Beyond its basic search capability, the platform’s search function is quite limited for our complex procurement document management needs here at Aurubis AG. When we need to retrieve historical supply contracts, material quality inspection reports, shipment certifications or audit records tied to specific raw materials such as copper ore, aluminum ingots, zinc concentrates and other mineral products, the built-in search only matches exact keywords from file names. We have no way to apply multi-dimensional filters to narrow down results. We cannot sort or filter files by document category — such as separating formal supply contracts, third-party quality test reports, supplier qualification paperwork and logistics documents. We also lack filters for supplier names, regional origins of mining partners, contract signing dates, or the effective period of agreements. Our team manages documents from dozens of global mineral producers and metal processing factories, stored across dozens of classified folders. Every time we need to pull up past cooperation records for a designated supplier or check quality data for a certain batch of metal materials, we have to manually navigate layer by layer through massive folder directories and scan countless files one by one. This tedious process wastes a great deal of working time, especially during quarterly supplier reviews, cost analysis and supply risk assessments. What’s more, this inefficient search method also raises the risk of overlooking key historical documents when we sort through large volumes of files.
