I also think that there are some accounting issues that I wish were more flexible. They have definitely made changes over the years that I appreciate as it means they are listening. Being cloud-based makes it very easy to use anywhere! My dockets have never been so up to date. Free access for my bookkeeper also makes sure that my accounting is straight at no extra cost. We have to utilize another program, Asana, for that purpose. The use of a separate program wouldn't be the end of the world if there was at least a good integration but that doesn't exist either. It is very easy to use, but if I'm not sure about something I can either check the help/support button for a very comprehensive list of topics and answers, or I can chat with a representative online and I am directed on how to use the software by that person in real time. My questions have always been answered quickly through the live chat function. I also really love the documents tab. I upload my trial documents into the folders and can easily access them during trial from my iPad, so I don't need to print of hundreds of pages of documents. The unpaid, unbilled, operating and trust fund totals are helpful, but when I'm doing a file that has a maximum number of billable hours (for example, a Legal Aid Alberta file, which always comes with a maximum number of hours per certificate), it would help to know when I am getting close to that number (without having to generate an invoice) so I know if I need to request authorization for more hours. The reports are also very comprehensive but sometimes I struggle with figuring out exactly what report meets the criteria I am trying to look at so the reports are not quite as user friendly to learn quickly as the rest of the software and more "basic" features. Cosmolex has made timetracking, invoicing, and keeping track of paid invoices so much more efficient. It has very likely increased my billings because I have it open all the time and I immediately input my time for each matter I'm working on, whether it's for 0.1 hours or for a full day trial. It is also very handy on-the-go, if I incur an expense, I can easily input it into the Cosmolex app. I can also access the full desktop version in court if I need to access documents quickly. Most are silly little things like I wish they had more colors for the calendar or wish the software emailed you when a task has been assigned to you, etc. Most are things that I think will eventually get added or fixed in future updates. A bigger thing that I dislike is that you can not have extra timekeepers for independent contractors or when you have an employee leave and a new one start you have to deactivate the old employee but then will need to reactivate them if you need to edit any of their invoice entries. This is not impossible to work with but it is a pain. I also wish the system had more reports/better reports to help track attorney billable hours and collections in terms of yearly reviews, etc. I also wish there was a better explanation for each report so that I could read a help article or watch a help video on each report that tells me what it does and how the calculations are created etc. specifically when it comes to attorney collections/billable hours. It took a while to figure the software out - it was not intuitive having worked with PC law and lighthouse - but once I wrapped my head around it, I like the program. I'm a sole practitioner and this is my first investment in time management, accounting and billing software. I absolutely love the chat feature - anytime I'm stumped, I can instantly connect with customer support who take over my screen and show me exactly what I need to do. The migration process was explained well at first instance and the support throughout that process was exceptional. There was a misunderstanding on billing which was quickly and effectively dealt with. Initial and ongoing training is fantastic, leaving nothing wanting. The ongoing access to support is the major game-changer from previous practice management software/systems we have used. I have questions answered within minutes by explanation or demonstration. What do you dislike about CosmoLex? Inability to blend fee/tax payments. This is a bit of an issue for me as I often write-off the last bit of an account which could be up to a couple hundred dollars at times so the tax implications of not being able to have payments on account be registered as a tax/fee payment blend is an issue. I've submitted a request for this to be an option and am working with my accountant to try to figure out how best to deal with this to ensure my Federal and Provincial tax payable are accurate but because I'm also new and learning the system that's tricky for me. I've asked for assistance and was simply told there is nothing I can do - no blending of payments by default and no option to manually break down an incoming payment on account to the components. What problems is CosmoLex solving and how is that benefiting you? I'm finding more time in the day using this program. I can invoice, collect payments, and reconcile accounts so much faster. Partly because of the interface and partly because the program itself assists with cutting down on human data entry errors so there's less problem solving needed at reconciliation time. Cosmolex is very easy to use once you have a bit of time playing around with the interface. As a daily user, I find it very easy to find what I need, as the menu options are clear and concise. The customer support team is also very responsive and helpful. The reports feature is also very helpful, as it distills data into a reader-friendly report. Some features don't translate for Canadian users, such as automatic bank transactions being uploaded to CosmoLex. The invoice templates are also very finicky, and I find it difficult to format them to my liking. Lastly, while the reports feature can be very useful, it can also be hard to find the exact information that you want to review, as some report names are convoluted and confusing. Keeping track of our bookkeeping has been huge with CosmoLex and has made our accountant's life a lot easier. That I can send emails to client within the portal. I also like how everyone in the firm can make new matters numbers without anyone having to get kicked out. I like how our in house accountant is able to easily speak with an employee of Cosmolex whenever someone makes a mistake in time entering. Cosmolex is good because it allows multiple personnel who bill to be listed- there is not a maximum which is nice since there are paralegals. What do you dislike about CosmoLex? That it does not show when a payment was made on invoices if there is a leftover balance. Basically, I wish the invoices would carry over without having to make multiple ones. I do not like how the invoicing does not send a reminder to either the firm or the client to let them know they have overdue invoices. I think this is something that should be an option if the certain firm wanted it. For a new client, the first invoice usally always gets sent to spam which is not very helpful. Sometimes our firm has multiple cases for a single client and it is nice to know which matter belongs to the correct attorney so no confusion happens when billing. My favorite thing is just how customizable it is on every level, whether it be o the departmental level or for the individual team members. What do you dislike about CosmoLex? When logging in time, the sections are not always in chronological order, especially when populating a new " batch" of times to log. I may not be using it properly but I have not found a workaround here. It would be wonderful as well to have a kind of guide for all of the tools that managers can use.
