to me.  You can screen share which I think is critical when trouble shooting.  Sometimes you get someone who isn't as knowledgeable and that can be a bit frustrating.

**What do you dislike about Maxio?**

Integration from Stripe and to/from QuickBooks can have it's issues.  Customer service isn't always knowledgeable about the flow from Stripe to SaasOptics to Quickbooks, and that can be frustrating as no one from any of the 3 vendors is able to help.  
Having to integrate between your billing system (SaasOptics) and your collections systems (QB) can cause delays in real time financials. 
Definitely more functionality that needs to be built out with this product.  
When you're company starts to need consolidations and you can no longer use QB, it doesn't make sense to keep SaasOptics because integration and reconciliation is always an added step and risk.

As an inside sales renewal rep, the full invoice preview helps me understand what clients currently pay for and how much. It's easy to track increases and past due invoices.

**What do you dislike about Maxio?**

It can be challenging to track minor changes that the billing team runs. Without the full invoice preview tab, I have to go through individual line items to identify what was added/subtracted to an account to properly prepare an invoice. If there was a way to easily mark a change in one invoice to the other, that'd be grand.

I dislike the limitations of the reports feature. There are many times I find myself trying to run a report only to realize it isn't possible, and that I'll need to instead run multiple reports and export the data into Excel in order to achieve the desired results. I also find the report generator confusing at many times.

We are experiencing problems with reporting, as mentioned above. We also have noticed some issues with invoicing, enough so that we are not sending invoices from SaaSOptics. For benefits, we have much better metrics, with much less effort to produce them!

A bit of learning curve to feel comfortable with the ins and outs of the platform. Specifically with adjusting transactions and making one off changes. Also, not as many features as competitors but that's to be expected for the reasonable price.

It's great to be able to project revenue, and keep track of all clients and transactions easily.

The reporting becomes overwhelming. I have a hard time creating a report and pulling the information I really want to use, its a bit overwhelming.

SaaS is a wealth of information and great for analyzing. However, I do wish we had the ability to walk through functions with a success manager live, for longer than the initial set up period.

Simple issue, but biggest pain. When sending out an invoice there is a link back to the w-9, but the end user needs to actually open the invoice to see this. We get asked so often for the w-9 it would be great to have the ability to have the attachment automatically included on invoices. Also, when setting up customer transactions it would be great to have the customer email section. I often find we do business with different departments within an organization, so different people are to receive invoices depending on the transactions. I have to strip out old emails and input new email addresses for a transaction, and then delete once invoice is sent to add back old email addresses so they will be populated with the original email address for recurring transactions.

That it was easy to incorporate with our website, for easy payment tracking and reporting as well as reversing duplicate payments upon request.  The ID client numbers were helpful in locating specific payments and clients to help with refunds as well. 

**What do you dislike about Maxio?**

Hoped it would have a better way to disable and enable for those periods in the year where its not needed. We have a set payment window each year and an automatic end-date would be helpful with a bounce to those who try to pay after set time.  Maybe this is something that you have but I haven't figured out how to use. 

**Recommendations to others considering Maxio:**

It works great with our online website, we use Amazon web infrastructure and it was seamless. But this was done through our internal IT Team which found it very easy to use and set up for our unique purpose. This will be the third year of use. 

**What problems is Maxio solving and how is that benefiting you?**

Having to wait for checks in the mail. We were able to sent clients an automated receipt to their email so there is a record of the payment.  Clients are able to submit payment directly online and verify with the date they submitted the payment.  The benefit is that you can assign client number to those who frequently use our service during the pay period. The ID numbers were useful in tracking payments and confirming payments online without much oversight and useful reporting structure.

Chargify has made it possible for us to add a subscription model to our online sales offerings. Their software makes it easy to process, track and manage online subscription purchases. I really like their dashboard that provides an instant overview of what's happening throughout the day. It also communicates well with several other apps we use.

**What do you dislike about Maxio?**

Some of the reporting features do a great job of quickly giving you sales and subscription information. But in some cases it is difficult to specify dates and time frames for more specific reporting. Some of the filtering is limited and makes it difficult to get needed information.

**What problems is Maxio solving and how is that benefiting you?**

Many of our clients were asking for a subscription option to our online IT certification courses. We needed a quick and easy way to set up a subscription option that would be easy to manage and administer. We use Shopify as our primary shopping cart and Chargify to handle the subscriptions. They both work well together. Since implementing Chargify several years ago our subscriptions have become a significant part of product offering.

The interface is easy to use- there are SEVERAL clicks to get in. Maybe a favorite dashboard can be selected, and thats the one that it takes you too. I'll holler at Netflix with this feedback too, don't you worry.

I'd love to be able to search by the last 4 digits of a card number, or be provided more filters to sort subscriptions.  I'd also enjoy seeing an easier way to create coupons- a Coupon Center, wherein you can assign the coupon to the product group, and square away all of the other coupon details, test, launch! 

**Recommendations to others considering Maxio:**

I share that the team is actively working to improve, just like we all are (and should be)- and to consider the loops and compliance that it takes to handle such sensitive data.  Moving swiftly while carrying secure data isn't something that I'd recommend, and I appreciate that the improvements are thought out.  Furthermore, I never regard the price of Chargify-- I focus on the quality of the product.  I can pay less for a similar tool, sure.  But when it comes to this sensitive of data, quality should win over price, every time.

**What problems is Maxio solving and how is that benefiting you?**

Our teams been challenged to utilize the API, and other technical tools to capture data.  Data, I think, that could be easily attained in next iterations of the product.  You'll notice by my screenshot that Chargify and I are very close, its my 2nd bookmark- it confirms information for me, that only it can confirm.  I also want a company that employs my buddies, and is next door to us to thrive and be a great tool.  So feel free to ping me for more feedback

In my organization, we rely on Chargify to set up recurring payments for a range of different products. Navigation is simple and the design is clean and clear. 

**What do you dislike about Maxio?**

As someone who's usually popping into Chargify to keep tabs on new signups to our programs, sometimes it's difficult to sift through all the detailed payment data to get a quick sense of new and canceled customers. We've had some complications with integrations into Mailchimp.

**Recommendations to others considering Maxio:**

Be mindful of the distinction between "shops" and "products" - some email templates within the same shop are shared between different products. 

**What problems is Maxio solving and how is that benefiting you?**

It is allowing us to move away from annual invoicing for our members. We keep higher levels of program retention thanks to Chargify's automatic renewal. I also really appreciate the dunning process - I can see very clearly what stage someone is at in a lapsed payment renewal and can modify communications through Chargify during that process.
