No hourly rate, no implementation fees. Just a pay per user Comes with everything, so no extra module to purchase Use only what you want, disable all the rest (very flexible here) It really has everything we need from budget planning to tracking costs Good support. Their project managers really know their stuff and challenge us Integrates with the tools we needed (mainly 2 ERPs) **What do you dislike about Capexplan?** There is a learning curve. As with all business software. But super users need to get trained, so it’s not something you jump and start using without help. However, that learning curve is relatively easy once you get the hang of it. Too many functions? This might be debatable if it’s a‘like’ or a ‘dislike’ but for many companies coming from the world of Excel or Sharepoint, it can be easy to get lost in the multiple functions the software has to offer. The upside is that their teams did help us focus on what was needed and we disabled all the rest. That made it easier to go-live faster. More of a comment than a straight dislike, but we heard about a potentially new report generator that would be able to do what we normally did with our BI tool. Currently for some specific reports, we export the data to our warehousing system and from there we link to our BI system. We were told that they would release a new report generator in Q4 of 2026, so anxious to see that. It would help a lot and save a fair amount of time. **What problems is Capexplan solving and how is that benefiting you?** Complete process in one place. Getting data from other systems and then input from users, we have a clearer picture of each capex or opex request, where they stand. Tracking costs are also made easier. ### 2. We use it in a number of countries, so people working in different currencies, consolidating in unique currency. I like the ability to track my costs, do forecasting, cash out and compare everything to budget and approved. It does have lots of possibilities and we probably use half of them. But everything is centralized and users have access to most recent data, so it’s a huge improvement from sharing spreadsheets over email or approving documents with standard electronic signature systems. Capexplan combines everything in one place. **What do you dislike about Capexplan?** Is someone tells me that they do not dislike anything, then something is wrong. Or they are not using the product. In every software there is something that could be improved and Capexplan is no different. Some layout they could improve, some pages a little heavy on settings. Over the years they have added a lot of functions, so sometimes this adds to a settings page. The good thing is that they do recognize this, they do listen to our comments and they generally work in good faith to improve things. Any provider that constantly works to improve things is already in a good place in my book. **What problems is Capexplan solving and how is that benefiting you?** We had a mix of shared documents over email and sometimes paper, so the software represented a substantial change. That centralization is probably our biggest win here. It brought us the ability to see what was going on without having to constantly email or phone someone to find out. ### 3. But I think that what makes the difference is the implementation team. They know their product inside out, and if we need something not in the software, we agree on what is needed and they go back and create it. That part is a huge plus for us since we did have a few challenging needs. And that was included in their price, so we did not get any surprise there. Integration was also an area where we were nervous. Even after talking to some of their existing customers, we were still wondering if the Capexplan team could pull it off. But then they offered to do the integration as part of their proof-of-concept, prior to signing an agreement. That was interesting and proved to us that they trusted their product (and their team). In the end it worked out well. **What do you dislike about Capexplan?** It does what it is supposed to do. Could they improve a few things? Yes, of course. For example, some functions we asked to be created took a few more days than planned. We did not pay for them and in defense of the Capexplan team, we had some back and forth with testing. But we had pressure on our side, so sometimes we needed a new function urgently. We understood that some functions take more time because they are modifying something that touches many other functions in the code. I guess that is the downside of ‘pleasing everyone’ by having a very flexible product. In some cases, you need to plan for a few extra days to make sure it will work as you need. **What problems is Capexplan solving and how is that benefiting you?** Getting everything in one place and making sure it had the right data. Once we got integration working, everything got into place. It is a huge improvement from using spreadsheets in terms of rapidity, ability to consolidate data, getting updated on status of projects, overview, notifications. ### 4. They do mention that, but it’s when you implement that you realize that they were not kidding. We had over a dozen very specific functions that no other vendor had or was willing to create. But they created each and every one of them. Yes, we had to wait a few weeks, and we were on a tight schedule, so we had to agree which functions we really needed for the go-live and which ones we could wait a little longer. That helped speed up the process. There were no implementation costs and no additional costs for developing those functions, so that was really good. We have had numerous experiences in the past where the vendor tells you how many hours it should take and it always ends up taking more time and costing more. Here, some functions did take more time, but at least we did not pay for anything. We had established a specific number of users for the first year and we paid only for that. **What do you dislike about Capexplan?** When we see what is in the software, it is easy to get lost. Even with training, when you are on a tight implementation schedule like we were, you need to get to the point. We had a good-sized team on our side for the implementation, and some departments did have specific needs. So that added to our requirements. And that adds to training. It would have been good if the Capexplan team had pushed back a little more, like telling us how much time each function that we decided to use would add to the implementation timeline. We probably could have put to a phase 2 some functions. In the end it all worked out, but the last 2—3 weeks were a real sprint. **What problems is Capexplan solving and how is that benefiting you?** Going from a manual system to this one aligns everyone. For example, we often had requests coming in missing fields so we had to send them back. The mandatory fields forces people to complete the requests before they sent to us for approval. People can also see in real time the status of each request, so that is appreciated. Approval policies are (finally) followed, so people no longer end up purchasing something before the request is approved. ### 5. From budgets to creating requests, approval flows, tracking costs, reports. It operates a bit like an app but under the hood it is a big product packed with hundreds of functions. If you know what you want, you will find it there. It is very versatile and easy to configure. Also, they really do add just about any function you need, at no cost. That was a surprise at first because we were used to spending a lot on customizing software. But they include that part in the price as well. **What do you dislike about Capexplan?** If you have no idea what you need, it can be a little overwhelming at first. The Capexplan team did recommend us to start with only what we needed and then after that start to use (unhide as they call it) other functions. Fair enough. But even that point, coming from a spreadsheet environment, it was a good amount of information to take in. The good thing is that their project managers were very patient with us (maybe too many times), so that helped a lot. I would recommend having an idea of what you need as a starting point and not only having a need to change from spreadsheets. **What problems is Capexplan solving and how is that benefiting you?** Capexplan brings us a centralized solution, so now everything is in the same place.
