PIMS Reviews & Product Details

PIMS is a purpose-built Privacy and AI Governance platform designed for Australian organisations managing compliance with the Privacy Act 1988, Australian Privacy Principles (APPs), and emerging AI governance obligations. Most organisations still manage Privacy Impact Assessments using Word documents and spreadsheets — creating version control issues, no audit trails, and no organisational visibility into their compliance posture. PIMS replaces these manual approaches with a structured, workflow-driven platform. Privacy Impact Assessments (PIAs): Start with the official OAIC PIA template covering all 13 Australian Privacy Principles, or create custom templates tailored to your governance requirements. Multi-jurisdictional support includes Commonwealth (OAIC), Queensland (QPPs), and New Zealand (IPPs) templates. Conditional logic guides assessors through relevant sections. Full workflow management tracks every PIA from Draft through Submit, Review, to Approval with role-based sign-offs. AI Impact Assessments (AIAs): Conduct AI Threshold Assessments aligned to the EU AI Act, Australian automated decision-making transparency obligations, and Australia's Guidance for AI Adoption. Triage AI initiatives with structured yes/no surveys that identify high-risk systems, trigger compliance alerts, and escalate to full assessments when needed — using the same workflow engine as PIAs. Risk Register: Track identified risks with likelihood and consequence scoring, document treatment plans, and monitor residual risk — all linked to specific assessments and business processes across both privacy and AI programs. Information Asset Register: Catalogue the systems and applications that process personal information. Track data holdings, flows, ownership, and licensing. Link assets to assessments, data flows, and business processes for complete visibility. Data Dictionary: Define and catalogue the personal information your organisation collects, uses, and discloses. Map data elements to systems, business processes, and regulatory requirements with privacy classification levels. Personal Information Maps: Visualise how personal information flows through your organisation with interactive data flow diagrams. Identify gaps, risks, and previously unknown data flows through systematic mapping — satisfying the OAIC requirement to document information flows. Privacy and AI Program Management: Centralised governance homes for both your privacy program and AI program, with regulatory framework configuration, program contacts, key compliance dates, and reporting. Reporting and Dashboards: Real-time dashboards showing assessment status, risk profiles, overdue actions, and compliance posture. Generate audit-ready reports for privacy officers, executives, auditors, and consultants. Enterprise-Ready: Multi-tenant architecture supports multiple business units, subsidiaries, or client organisations from a single platform. Microsoft Entra ID (Azure AD) SSO integration. Complete audit trail with tamper-proof records. Multi-factor authentication. Cloud-hosted on Microsoft Azure with Australian data residency. Built for healthcare, aged care, government, not-for-profits, and privacy consultancies managing compliance across multiple organisations.
