Features such as the dashboard really help in keeping track of the most important things. I'm yet to experience any issues with page loadings, document uploading or other sort of file management. The training modules within the system provide sufficient information on how to navigate and use the multiple features it has to offer. I haven't connected it to other tools in my stack nor used the AI feature as the current version of the system already has everything I need. I'm not the actual person paying for it, but I am aware the company switched from Q-Pulse to Greenlight Guru as it offered better value. **What do you dislike about Greenlight Guru Quality Management System?** It could use a better categorization system, the current one can fail to properly filter certain things based on minor details, so when you're handling a big amount of files, it is easy for something to sneak in. When adding/removing responsibilities or large documents, system can also glitch and it forces you to refresh the page, sometimes on multiple occasions. **What problems is Greenlight Guru Quality Management System solving and how is that benefiting you?** As someone who works with change orders on a regular basis, it makes it very easy to get the documents through. Even with a large number of documents, it's simple enough to add/remove as many as needed in a matter of seconds. The User Interface is attractive and looks professional/modern. Especially compared to some other eQMS' I've seen when visiting supplier's sites. The ability to modify notifications is helpful and ensures you don't get hundreds of irrelevant emails flooding your inbox. Having all the documents in one module and having a clear version system in place ensures that we have a much lower risk of using outdated documentation. I like the new(ish) smart feature where GG document module shows you the difference between new versions of documents and the previous version of the document using AI (by showing both documents side-by-side and highlighting what has changed and what has been removed). This makes checking updated documents and training on new documents much easier. The supplier module is good and allows me to control the suppliers and their certificates/surveys/agreements in one place, with reminders for when certificates expire or when a supplier assessment is due. Performance is good generally with little down-time. Support is good from the team at GG. They always get back to you promptly and then check afterwards if the issue is solved. **What do you dislike about Greenlight Guru Quality Management System?** The new beta documents workspace is a downgrade on the old one. - The main area of the screen that shows the list of documents seems a lot smaller in the beta workspace than the old workspace. I’m not sure why it needs the ‘Show 25, 1-25 of 19145’ bit at the very top (this reduces the size of the window showing documents massively and makes it feel very cramped – especially on a laptop). - In the updated document workspace, when you hover over a document title, it moves the title to the right to show you the ‘favourite’ star. Much preferred the old version where the document titles stayed still and didn’t dance around. - In the old version, I could use my keyboard arrows to scroll up and down the list of documents. I can’t do this in the updated version. - The left portion of the documents workspace (with the favourites list) is now bigger (wider) than it was. This is unnecessary and makes the main document section look even more cramped. There is a ‘re-size’ drag tool, but it only allows you to make this column even bigger, not smaller… The audit workspace is a copy of the non-conformance workspace, which means audits have to be shoehorned into tabs that don't really make sense. The tabs do not reflect an audit process. It would be better if there was a tab for audit plan, a tab for audit report, a tab for auditee's response etc. The linking in the document workspace is clunky (in the 'related items' section of a document). When you search for a document to link to (e.g. by writing a batch number in the search box), it tends to bring up hundreds of 'Tasks' to link to, rather than documents. You can then end up hunting through many tasks before finding the relevant document you’re searching for. I can't think of any reason I would want to link to a task. The supplier module could be improved by having a section to add their address(es) in the main summary (e.g. primary site address, secondary site address etc) and also supplier staff’s job titles (which just have to be put in the notes now). On the Approved supplier list (ASL), you can adjust the width of the columns, but only in a very limited way (e.g. In the column for the supplier ID, the supplier ID’s would have to go up to about SPRL-1000000000 to fill up the column width which GG mandates). This width should be fully customisable as it is in most other software. And you can’t customize the order of the columns either. - Similarly the columns in the document workspace should be more customisable/modifiable. The reminder column in the ASL is especially annoying as it takes up about a third of the page because it has the time on there. The time is completely unnecessary for the ASL as ISO certificates don’t expire at a certain time, supplier assessments don’t need to be done at a certain time. I can’t think of any supplier action that needs to be done at a certain time. There should be the option to remove the time requirements. The document search function is relatively poor/outdated, especially if you use more than one word in the search box. e.g. If I search for ‘Hart’, then update my search for ‘Hart Certificate’, it should narrow the search down (to documents that have both Hart AND Certificate associated with them), but for some reason if you do that now, GG seems to search for all the documents that say ‘Hart’ in and all the documents that say ‘certificate’ in, so you get double the number of search results. You end up having to play a game of 'which relevant search word is the least used in our document database that I can use to try and find the document I'm looking for'. It is frustrating having the American date format forced on us, with no option to change it. Dates should be formatted day-month-year, rather than month-day-year. It's annoying having to decipher e.g. "Mon Jan 31 2026" every time. This applies to the supplier area (under due dates for reminders) and the documents space (under effective dates), and possibly elsewhere. - The date formatting also leads to issues when uploading spreadsheets. When we have a date in the document, the document preview page displays the date as the American format. When you download the document, it displays in Excel as the correct English date format. **What problems is Greenlight Guru Quality Management System solving and how is that benefiting you?