All I need to do is feed a pdf or image file, and the tool learns the structure and pattern of the file. Then, when uploading a similar file, the tool is able to identify that it is the same type of document, based on the structure and pattern. It is pretty intuitive. Furthermore, there are many features for extraction. We can extract single words, paragraphs, tables, even barcodes. There are validation rules that we can set for each extracted value to ensure that the correct type of data is extracted. To then save the extracted data, the tool is able to export the data to a database. We simply need to connect the tool to our database and map the extracted values to the relevant columns in our tables. In addition to that, we can perform scripting to achieve anything else that we are unable to do in the tool. It is a really well-thought-out tool that is fairly easy to use and serves its purpose well. Ooo, the enterprise support does a good job too. **What do you dislike about Ephesoft?** The validation screen could be a bit more user-friendly. For example, the user cannot all the statuses, only Ready for Review or Ready for Validation. The documentation, while helpful, could be updated more frequently with relevant screenshots/tutorials. Readable and more accessible logs are definitely needed. The format conversion feature is powerful but it needs to allow to perform multiple different conversions for the same index field. We need format conversion for tables too. A versioning feature where we could see the batch class history and roll back to previous batch class versions easily would be great. **Recommendations to others considering Ephesoft:** Ephesoft is probably your best bet for your organizations' document understanding needs. The company is growing and expanding into new products and features, which is very promising. **What problems is Ephesoft solving and how is that benefiting you?** We use the tool together with robots. The user uploads the documents into the tool. The tool extracts the relevant data and places it into the database. Our robot then extracts the data from the database, and then performs the relevant processing steps such as keying in the data into systems, calculating amounts, preparing reports, and much much more. We have used Ephesoft to extract data from invoices, utility bills, delivery orders, purchase orders, bill of quantity documents, theme park vouchers, income statements, hotel booking forms, and more. We have realized great time and effort savings for our clients. With great power comes a high learning curve. You must be willing to put in the time to learn and understand how it works. This is not a drop-in solution - it is a solution when you have highly specific and detailed requirements for OCR scanning your documents for a fairly high or more volume. Once set-up properly; it can save hundreds of manual hours. It works with automation very well and is extremely good at what it does. **What problems is Ephesoft solving and how is that benefiting you?** We have a lot of digital statements for customers as well as scanned paper statements from a large number of different banks with different statement formats. Once the statements are a PDF, the Ephesoft engine makes short work of finding the required meta-data and renaming the file with the pertinent data. It can even find statements that are for one customer; or which have multiple participants where it can break up the document and create individual files. This creates a standardized naming convention that we simply drop into our DMS that is setup to read the filename, extract the data and apply that to tags for each document. You can extract any piece of information you want. **What do you dislike about Ephesoft?** Lucene indexing doesn't consistently deliver the desired results. I have to fall back on Keyword Classification in a lot of cases.
