"All-in-One CRM That Streamlined Our Engineering Project Coordination"
4/5
What do you like best about Vtiger All-In-One CRM?

I’m a Project Operations Lead at a civil engineering firm in San Jose, and Vtiger has genuinely made our day-to-day project coordination way less chaotic. We handle tons of land development, site design and infrastructure jobs all over the Silicon Valley area, and our biggest headache used to be scattered client records and disjointed team communication. Before Vtiger, we relied on emails, shared sheets and random team notes to track projects, and it was super easy to miss permit follow-ups or client revision requests.

What I love most about Vtiger is that it’s truly all-in-one, tailored enough for our engineering workflow instead of just basic sales use cases. We don’t need to juggle separate tools for client outreach, document storage and task tracking anymore. Everything lives in one system, which saves our team so much extra work.

We had a perfect example on a recent residential site development project last month. We were working with local city planning staff plus two subcontractor teams, and we had constant back-and-forth on design tweaks, inspection scheduling and permit document submissions. In the past, all these updates were buried in long email chains. If our field team was out doing site surveys and missed a message, the whole project timeline would stall. Now we log every conversation, every revision request and every submitted document directly inside the client and project profile on Vtiger. Any team member can jump in and see the full history instantly, no more scrambling to catch up.

I also really appreciate how flexible the customization is. We adjusted the pipeline stages to match our actual engineering process, from initial client consultation and site survey, all the way through design drafting, permit approval and project closeout. We added custom fields for permit numbers, inspection dates and revision logs, so every critical project detail is accounted for.

The mobile functionality is a game-changer for our field staff. They’re constantly on job sites across the bay area, and they can update project statuses, upload site photos and log client feedback right from their phones. No more waiting until they’re back in the office to update records.

Overall, Vtiger cleans up our messy workflow, keeps our client and project data centralized, and helps our small engineering team stay on top of multiple active infrastructure projects without extra admin burden. Review collected by and hosted on G2.com.

What do you dislike about Vtiger All-In-One CRM?

While Vtiger works well for our core project tracking, there are several frustrating limitations that slow our civil engineering team down. We manage land development projects around San Jose, and a lot of our work relies on uploading large site plans, survey PDFs and technical drawings. File handling in Vtiger feels really restrictive. We recently uploaded a full set of civil site drawings for a subdivision project, and the system kept throwing upload errors for larger multi-page PDFs. Even when files did go through, loading them inside the CRM was slow, and we couldn’t preview drawings directly. Team members still had to download every file just to review, which adds extra steps for our design crew.

Report building is another pain point. We need custom reports to track inspection deadlines, permit submission timelines and project labor hours for our ongoing infrastructure jobs. Vtiger’s report builder is clunky and lacks the flexibility we hoped for. It can’t easily pull data from our custom project fields into a clean, shareable dashboard. Last quarter I tried to build a report showing all projects waiting on city permit reviews, and I spent hours tweaking filters. The final output still didn’t format correctly, and I ended up exporting raw data into Excel anyway.

The mobile app also has consistent small bugs that create headaches for our field survey team. Our staff out on job sites often try to edit task notes or attach site photos. Sometimes changes they make on mobile won’t sync back to the desktop version right away. On one occasion, a field engineer logged an inspection note and attached photos, but the update never synced. Back in the office, we had no record of that site visit until he resubmitted everything. That created confusion with the client and almost delayed our next design milestone. "All-in-One Vtiger Platform That Boosts Productivity and Team Coordination"
4/5
What do you like best about Vtiger All-In-One CRM?

The best aspect I like about this Vtiger platform is that it combines CRM help desk marketing automation project management and communication tools all under a single platform ecosystem rather than juggling with multiple disconnected tools out there in this space RR team can focus and manage the entire life cycle under a single workplace their sales pipeline management is very intuitive and their features like email campaign workflow automation appointment scheduling and assistance help us improve or overall teams productivity also found their interface relatively easy to navigate when compared with other heavier enterprise terms out there overall this platform helped our cross functional teams coordination very effective and quick without much of a hassle. Also, their ability to customise modules and the dashboard as per the specific business size and industries makes this very effective overall. Review collected by and hosted on G2.com.

What do you dislike about Vtiger All-In-One CRM?

Some of their advanced customisations and reporting setups should be made easier because they have a complex learning curve, specifically for first-time CRM administrators. While their platform is feature-rich, certain UI sections can occasionally feel clumsy and overcrowded because of so many tools packed into a single ecosystem. Their mobile experience is also very useful for quick access, but some deeper administrative functions are easier to manage from a desktop. Initial implementation and workflow configuration may take some planning and time if the business has a complex process. Review collected by and hosted on G2.com.

"Easy to use"
5/5
What do you like best about Vtiger All-In-One CRM?

I have all the clients info in vtiger but the more important info that I save are quotes and invoices, when I want to plan some strategy I just have to prepare some reports form the tool so I know how was the interaction with a specific client the last quarter. What do you dislike about Vtiger All-In-One CRM?

Taping next or simply turning the page over to the next page is exhausting and it is something that is easily forgotten, also copying the numbers from the Crm is not something that can be enjoyed so far I feel like the dialer was omitted. Review collected by and hosted on G2.com.

"Disappointing and frustrating experience"
0/5
What do you like best about Vtiger All-In-One CRM?

We thought we would like the ability to customize fields so we could add subcategories of customers - we are a training company and need to track employee certifications within each customer field. If we'd been able to set up the system, this would have been a valuable feature. Review collected by and hosted on G2.com.

What do you dislike about Vtiger All-In-One CRM?

We spent eight months trying to set up this system. Vtiger assured us they could migrate our data from the open-source version we had been using for many years. During those eight months, however, there were constant lapses in response and customer service from their team, repeated requests to us to send them information we had already sent, follow-up emails unanswered for weeks or even months, and one account rep not knowing what another had done. After eight months, the migration was finally completed but was full of errors and our comment fields were not in line with one another. We finally gave up and asked for our money back but were told we could only have a small fraction of what we had spent for the system (the three months remaining on the subscription), despite the fact that the system was never usable. "Developing your own CRM without coding skills"
5/5
What do you like best about Vtiger All-In-One CRM?

I like vTiger because it is quite helpful to manage my clients and potential clients database. The best thing is that vTiger allows you to customize its modules and also create your very own ones. vTiger has enough features to meet your CRM requirements, including: *Following a sales funnel from the opportunity until the Invoicing process *Capability to integrate easily with other platforms *Print and email templates where you can use the default ones or develop your own using advanced text editors or, if you are well skilled, in HTML using basic CSS you can get awesome templates. *Backtrack: You can always know what your users do in each record *Customer and employee portals: here you can allow your clients and also your employees to have external access to the vTiger platform where you can control and manage what they see there and they have the chance to create tickets or cases as well. *Chat support: It's easy to get support via chat without having to deal with an AI, which in most cases is useless or not helpful at all. Review collected by and hosted on G2.com.

What do you dislike about Vtiger All-In-One CRM?

From my experience, there are a few features that can actually be upgraded to another level: *Print templates: It is true you can create awesome print templates using HTML and CSS, but it would be even better if it allowed you to use more advanced CSS features. *Changes in new features: Sometimes, when a new feature is deployed for testing purposes, it has certain capabilities, but these capabilities change without any notification when the feature is officially launched. *More functions in print templates, workflows, and process designer: Nowadays, you can take your print templates to another level using additional functions like sums, if, date functions, etc. But it would be helpful to have a "CASE" statement or several if's (which this feature exists only in workflows).
