For me, the biggest point is that all the administrative hassle simply disappears. Previously, we collected receipts via email, maintained them in Excel, and manually handed them over to payroll every month – today, meal subsidies, non-cash benefits, and job tickets are completely managed through the platform and automatically end up in the payroll. Salfy handles the receipt verification itself, which was the biggest time saver for us. I also like that we no longer have to feel uncertain about payroll taxes. The allowances are properly monitored and everything is documented in compliance with GoBD – during the last audit, we could simply export the logs, which was much more relaxed than before. The employees get along well with the app, we hardly had to explain anything. The start was somewhat demanding at first – less because of the software, more because you have to familiarize yourself with the tax conditions of the individual benefits. And for reporting, I wish for more flexibility: for my own analyses, I currently still export the data to Excel. Both are minor issues that do not mar the overall impression. Previously, receipts were in email inboxes, the overview was maintained in Excel, and handing over to payroll was purely manual work every month – correspondingly error-prone and time-consuming. Today, this process is largely automated right through to billing. Another important point is legal security: allowances and payroll tax requirements are monitored, and everything is documented in compliance with GoBD. Before Salfy, benefit data reached payroll from several directions at once: lists from the team, receipts by email, and late changes shortly before the cut-off. I had to assemble all of that every month so the right wage types could be assigned by hand. Now one data set arrives at the cut-off we defined ourselves, with every amount already mapped to the correct wage type, whether tax-free, flat-rate taxed or as a net deduction, and it goes into DATEV through the interface in a few clicks. Each step is logged in the digital wage account, so for a tax audit the documentation is already there instead of being reconstructed afterwards. On the commercial side, only accounts that are actually active get billed and the term is monthly, which made it easy to start with a few benefits and add more later instead of committing up front.
