Features Manage Samples: Securely store annotated sample data, track samples using barcodes, print labels, maintain sample Chain of Custody (CoC), and manage all aspects of sample genealogy, including aliquots, derivatives, and pooled samples. Manage Patients: Seamlessly manage patient data, demographic details, clinical history, and patient consent, anonymize sensitive patient data, to meet ethical and legal requirements. Patient Portal: Enable patients to self-register on the portal, place test requests, associate themselves with physicians, and download test reports as soon as they are released by your laboratory. Physician Portal: Enable physicians to enter patient data, print sample labels, associate patient records with samples, place diagnostic test requests, track request status in real-time, download test reports and invoices. Manage Tests: Manage tests and their results, maintain test CoC, validate test results, automate the calculation of complex test results, and analyze trends based on test results. You can configure flagging sets to automatically flag out-of-specification results and select one or more approvers for a test type. Furthermore, you can print labels with barcodes for multiple tests. Generate Custom Test Reports and CoAs: Generate professional test reports or Certificates of Analysis (CoA) containing sample information, test details, and test results for multiple analytes. You can generate them in a batch for multiple clients, reducing the turnaround time. You can include a QR code on CoAs and test reports for authentication and an ID to uniquely identify each CoA. Client Portal: Enable your customers to enter or upload samples in a batch, print sample labels, place test requests for multiple samples, attach notes or instructions, download invoices and test reports. Follow Regulatory Compliance: Follow HIPAA, CLIA, CAP, EU GDPR, ISO 15189:2012, GLP, ISO 20387:2018, ISO/IEC 17025:2017, 21 CFR Part 11, and ISBER Best Practices with ease. Manage Documents: Manage documents, such as SOPs, track the revision history of documents, and ensure document control. Manage Staff Training: Manage training and competency records of laboratory personnel and generate staff competency reports. This helps laboratory managers assign tasks only to the personnel with appropriate training, competency, and experience to perform them efficiently. Manage Instruments: Manage records of instruments, schedule instrument calibration, and perform preventive maintenance. CloudLIMS helps you maintain calibration and maintenance results, in addition to integrating instruments to directly load results. Manage Workflows: You can configure workflow templates using a series of steps to mirror your laboratory workflows. This functionality enforces the staff to follow standard operating procedures (SOPs) as per the laboratory guidelines. Furthermore, it enables laboratory managers to monitor the processing status, review operations, and remove bottlenecks. Manage Kits: Manage and configure kits, design barcodes for kits, and print labels. You can set reminders to receive alerts if the current number of kits is less than the specified quantity, ensuring timely ordering of kits. Manage Inventory: Manage laboratory inventory such as reagents and other consumables, import inventory records from a file, or simply scan barcodes to add new items to your inventory. Manage Package & Shipment: Track all shipments right from the origin to the destination to avoid misplacing samples. You can assign a unique ID to each incoming and outgoing shipment, associate each shipment with samples, and then check-in the incoming samples or remove the ones shipped out. Manage Services and Billing: Manage laboratory services, such as test requests, and create catalogs with defined pricing for each service offered by your laboratory. You can automate the processing of service requests once they are placed by your customers from the client portal. You can select one or multiple reasons while rejecting one or a batch of service requests. Manage Studies: Manage studies, associate them with samples, patients, and study in-charge, and generate custom study reports.

What do you like best about CloudLIMS?

CloudLIMS is accessible anywhere, any time, as long as there is internet connection which allows more flexibility to use amongst our team. It is also configurable on multiple levels so no matter what kind of operations the end-user is running, CloudLIMS is more than likely to achieve your operational needs. Technical support is also supportive, ensuring the customer feels comfortable and competent using the application by consistent communication and regular meetings with fast response times too. What do you dislike about CloudLIMS?

There are a couple refinements that can be made, such as the arrangement of columns for some windows, the data types, and additional statuses (sample collected, sample picked up, sample received, etc) to track samples through its chain of custody/workflow. Our information is vital to support to future research so it is a high priority for our facility to ensure our data is secure and accurate. It is also a solution to improve our workflow to reduce time manually updating databases, handwriting forms, and manually assigning codes to subjects and samples. With the implementation of CloudLIMS, we are able to have a much more seamless workflow with transparency throughout our entire facility on the chain of custody of samples, our inventory, the progress of our accruals to keep track of metrics, and much more. The amount of customization in CloudLims makes it versatile and flexible. This could make it work in almost every field from science to engineering to computer science. I found that CloudLims customization could be a very difficult for newcomers especially for experts and website editors themselves. It takes alot of time to learn unless one is professional at computer science and programming. Currently, one of our personnel is handling the large editing process on the CloudLims website. CloudLims will make it so that everything from samples, labs, and reports can be done online and at a fast pace. This way just need to login online where everything is at.
