I love the Tags feature, as it allows us to group contracts in a myriad of ways that suit each of our department's needs. It is also very intuitive to use, which helps when we have staff of different skill levels. The feature of having a unique email address to send the contracts to for auto upload to the site is also a fast and easy way to capture contracts across our agency without having each user login. **What do you dislike about ContractSafe?** I am hopeful there will be increased functionality in the future regarding reminders for additional contract items. Currently there is a great reminder feature for a contract's expiration, but we also track license expiry and it would be great to use ContractSafe for that as well. **What problems is ContractSafe solving and how is that benefiting you?** The list of problems with our old method of storing contracts on our agency drive is vast: -A comprehensive list of contracts was not possible without significant administrative burden -Departments couldn't find relevant contracts, either due to location title etc -Contracts expired without awareness -Quickly viewing active dates of contracts was difficult -Amendments were haphazardly stored and not tracked -Report pulling was not possible; manual counting of contracts etc was required for reports -If the file path was too deep in the Drive the file couldn't be opened until dragged to a desktop -Titles, dates, and other text within a document could not be searched; manual opening of folders in locations was often required -Sometimes contracts were inadvertently moved to different locations -Single contract documents were often disparate and stored as separate, editable files When researching contract management platforms, we needed a system that would meet these needs: -Cloud based, to avoid the need for software install/ lengthy approval via our state IT system -Accessible by many users, with different permissions per user -Ability to pull reports and gather data on several contract pieces -Automated reminders of expiration dates -Ability to store contract related documentation, such as licenses etc. **Official Response from Chris Nordman:** > Thank you for your review. In addition to providing a user-friendly and logical contract storage system, it is easy (as an admin) to control what any given user can see and do in the system. It’s also straightforward to track all key dates/contract terms and send out customizable reminders for specific individuals. On top of all that, it has features for sending out contracts for signature and unlimited storage for related documents (like redlines), among other things. The other systems I looked at were either way more robust (and thus more complicated) than we needed, or alternatively they provided most of what we needed but were much less intuitive for the way we process things. I could go on, but at the end of the day it is a great contract management system at a very affordable price point. ContractSafe had everything we were looking for (plus a little bit more with the AI and built-in eSignature capability) in a system that is very user-friendly and easy to use. **What do you dislike about ContractSafe?** One thing I can say is that the team at ContractSafe has always been very responsive whenever I need help with something. They are very open to helping you be successful and will either fix the problem for you or actively note it down for future reference. My biggest complaint with the system, and this may simply be a user issue, is that the sort system doesn't always work as seamlessly as I think it should. By that I mean that when I'm jumping around in ContractSafe to do a new search or to go to a new folder, all of my previous filters stay until I specifically "x" them out. I'd prefer for it to default with no filters until I specifically add them. There may be a way for me to set that as default, but I'll have to look more into that later. Overall, it is a great system with some flaws, but I've found that those are typically minor or solvable by simply reaching out through the chat to the team. **What problems is ContractSafe solving and how is that benefiting you?** We were looking for a Contract Management system that would keep all past and future contracts in one place. Specifically, we needed a system that easily tracked renewal and other key contract dates so that we'd never miss the opportunity to cancel or otherwise renegotiate our vendor contracts. ContractSafe has an easy reminder system built into it's platform that will notify select individuals when a key contract date is approaching. We also wanted a system that would easily track all the key parameters of a contract for easy reference. For instance, it is easy at the end of the quarter to look up the exact number of contracts that were signed over the last quarter. We know key terms/governing law at a glance and it's easy to export all of this info to an excel sheet if needed. We did demo's with several different companies before deciding to go with ContractSafe. For the functionality that is provided, the price is great. Plus, you get unlimited users, while most of the other platforms charge per user. The company is very transparent and straightforward with pricing and functionality offered. They've been great to work with. **What do you dislike about ContractSafe?** We're still figuring out the best way to organize documents (tags v. folders), but think we have landed on a system of a combination of both. Additionally, I'm looking forward to another feature that should be rolling out soon where certain fields can be linked to specific parts of the document. This is a feature that looked very useful in other platforms that were more pricey (but not worth the price differential), so I'm excited for this roll out. On that note, I think their team is open to suggestions and are committed to continually improving the platform. **What problems is ContractSafe solving and how is that benefiting you?** Contracts were previously stored in various locations on our internal servers, people's inboxes, etc, and it was uncertain what contracts were in place. ContractSafe syncs with Docusign to ensure that every contract our team executes is automatically stored in a single location, we can tightly restrict access on a need to know basis, and with a little tagging and labeling, the contracts are searchable and filterable. ContractSafe is easier for users as well as administrators. Our contract management is much more efficient now with the use of ContractSafe. I would definitely recommend this contract management system! **What do you dislike about ContractSafe?** Nothing at this time. We are still training some people on the platform and everything seems to be going smoothly. **What problems is ContractSafe solving and how is that benefiting you?** As our business was expanding we were looking for a tool to help manage our start and end dates more effectively. Originally we were working off a spreadsheet and manually managing these dates.