** Document control is certainly better than it was when we had a paper-based system. It means that we don't have to print out new versions of documents and put them in folders each time there is an update. It also means that everyone in the company has instant access to the latest documents, rather than having to spend time going to find a physical folder (or even worse, having printed, uncontrolled copies of documents lying around their workspace). I work in a supplier quality role, so the supplier module is beneficial to me. Before GG introduced this module, I had to keep a spreadsheet up to date and people would have to contact me to ask if a supplier was approved before placing an order with them. Now anyone in the company can go onto the ASL and check if a supplier is approved. this saves me time. The email reminders are also useful as they mean I don't have to do manual checks of a spreadsheet to check if any certificates or assessments are due. ### 3. The search function can be quite daunting. If you need to search for a document and don't have keywords, you can get 1000+ search results returned. We manage this by adding and saving filters to narrow the searches. It offers many useful features that have proven almost invaluable to the company I work for. That it is one system for the whole QMS. **What do you dislike about Greenlight Guru Quality Management System?** For Procedures that have many attachments, it is very time consuming to check out every single attachment and upload it again within the system itself. Somethimes it takes 1 hour to upload all attachments to Greenlight Guru. Another problem for new attachments is that the revision number starts from 0 and doesn't match the revision number of the General Procedure anymore. We need to check out several times to match it to the GP which is very time consuming. We stopped doing it because of time efficiency reasons. We are also not able to electronically sign off documents within the system nor adjusting documents in the system as well. We are basically doing double work. We review and sign off in our server, add it in our document control list and then upload it to greenlight guru with a viewable pdf. The review round in the change control workspace doesn't even make sense for the procedures or work instructions. We face also difficulties sometimes with people being not able to download editable versions even though they have the correct rights. **What problems is Greenlight Guru Quality Management System solving and how is that benefiting you?** Well it is not solving it at all lately. It makes it more time consuming. For instance for change workspace, we are not able to create forms within this workspace, we sign off documents on the server and put it in Greenlight Guru, which is again leading to double work. The training workspace became worse lately. The training requirements are not working for us. If we publish a new revision of a GP, the training event is jeapordised. Also with training requirements, I creates a whole new training for the trainee. especially for enrollment training, it is creating to much trouble. When new GP is published, the training event gaves error, if we use training requirements it creates a new training and the trainee loses all his training data meaning that he or she needs to start from scrath, because the training includes many documents. The order of GP's in the training is hell. Even you click the GP's in the correct order it messes everything up. Leading to spending you at least half an hour to place all GP's in the correct order. For the latest trainings that I have initiated, even putting the documents in correct order didn't work because after activating the training it was still messing the document order up. In the past we were able to see clearly the progress of an enrollment training for a new employee, we could easily see how many procedurs she or he had marked as read. But currenlty it is not possible, we only see 100 percent after the trainee has submitted the training. This is really not efficient since we want to see how the training is progressing. No we don't have any clue and asking screenshots from new employees. Imagine doing it for even more people at a big scaled company. We are also not able to see the activity history of the trainees in order to see who is the latest person who has submitted the training and on which date. We need to go to the GP and then look to the current revision training and then look for which trainee has finished it at which date. This is also really time consuming, it was way more easier in the past. Also the quiz is not working for us since we are not using training requirements only training events, we cannot make use of the quiz option. It would be very helpfull to introduce that for training events as well. ### 7. It requires very little configuration setup to create a powerful eQMS that is both compliant and efficeient. Our company uses the entire platform in order to integrate ISO 13485 requirements and risk based thinking into all functions within the company. Greenlight Guru is a clean platform that makes onboariding of new employees simple. Thirty minutes of training allows them to find documents and records quickly. **What do you dislike about Greenlight Guru Quality Management System?** My only dislike is that the Risk platform does not have an option for "detectability". Completing a Risk Project in Greenlight and then repeating it within an PFMEA is duplicative waste. Therefore my company, as a contract manufacturer does not utilize the Risk Workspace at this time. **What problems is Greenlight Guru Quality Management System solving and how is that benefiting you?** Since we migrated into Greenlight Guru, in Q3 of 2023, my company has had zero audit findings. Some category options in non-conformance, CAPA and audit don't apply, end up using "other" - could make these customizable. It helps me discover when a risk control should be a verification activity that doesn't yet exist, prompting me to create one. But I feel personally risk management module need more work. Filtering feature would be really beneficial. I have no problem regarding UI/UX but many of my teams would like to have the more traditional folder structure. I know this is already in the roadmap, but probably more people would prefer to work on this setting. ROI can be a bit on the higher side, especially for pre-validation startups. GG is quite polished, but competitors are on the way. One problem for us is the user allocation is too small, both accounting full user and limited user. **What do you dislike about Greenlight Guru Quality Management System?