Certification audit software uses AI to carry out the assessment work of a conformity audit. A conformity audit is an independent assessment in which an auditor reviews an organization's documentation and processes to determine whether they meet the requirements of a specific standard, such as ISO 9001.
Certification audit tools read the documents, records, and technical files submitted for an audit, compare that evidence clause-by-clause against the standard or certification scheme being assessed, classify where the evidence falls short as findings or nonconformities, and draft the checklists, evidence trails, and reports the auditor would otherwise produce by hand. The auditor reaches every conclusion and signs the certification decision; the software removes the manual reading and drafting that consumes most of an assessment.
Auditors at certification bodies, notified bodies, and testing and inspection organizations use certification audit software during an assessment, as do supplier auditors and the quality teams who audit their own management systems against an external standard. A lead auditor preparing a Stage 2 ISO 9001 assessment can have the Stage 1 documentation pre-checked for gaps and an on-site checklist generated from the client's documented management system. A technical reviewer assessing a medical device file can see every requirement of ISO 13485, EU MDR, or FDA QMSR mapped to the clause that answers it, with each shortfall raised as a major or minor nonconformity quoted back to the page it came from. Because the output is anchored in the source material, every finding traces to the requirement it fails and the document it came from, which is what makes it defensible in a technical review or an accreditation assessment.
Certification audit software is distinct from audit management software, which runs the internal audit engagement lifecycle, covering risk-based planning, scheduling, findings tracked through to remediation, and reporting to management and the audit committee, rather than assessing conformity itself. It differs from compliance management software, which maintains an ongoing compliance program between engagements, and from security compliance software, which continuously monitors technical controls and automates evidence collection so an organization can pass a cybersecurity audit rather than conduct one. It is not financial audit software, which analyzes financial transactions for fraud, duplicate invoices, and policy violations. Further, unlike inspection management software and quality management systems (QMS), which schedule recurring operational inspections and maintain the quality system itself, certification audit software is used to assess conformity to an external standard at the point of audit.
To qualify for inclusion in the Certification Audit category, a product must:
- Apply AI to review submitted documents and evidence against the clauses or requirements of a named external standard, regulation, or conformity assessment scheme
- Identify and classify nonconformities, gaps, or findings from that review, with each finding traceable to the requirement it fails and the source document it came from
- Generate or draft at least one auditor work product, being an audit plan, a Stage 1 or Stage 2 or onsite checklist, an evidence trail, or a draft audit or technical review report
- Support the execution of the audit itself, meaning the assessment of conformity, rather than the administration of an audit program or the maintenance of an ongoing compliance program
