CivicRecordsOnline is public records request management software built for city clerks and records specialists at local government agencies. It keeps every records request in one place: who asked, what they need, when it is due under state law, what has been sent, and a complete history of every action taken. Requests come in through a public portal, a forwarded email, or manual entry. The deadline clock starts automatically. The product supports all 50 states&#39; public records laws, counts business days, skips holidays, and shows what is due this week. Staff get reminders before anything is overdue, and a supervisor is notified if something slips. Redaction is included in every tier. There is no paid redaction add-on. Instant Privacy Scan finds names, addresses, phone numbers, Social Security numbers, dates of birth, driver license numbers, and credit card numbers, and flags them as draft redactions for review before anything is released. Find &amp; Fix Everywhere erases a name, phrase, or pattern across every page of a document in one pass. Permanent Safety Lock burns published redactions into a flattened release copy that the recipient cannot reverse, while the original file stays untouched in the audit trail. Smart Medical Catching flags health details and the names of minors so legally protected details do not slip past an ordinary search. The redaction engine is deterministic pattern matching: the same input produces the same output every time, and records never train an outside model. Scanned-paper reading extends the privacy scan to scanned PDFs and images. Requesters check their own status on a simple public page with no account or password. The Released Records Portal lets requesters download records that have already been released, which cuts duplicate work. Fee tracking records assessed, paid, due, and waived amounts without storing card data. Every action is logged in an audit trail that exports as a PDF. Email updates come from the city&#39;s own address. A bulk importer reads request export CSVs from NextRequest, GovQA, JustFOIA, FOIAXpress, and MyGovHub, so agencies can bring their request history with them self-serve.
