Avid provides a centralized place for all our invoices, and means I only need to see things that I actually need to review. It ensures coding to the proper grant line and gives the program manager or division director a chance to review before they see the monthly statements and then need to make adjustments. The approval screen can be challenging in order to open multiple invoices - creating comparison to last months invoices is not smooth and training options for the Program Director level have not been great - either live or recorded. It seems to work better for our direct Accounts Billable staff. The check process it too long in issuing, mailing paper checks for those individual vendors who are not set up in an autopayment system. This is especially impactful to our small, local vendors, and volunteers who need stipends and payments quickly. The ones who are least likely to be able to wait for payment - and that pts additional pressure on staff to request paper checks, which sometimes seems to defeat the purpose of moving to a system like Avid. One great thing is to be able to have questions between the approval people and the accounts payable team within the Avid tools, which means those get addressed so much more quickly than email requests or our internal chat systems; also, the ability to designate others in the organization as approvers during vacation times, family medical leave, and other times when checks would not be processed because one staff was out of the office. It almost eliminates the need for check processing, saving valuable time and materials, while adding a more secure payment process. Review collected by and hosted on G2.com. What do you dislike about AvidXchange? When processing payments from MRI, the open invoices stay in the system until the next day. I would like them to show as paid as soon as they are in AvidPay. Also, adding bank accounts through an Excel template uploaded to a case is inefficient. I would like something that admin's can update within the system. Obviously, there would have to be security measures in place, but the current process does not allow visibility to the setup and can take time for the case to be closed. Prior to Avid, we had 2 people cutting checks twice a week, processing ACH's daily, and we did not have a reliable approval process. Avid has provided us an approval workflow that is reliable and a payment process that is super efficient, while letting our vendors choose their payment preference. This has benefited us by giving back time for more valuable activities, rather than cutting checks, fixing errors, or communicating with vendors about payment matters. I like the functionality and user interface of AvidBuy and AvidInvoice and love that you can see the history from start to finish. I also love that you can see the payment status of invoices. The vendor sync process has been the most cumbersome process to manage by far. I also am struggling with the Capture process at times. It is sometimes inconsistent and I also have problems looking back at emails when invocies are rejected (although I am told it is a browser issue, I am not convinced that it is). Avid has increased production of our accounts payable team. We were able to decrease our AP team from 3 FT to 2 FT employees over the time of the conversion. The features are the right ones that help us pay invoices in a more timely manner. The AI that is used in the platform speeds up the process for processing daily invoices. Avid as integrated into our accounting platform smoothly and handles all necessary entries on the backend. The customer support has been excellent anytime that I needed their assistance. Review collected by and hosted on G2.com. What do you dislike about AvidXchange? Only knowing our previous AP platform which was very manual, I don't have much that I dislike in Avid. There are two things that probably stand out for me which include the following: in my opinion, I feel like there are some features that require too many extra clicks to access, their menus should be more hover and also some features should be linked together as opposed as getting out of one section to goto another. Another issue I have is the speed, with this being hosted by Avid, there are times that the system might show some latency which can lead to frustration as it is something that we cannot control. Finally, which would be normal with the development of AI and the OCR software, there are times when the incorrect information is picked up by the platform. Review collected by and hosted on G2.com. What problems is AvidXchange solving and how is that benefiting you? Avid has sped up the accounts payable process for our bank. It has allowed us to automate many scheduled invoices with a more thorough control of the invoices. The approval process is very beneficial as now all invoices are approved after processed, in with our old system, they were signed off prior to being processed which made it difficult for new people who may not have recognized signatures. We’ve been using AvidXchange for over 10 years, and it has become an integral part of our daily operations. The initial implementation process was smooth, and the system has remained consistently reliable ever since. One of the things we appreciate most is how easy it is to process vendor payments—it’s straightforward, efficient, and integrates seamlessly with our core HOA management software, Vantaca. The ability to quickly void checks or issue stop payments when necessary is also a major plus, helping us stay responsive and in control when issues arise. We use AvidXchange almost every day, and it continues to meet our needs the vast majority of the time. It’s a solid, dependable solution that supports both the scale and pace of our business. While AvidXchange has been a reliable solution overall, there are a few areas where improvements could be made. The user interface—particularly the interchange—could benefit from updates to make navigation and check searches more intuitive and efficient. It can feel a bit clunky, though we’ve adapted to it over time. Additionally, some of our experiences with customer support have been less than ideal. In certain instances, support representatives have attempted to shift responsibilities back to us, even when the issue clearly falls within their scope. One of the biggest benefits is that their team handles the uploading and much of the initial invoice coding, which significantly reduces the time and manual effort on our end. This allows our team to focus more on review and approval, rather than data entry. By automating key parts of the accounts payable workflow, AvidXchange helps us process vendor payments more efficiently, reduce errors, and maintain better organization across multiple communities. I like that it's easy to search for invoices going through the approval workflow and being able to search for payment history. I also appreciate the functionality of putting stop payments on invoices and requesting revised payments if necessary. The smooth integration from AvidXchange over to Yardi is another advantage. As a large organization, AvidXchange is valuable because of the sheer amount of invoices that we process monthly. The indexer is doing some of the data entry for us before we start the workflow, which is a significant time saver. Their payment processing functionality, where they print paper checks on our behalf, also saves time. Being able to research the payment and payment date is helpful in maintaining a good relationship with our vendors. Review collected by and hosted on G2.com. What do you dislike about AvidXchange? Some of the AI capabilities that the indexers use can be detrimental for us. For example, if an indexer chooses a wrong vendor during the indexing step, and this is not caught throughout the approval workflow process by our team, then the Avid indexers will continue to choose the wrong vendor going forward for future invoices from that vendor. Another significant issue with AvidXchange is the 1099 process, specifically for vendors who choose to receive virtual credit cards. It would be very nice if there were some integration between AvidXchange and Yardi so that invoices that are paid with a virtual credit card would be excluded from receiving a 1099 in Yardi, our accounting software. It's a very time-consuming process to edit Yardi, so that 1099s are not generated for vendors receiving virtual credit cards. It requires staff members who know how to navigate the AvidXchange payment search function very well, which might involve higher-level staff who have more important things to do than 1099 processing. It would almost be easier if AvidXchange did not send 1099s for the virtual credit card payments. Review collected by and hosted on G2.com. It was a nice efficient way to approve checks being processed. Instead of a physical handoff, the option of doing it electronically removes the barrier of in-person or being on location. Each time I was assigned as the check signer for the week, I would not receive a notification. Our account administrator had to inform me that there were checks to be processed in Avidpay. At other times, I would receive an email notification, but it was not the one assigned as signer, and/or there would be no checks to be approved. Often, when checks are processed, it would be a toss-up as to who would be on site to physically sign them.
