The mail integration that allows emails to be associated with specific clients or projects is simply invaluable. Although I do prepare tax returns, I do a significant amount of consulting work for small business owners. These are entrepreneurs who constantly have requests ranging from small projects of less than 2 hours to other projects that exceed 100 hours. Keeping track of just over 200 of these projects was an administrative nightmare prior to using Karbon. Lossing track of project status also negatively impacted revenue generation. Once we implemented Karbon our monthly billings increased dramatically. I have absolutely no regrets about our decision to implement Karbon **What do you dislike about Karbon?** The only downside of Karbon is that a small practioner can be assigned emails by various clients. Especially when you perform a lot of work for them as a contract CFO. Karbon only allows one email to be associated with a user ID. It would be very helpful to allow a user to have multiple emails feed into Karbon. **What problems is Karbon solving and how is that benefiting you?** Karbon helps us keep track of the status of open projects. The term in Karbon is Work Items. In our small firm we always have between 250 and 300 work items to track. Karbon has allowed us to become highly effective at tracking status which results in getting more work completed on a more timely basis which results in faster revenue billing. ### 2. One of the best things is emails can be be attched at a customer and work level across the firm, so no matter who emails the client, we all can see it because we have set up email sharing. This is helpful when trying to find out what has already been discussed with a client. Another thing is customization. Since all our clients are so different, a template for a work item is helpful, but the fact we can fully customize it and leave detailed information for the next person who works on it makes a big difference. Along the customization lines, there are many ways to access things so we can all pick the workflow and navigation that works best for us as individuals. And we like the ability to send and receive documents securely through checklists to the clients. Keeps things organized and safe. Karbon has so much to offer it was a little overwhelming in the beginning but our client services reps are awesome and quick to help any time we needed. **What do you dislike about Karbon?** The integration with calendars and outlook are not quite there yet. The calendar feature syncs with outlook, it's just not as friendly to edit and add to yet. **What problems is Karbon solving and how is that benefiting you?** We came from a basically paper and spreadsheet workflow system to Karbon. So this is a big step in the tech direction. So far it has really improved our tax prep workflow and regular accounting workflow. Not only do we know where things are in progress, we are also customizing to make it easier for the ones that come after us. We have a lot of room to grow into this software. It also helps with transparency, capacity and collaboration. ### 16. The automators are great to those engagements that are predicated on other team member's work. My week allows you to see all the tasks you need to tackle for the week and you can even assign work out to other team members if you need to delegate. I highly recommend this app for firms of all sizes! **What do you dislike about Karbon?** We are looking for some more advanced automation but it really comes down to customizing certain features specific to our firm and we understand that cannot be done for every customer. **What problems is Karbon solving and how is that benefiting you?** Karbon allows us to track all of our engagements, allows us to plan for our capacity, grow our business and team and collaborate on a wider scale. Our turn around time has improved greatly and clients love the use of technology and security, as compared to regular email. ### 17. I also like to be able to add work-on the fly to minimize dropping the ball. All of our communication is tagged to the client/lead including sales conversations so that anytime we get a phone call, any team member can step in to provide support. **What do you dislike about Karbon?** There are several clicks to do simple tasks and the exchange calendar is not an option for the calendar integration which would have been awesome. Once the automators are activiated and you reset them, you still have to do a few additional steps because it doesn't necessarily update all tasks. **What problems is Karbon solving and how is that benefiting you?** We offer variations of bookkeeping, accounting & business advisory support so being able to create a work for the variations and also creating templates so the work is completed consistently is great. Having clients upload directly to the portal safely and securely and having the communication between client directly recorded in that client task. ### 18. I know some are on the way (Google Drive especially!) but this would help to keep absolutely everything withing Karbon. Zapier is obviously a useful tool as a workaround. **What problems is Karbon solving and how is that benefiting you?** The biggest problem Karbon solves without a doubt is the ability for us to systemise every task. By doing this, it means we can have lesser skilled/experienced staff members doing work we otherwise would have left for more experienced team members as we are able to breakdown every job step by step for people to follow. We're still a long way off completing this work, but we're taking the McDonalds approach of systemising everything for consistency of work throughout the business and ease of use by any member of staff. ### 21. No need for a separate email system. You are also able to create work items from those emails. They are able to be assigned to existing work items to help keep track of them. Also, their support team is constantly using feedback from their client community to add/correct functionality! **What do you dislike about Karbon?** I do wish the spell check functioned in the email system. **What problems is Karbon solving and how is that benefiting you?** Karbon solves the problem of having to work emails outside of the work assignments. You are able to easily and quickly triage your email in the morning using a GTD process and assign emails as 1.work items in your work flow 2. attach them in context to a work item already existing 3. just plain respond and clear it from your inbox. ### 22. I always call it the "inbox of tomorrow." **What do you dislike about Karbon?** So far, I have not seen any major issues other than the fact that automators sometimes are inaccurate, especially when there are recurring tasks. It does not accurately carry-over task information quite well. **What problems is Karbon solving and how is that benefiting you?