The biggest benefit for us is the supplier validation process. PaymentWorks helps us confirm the supplier’s identity, verify their banking information, and flag potential compliance concerns, including screening against applicable lists. I also really like that the supplier is responsible for entering and maintaining their own information, rather than us pulling details from a W-9 and manually keying everything into our system. The biggest challenges we’ve encountered relate to certain banking validation processes. Nonprofit organizations, in particular, can be difficult to validate when they don’t have a publicly listed phone number, and we sometimes run into problems when the person who originally entered the supplier information is no longer with the organization.

Foreign supplier banking can be challenging as well, especially when local banking practices and required documentation differ from what we’re accustomed to in the U.S. In those cases, we often need additional follow-up, and the onboarding process can end up taking longer than we’d like. Not being able to speak to someone has been challenging. There is a 3 hr time difference and by the team we respond back and forth by email, I feel like a phone call could have taken care of it. It's also difficult to be the go-between for vendor and PaymentWorks. I don't see what the vendor sees on their side when enrolling. Lastly, and biggest, thing is when company's have a change in who is handling their PaymentWorks account. This has proven difficult for companies to resolve in a timely manner. Prior to PaymentWorks, we were required to manually verify all bank account details for ACH payments manually. Depending on supplier cooperation and bank policies, this process was lengthy. With PaymentWorks, we no longer have to handle verification manually and have the added benefit of indemnification on all PW-verified ACH payments. Not only has this freed staff time for higher level problem resolution, we have also been able to enroll a higher volume of vendors to this payment method. Our process to full integration has been lengthy. That said, PaymentWorks has recently made improvements to the user interface experience, streamlining supplier profiles which should reduce mapping concerns for integration in the future. Additionally, we have also been invited to a customer conference at which PW's interest in process improvement was noted. In addition to breakout sessions where we were able to share ideas with other PW customers, we were also able to provide user feedback directly to key stakeholders at PW.
