The interface and permissions let us ensure that all documents are securely managed and easily accessible, greatly enhancing our operational efficiency. **What do you dislike about ACE?** I would like an improved dark mode version. **What problems is ACE solving and how is that benefiting you?** Tracking and implementing an automated document review process. It allows us to have a reoccuring document review and provides us the ablity to easily filter the documents needed within each review. It allows full documentation of changes and logs all changes occurred. ### 4. So having a streamlined file storage within a software that helps me be more compliant and organized is one benefit of using ACE Essentials. ### 5. So much simpler and intuitive than the other six QMS I've used over 29 yrs **Rating:** 5.0/5.0 stars **Reviewed by:** Michael S. | Head Of Quality, Small-Business (50 or fewer emp.) **Reviewed Date:** July 29, 2022 **What do you like best about ACE?** After first being a user of ACE at CSK Behring for a year, I was able to install this eQMS with under 10 hours of billable time for a startup client that included LMS, Doc Management, eSignatures , a core set of SOPs and assign training, and 15 new users with no external help from paid contractors from the vendor aside from the several included live training sessions on the system they provided. It's that easy, I'm not a programmer, I'm a biotech quality professional. Within three days managers were approving SOPs and specifications on their own, employees were completing Level 1 training on their own and I had metrics built on training compliance. Going forward it took about 30 min a week for the routine sysadmin tasks and no dedicated IT support was needed. As far as features, Master Control, Veeva, TrackWise, Qualio and Documentum do not come close in terms of ease of searching for a file, route and review and especially how intuitive the LMS is for setting up training curricula by role and even accounting for classroom session attendance. Most users who have used one of the prior QMS find ACE to be something they don't need any training on once they get a 5-10 min demo, it's that intuitive. **What do you dislike about ACE?** We liked ACE Essentials so much we tried to (or wished we could) do things it's not intended for. You can issue a master production formula and batch records for each lot with it no problem, and we immediately tried to figure out how to avoid buying an ERP system to assign and manage lot number assignments for 200 master and working cell banks and disposition actions. ACE Essentials isn't designed to include that it's also not intended to be a stand alone material management system but we certainly tried to put off ordering SAP or RedPrairie-like product to keep as much as we could in ACE Essentials. **What problems is ACE solving and how is that benefiting you?** Keeping the QS and IT support needs lean so folks focus on their role rather than tools helps effectively manage startup funding. ### 6. The user interface is friendly and you can tailor it to your business' needs. We have tailored ours to match our SOP forms, and it works like a charm. We are a cGMP manufacturing company of OTC goods and with ACE, our QMS has not been as organized as it has been with ACE. **What do you dislike about ACE?** There's not much to dislike. I know some users were perturbed at the amount of signing in to ACE (specifically when you enter your username and password when signing off a document), but this is cGMP, it has to be done. They got used to it and I have not heard any complaints. **What problems is ACE solving and how is that benefiting you?** Signatories can sign off on any computer as long as they have Internet Browser access via phone, tablet, laptop, etc. ### 7. Unnecessary steps are eliminated, special steps for your organization can be inserted, etc. Fantastic ability to customize. This is in stark contrast to most other programs that are very rigid with no customizable features. **What do you dislike about ACE?** The absolute best thing about ACE, its customizability, can also be its worst feature if used improperly. When setting it up, it is critical that the right amount of time and effort be put into setting up all of the customizable features. If not, you are setting yourself up for failure. In a case like this, ACE would be no different than any other program that poorly fits an organization's workflows. **What problems is ACE solving and how is that benefiting you?** I would again say that the biggest problem you are solving with ACE is that you are getting a quality system that actually fits your organization's workflows. What seems to be the biggest problem with many other programs is that they have a process that does not match the actual workflow at the organization. As a result, you end up with a non-sensical approval/quality review process in the program. Since you can customize ACE, you have the power to avoid all of these issues. ### 8. The software is clearly designed with the user in mind. The design is simple, its functionality is practical, and there is a comprehensive help manual available. ACE also presents the workflow of every user involved in a project, so you can quickly see which documents your coworkers have edited. It also documents what changes were made, so that duplicate edits do not occur. **What do you dislike about ACE?** Unless you are an administrator, changes made to documents in ACE are quite permanent, meaning users need to be careful about what edits they save. (For the sake of document security, it is nice to know that all document changes will be recorded, mistakes and all.) **Recommendations to others considering ACE:** The learning curve for using ACE is relatively small. Spend some time exploring its features. The design is greatly self-explanatory, and there are several resources available to you if you are unsure of where to go. **What problems is ACE solving and how is that benefiting you?** When I used ACE, I was able to view, edit, and save multiple documents in a short amount of time. This made my work exponentially easier when I was cataloging equipment, working on CAPAs, and validating software. The search bar is amazingly versatile. I used it frequently in locating specific documents that would have otherwise required much more time to find on paper. ### 10. Countless ways to customize the workflow makes it very powerful and suitable for plenty of usages. **What do you dislike about ACE?** Since ACE is highly customizable, the user manual could be better explained to help the user understand/create all possibilities. **Recommendations to others considering ACE:** ACE system functions can be used to assemble plenty of workflows for your need. I would recommend talking to an expert from ACE team before starting to scratch the workflow, just to see what all the options are. so that you can make the system truly yours and meet all the requirements perfectly. **What problems is ACE solving and how is that benefiting you?** ACE was used to track all validation protocols, signatures, and decisions for our team. We also did internal training within ACE system. ACE plays a great role in the online signature and contactless teamwork.