** The main issue that karbon addresses on our organization is task management, where the tasks include contacts, relevant persons and instructions. As far as time is concerned, it has made dealing with work more efficient, thus saving us a lot of time. ### 26. Creating repeating monthly templates is important to my team and we use all of these features. I love the idea of the timer being included in Karbon but we have yet to implement this feature. **What do you dislike about Karbon?** I dislike how when you make changes to a templated workflow in Karbon that it does not publish those changes to already existing workflows. This means that when using workflow templates you must be absolutely sure you have them to the exact degree you want them and if changing them later then you have a way to track those implemented changes. I also dislike that I still feel like I am managing two inboxes. The archive email feature within triage doesn't jive with the folder process with email that I have always followed (for ease of finding client communication). **What problems is Karbon solving and how is that benefiting you?** The problems we are solving with Karbon are repeating workflows for my staff and built-in standard operating procedures around these work items. It makes it easier to train someone when the tools are broken down in a way that their next steps are clearly laid out for them. You can easily add jobs and assign tasks to myself and others. I also like the audit trail so you can see which tasks were assigned to or from. You never have to ask anyone or ask them to remember a task from 3 years ago because it is all in Karbon. There is also a new feature that we totally love where it summarizes all the email threads. It's just amazing! It makes it easy to collaborate. You can sort your triage by tagging tasks/emails and uploading docs into related jobs. In fact, Karbon made it easy to add jobs and assign tasks to myself and others. I also like the audit trail so you can see which tasks were assigned to or from, job progress (as you can also check the status) or even the job history 3 years ago! You never have to ask anyone or ask them to remember a task from 3 years ago because it is all in Karbon. There is also a new feature that we totally love where it summarizes all the email threads. I am Canadian and found templates for our particular tax requirements. 4) Our clients freaking love the Karbon portal...no seriously...we got dozens of compliments within a couple of months of implementing Karbon. 5) Interoffice communication is easy, especially when multiple people work on the same file. 6) You have easy access to all emails sent to a client from everyone in your office. You can see emails from the other members of your office. This helps avoid spending lots of time trying to catch up on a client file if your colleague is out of the office or on vacation. 7) You are able to drag existing work directly into your Outlook or Google calendar to block schedule. This is a great way to plan your entire week. 8) Karbon provides a number of educational opportunities, such as blog posts and webinars. Many are specific to Karbon but others are of interest to people in the field in general. 9) The Karbon community is amazing! **What do you dislike about Karbon?** 1) There is a learning curve, and it will take time to fit Karbon into your workflow. You need to put the time into Karbon from the first time you log in. Images cannot be resized Cannot insert a table in the message. This needs to be done elsewhere and then pasted in the body of the email. My week: other people's tasks appear in My week which I don't believe should be there until it has been assigned to me It would be nice to be able to invoice clients from within Karbon and not use other software. When creating a repeating schedule and you selected a monthly repeat rather than annual, there is no way to easily fix it as these fields are greyed out. You actually need to end the repeating schedule and start all over again. Karbon is great because it's created specifically for accounting firms. A lot of the features I'd been trying to recreate in my own system (repeating monthly work, assigning emails to clients and projects) I realized were already there in an accounting-firm-specific app. What really got me though was the name of the email inbox. It's not called Inbox, it's called Triage. I love that. When I go into my email, that's exactly what I'm doing - sorting through the priority items, and deciding what to focus my attention on. Karbon makes it easy to do that, you can tag certain senders (such as emails from mailing lists or routine notifications) as low priority, so those go into a separate inbox, and your Triage only contains priority messages. And you can also attach the emails to different work items so that the info is all in one place. Team members can also see those messages, making it so much easier to keep things from slipping through the cracks. **What do you dislike about Karbon?** Karbon has two ways to sort through your "To Do" items - My Week, and To Do. My Week is solid, although generally, I'm working in the Kanban layout work screen, and with that I've got an eye on everything I need to do. But the To Do section... could be better. The one-off tasks that aren't related to any particular work, those can be added as To Dos and will show up in the To Do section, but for me, this list tends to grow and sprawl and it takes some tinkering with the filters to get it to show what you need to see. So I generally avoid the To Do section, and use the My Week section instead to track my individual To Dos. **What problems is Karbon solving and how is that benefiting you?** We have a lot of clients, all with similar monthly bookkeeping work. The monthly work for each client are mostly similar but not identical. Also, they change over time as the client adds new accounts, starts payroll, etc. Without a work management system in place, there'd be a pretty low cap as to how many clients we could take on, since the complexity of it would overwhelm us. But with Karbon, I have work templates set up to start a new client, and then that client's work can be customized. Also, the repeating monthly work items inherit changes made to the current monthly work item - that's crucial. So it's a bit like each client has their own work template that you can constantly improve upon and adjust. It's made us a much more efficient firm. ### 49. Certain reporting we would like to see is not readily available (it can be requested and provided, but not "at our fingertips). **What problems is Karbon solving and how is that benefiting you?** The transparency and team communication improvements offered by the email integration and automated sharing function has broken down silos of information and ensured client communication (from all team members) is readily available for whoever needs to jump in and help, and/or as a reminder for those previously involved! The Work Items provide the right guidance for both experienced and new team members (additional guidance can easily be provided, but doesn't bog down those who don't require). Work Item recurrences are wonderful for helping populate our workflow and assisting with forward capacity planning. ### 50.
