My favorite feature is the Automated Approval process. We have multiple Approvers for each invoice by Department. MineralTree allows us to book invoices first, then automatically sends notices to Approvers. (This eliminates the old method, which involved hundreds of emails to individuals each month, with constant follow up.) It also expedites both the GL posting and payment process. Furthermore, the staff at MineralTree is great! They're always available to answer questions and assist. MineralTree also syncs with our Intacct Accounting system within seconds, with no effort on our part. **What do you dislike about MineralTree?** There's only 1 aspect of the system that I am hopeful will be worked out at some point: credit memos can't be booked through MineralTree. We have to book them manually through our Accounting software. **What problems is MineralTree solving and how is that benefiting you?** We recently added an additional payment method via MineralTree, SilverPay virtual credit cards. Many Vendors are currently working from home and not able to receive checks via postal mail. This helps to resolve that issue without any bank fees incurred by us. The Silverpay implementation was incredibly smooth and MineralTree even reached out to all of our Vendors to inquire about and set up this payment method on our behalf. ### 6. From sales through implementation everything has been great! **Recommendations to others considering MineralTree:** If you are looking for an AP automation system to make processing your a/p then consider MineralTree. My large corporation uses a different a/p system for a/p and it is very complex (unnecessarily) and frequently frustrates users. MT was easy to understand and implement with everyone excited to move over to this system. **What problems is MineralTree solving and how is that benefiting you?** I love now being able to process payments to vendors and they receive a message when payment is sent. There is nothing that we dislike about MineralTree. What I like best is that I can pay invoices online with the same guidelines as we would a manual check. They approval system is great. Also, the invoices are scanned so you end up with less paper. It is easy to set up and transition to paying online at your own pace. We still write manual checks for reimbursements and a few other type items. So, you can do both. **What do you dislike about MineralTree?** I no longer have dislikes as they have made great improvements since I first started the system. **What problems is MineralTree solving and how is that benefiting you?** Well, right now our school is closed because of the COVID-19 issue and having this system in place has been a saving grace. Before, I had to scan everything in, email it, and stalk that email until it was returned to me. There were many times when co-workers would add other information, questions, etc. that I didn't want to be in the email thread. This way it's clear and concise with the ability to add notes that only apply to that invoice. I can also pre-code everything to keep our budget in line. **What do you dislike about MineralTree?** I dislike the whole payment process in MineralTree. We jumped through a lot of hoops to get it set up. When we finally did, the whole process was changed. We decided to only pay out of our other database, but the banking info is still there in MineralTree, though we'll never access it. **Recommendations to others considering MineralTree:** Since we began using Sage Intacct, the addition of MineralTree has been, by far, the best addition or change. It helps me to process our invoices more thoroughly and completely. There is no way for my invoices to get lost anymore, and I'm not having to keep track of emails all the time. The ability to add notes to any invoice is also extremely helpful. If considering MineralTree, be sure those who will be authorizing will have the ability and willingness to simply log in, check or add codes, and approve that way. Some older people haven't been on board, but as long as your main people will use it, you're good to go. Our company has a number of people that are required to approve invoices which means tracking invoices is almost impossible. MineralTree give me the power to see which invoices have been distributed and who has not approved their invoices. My vendor statements RARELY have any past due invoice. Most of my vendors upload the invoice directly into MineralTree which is great. **What do you dislike about MineralTree?** For vendors that I have credits for, the process of applying them and that translating to MineralTree sometimes does not work. Also, I have a vendor that gives discounts, but MineralTree cannot accommodate that aspect as of yet. **What problems is MineralTree solving and how is that benefiting you?** I am solving the problem of lost/missing invoices that need approved by my managers and very little time is now spent on reconciling statements. ### 22. Instead you need to process the credit in your main AP system and have it sync to Mineral Tree. They are continually working on adding more features to improve their product. It takes a process that took all day down to 20 minutes. **What do you dislike about MineralTree?** It does not work with our E2 Shoptech to automatically check invoices against the PO's. Adding this into the automation would be a complete system for us. **What problems is MineralTree solving and how is that benefiting you?** We have many suppliers and it is very tedious to enter all the various bills and then to track them and pay them. Allows better tracking of approvals for auditing purposes, allows people in multiple locations to work together. Allows internal purchasers ability to see payment status, and alerts vendors when payments go out, cutting down the time our AP person used to spend just providing information. ### 34. They are on the right track with real-time invoice capture, PO matching, and Payment all in one portal. **What do you dislike about MineralTree?** Where to start. The concept was great, but almost none of it works as expected when interfaced with Microsoft Dynamics GP. Invoice capture takes a full day to process (electronic documents are sent to Sweeden to be visually matched), you get your scans back 24 hours later. Matching is spotty, and does not pick up on things like freight, sales tax, surcharges, handling fees, etc. Anything that is not listed as a line item on the invoice is an exception. Most of our documents got "stuck" and were unable to be posted in Mineral Tree. They would need entered in our accounting software by hand. Finally, they had no idea how to handle terms discounts. They told us in the sales pitch they could do it in October of 2017, while actually the feature was still in development. It did not launch until June 2018. Once it finally launched, it was riddled with "bugs" that prevented any time savings whatsoever. Ultimately, we canned the project after working on and off for over a year trying to launch. 