** Support/onboarding and integration felt really complete but I hope more support staff is allocated for the East Asia/ SEA region timezone. As of now its a bit hard to get support within our 9-5 work time. AI/inteligence is not there yet. We looked at many systems but would have had to keep our design matrices and risk in excel. The design workspace is build to ISO 13485 and allows you to link your design items to relevant documents and related risk items. You can document design reviews in software and print a simple design file. Risk is built to ISO 14971 and doesn't trap you into just FMEA. It incorporates harmonized IMDRF terms for hazards and harms and includes various regulatory codes, which is great for regulatory reporting. You can review and lock your risk analysis in a way that makes it easy for risk to stay a living "document". You can view documents in app, which is surprisingly not a feature for many systems and a must have for me. Attributes and tags make it easy to organize and find documents. Change management is flexible and allows you to route multiple documents at a time. Training is great, I can automate SOP training so nothing gets missed. The quality events could be improved but are workable and you can link audits to CAPAs to risk to documents which is great. Admin has got to be the easiest of any out of the box software and the support is world class. If you want a super custom system, this probably isn't for you. If you need a quick and straightforward implementation and are happy with a system built for ISO 13485 and ISO 14971 take a look! We were mostly implemented in 3 months and fully implemented by 5 with everyone trained! Almost all of the users find it intuitive to join, train, and sign off on change and documents. Users that use it for quality events, design, risk, and admin were able to feel comfortable very quickly. **What do you dislike about Greenlight Guru Quality Management System?** Quality events are inflexible but are at least built to include CAPA requirements for med dev. Analytics is limited, but still can provide some valuable data. It would be great if there was an easier way to get signatures from external users (like suppliers) without inviting them into you system, but it's not hard to work around. Biggest complaint is pricing. It may not be competitive for many teams. We transitioned from a paper-based QMS to Greenlight Guru and our productivity has increased tremendously. It is a one-stop shop for all of our QMS needs: From Design Controls, to Risk Management, to Document and Change Management, to CAPA & Nonconformance management & so on. On top of this, their customer support is unmatched. Their in-house team of experts have a very quick response time, and if they don't have an answer off the top of their head, they will work with you to find it! **What do you dislike about Greenlight Guru Quality Management System?** There is not much that I dislike about Greenlight Guru. Most of my "negative" feedback is around features that are not yet present in the software. Having a Supplier workspace to automatically create an ASL, link documents, etc would be very helpful for our company. I know this and many other features are currently under consideration, so Greenlight is always soliciting customer feedback to improve their product. **What problems is Greenlight Guru Quality Management System solving and how is that benefiting you?** One area (among many) that it is solving document/change management, which was a big problem area for us prior to GG. GG has created a single source-of-truth for up-to-date documents and is now the first place that employees go to access the latest versions and manage new document updates. Another area it has helped tremendously with is Design Controls. Prior to GG we were using a variety of excel spreadsheets, which caused us to not really know what our most up to date list of design control items were and we were not doing a formal design review process. ### 49. Everything is on your home page where you can see current open change orders, complaints / feedback, nonconformities, reviews, actions etc. The user interface is extremely helpful, and having access to system gurus is great when you have any industry-related questions that you need help with. The support and training that comes with Greenlight Guru is second to none, there is a whole database with articles, videos, and demonstrations. The system is built for the future of quality management. The use of Greenlight Guru has streamlined my processes, audits are completed quicker, and we had no findings or observations during our last NB audit. **What do you dislike about Greenlight Guru Quality Management System?** The only downside I see is that you have to enter your password too many times, I know I could save the password to autofill on Google Chrome but I don't like that. Maybe an option for when you log in you can create a 4-6 digit PIN would be easier. **What problems is Greenlight Guru Quality Management System solving and how is that benefiting you?** Using the system has greatly reduced the amount of paper / waste we produce by running a paper-based QMS. Processes have been streamlined, tracking the daily QMS activities and events are easily achieved due to user interface. ### 50. Greenlight Guru was incredibly helpful in facilitating implementation of the software, including uploading several hundred documents for us. Change Orders and Nonconformances are much faster and more streamlined, allowing the Quality department to operate at an efficiency that would never have been possible with a paper system. **What do you dislike about Greenlight Guru Quality Management System?** While the software is great, it could stand to be more customizable. While I appreciate it being tailored specifically for ISO 13485, it is also geared more towards OEM companies. We are more of a "job shop" in that we receive and process parts - we do not have any products of our own. Therefore the "Products", "Projects", and "Customer Feedback" modules are not usable for us. Additionally, the Nonconformance space has a lot of options and functions for companies with specific products - we have to sort of make it work for us ("nonconformance type" and "investigation category" don't really have options that make sense in our context). **What problems is Greenlight Guru Quality Management System solving and how is that benefiting you?** With a paper-based eQMS, it was very difficult to control Document Revisions, as people would have paper copies around the building (as well as copies saved to their computers). Now with everyone retrieving their documents through Greenlight Guru, we have a lot more control.