6 months later they terminated the implementation manager we'd been working with and contacted us again asking if we'd still like to implement. It seemed like they'd used us as a beta test. Turned out to be a big waste of time. **Recommendations to others considering MineralTree:** Press the sales people for live demos of everything you will use. Make sure you speak with one of the software engineers to get a full understanding of what the system is capable of. Don't settle for assurances from the sales reps. **What problems is MineralTree solving and how is that benefiting you?** We are not solving any problems with AP through MineralTree. The benefit we've realized is that we need to be much more careful in researching and viewing demos before investing time in implementation. ### 35. Proper approval workflows 2. Consolidated storage of all invoice images 3. Seamless ACH/check/credit card payments to vendors 4. Proper payment controls (users have different roles in the system - one user cannot both, process and pay invoices) 5. Properly maintained virtual checkbook (all check images are automatically saved) 6. Automatic invoice data capturing (this feature will save you a lot of time) **What do you dislike about MineralTree?** There is nothing that I strongly dislike about MineralTree, considering how much they improved their product in 2018 - they added more reports, made the available dimensions more flexible, etc. There are 2 things, however, that I hope to see in 2019 1. An option to make partial payments on invoices (currently unavailable) 2. 1099 assistance (MineralTree currently does not offer this service, so you would have to do it outside of their software) **Recommendations to others considering MineralTree:** Note that no software out there is perfect. The value you are getting for your money by choosing MineralTree is great. Other companies which offer the same benefits will charge you 2 or 3 times their price. **What problems is MineralTree solving and how is that benefiting you?** The biggest benefits are - improvement of controls (you have all invoice approvals saved in one place) - easier payment process (it takes 3 clicks to send an invoice to the treasurer's queue) - payments are automatically posted to your general ledger But the benefits are not limited to the above-mentioned items. I think MineralTree team is one of the best in the market in terms of responsiveness and their willingness to work with their customers to build a better product. ### 45. No more having invoices get lost on someone's desk. Also, MineralTree allows you to have an audit history that proves someone reviewed and approved an invoice. Best of all, if the AP manager takes some time at the beginning to set up the automatic coding/settings for individual vendors, MineralTree will do all the hard work for you whenever future invoices are run through the system. So much less data entry and so much more consistency and accuracy in the coding of invoices! **What do you dislike about MineralTree?** The only con of MineralTree is that the invoice entry screen only shows the top section of the invoice and not the full page. As a busy AP manager trying to quickly and efficiently check/enter data for each invoice, I disliked having to scroll down on each invoice page. I would have preferred that the full invoice was on the left side of the screen and the data entry section was on the right side of my screen. **Recommendations to others considering MineralTree:** Make sure that your check signers provide an image of their signature that is black and very bold. Have them sign with a fine sharpie on a white piece of paper. NO BLUE PENS as it will appear faded once uploaded into MineralTree and printed on the checks. Otherwise banks may give your vendors trouble if they try to cash a check with a vague/fuzzy signature. **What problems is MineralTree solving and how is that benefiting you?** Before implementation of MineralTree, our vendors were getting paid late and our company was accruing late fees and having services cut-off due to the inefficiency of the AP system. Once we implemented MineralTree, we saw an IMMEDIATE improvement in the payment of bills and got excellent feedback from our invoice approvers, payment approvers, and our vendors. No more signing of stacks of checks and no more wasting time sorting through stubs and sticking stamps on envelopes. The time saved and efficiencies gained were invaluable to my position as AP manager. I would like someone out there to find me a better integration between 2 solutions. Everyday I log in and see little traces of the integration within QBO that are insanely detailed. **What do you dislike about MineralTree?** This isn't a dislike against MineralTree as it is a growing pain for a smaller accounting group like ours. As with any new technology system, you need to be prepared to dedicate time to do things properly. With the insertion of an approval process flow, you have to stay on top of invoices (daily) to give your internal customers time to review and approve the invoices. Otherwise if you step into a meeting to discuss payables, you wont' have a good grasp of what your approved A/P balance really looks like. I will say though that staying on top of invoices beats the hell out of what we were doing previously (A/P approvals were done in Outlook). One thing to consider - their automated entry system that does the coding for you needs 24 hours - although this seems like a lot, don't fret, you still have the ability to pull the invoice down from the cloud. You can code the invoice to your liking and push it out for approval. **What problems is MineralTree solving and how is that benefiting you?** Approval workflows, real time insights as to where AP really stands, expediting payments, and leveraging the integrated American Express payment technology. Oh and the check cutting capabilities are amazing, save a lot of time and a lot of soft costs for the organization. ### 49. The only thing I want is to partially pay invoices.
