## ResourceSpace Reviews
  ### 1. Outstanding ResourceSpace Managed Services with Best-in-Class Support

**Rating:** 5.0/5.0 stars

**Reviewed by:** Verified User in Manufacturing | Mid-Market (51-1000 emp.)

**Reviewed Date:** March 04, 2026

**What do you like best about ResourceSpace?**

We have been utilizing managed ResourceSpace services for just over 7 years. The customer support is the finest I have had experience with across all SaaS we subscribe to.

**What do you dislike about ResourceSpace?**

Some aspects of the interface would benefit from some UX design work, especially some of the admin pieces. The reporting interface, for example, is not intuitive.

**What problems is ResourceSpace solving and how is that benefiting you?**

We started off years ago looking for an open source digital asset management system we could self-host. We found ResourceSpace to be one of the most comprehensive and simple-to-implement options. We rolled along for a few years self-hosting, then decided to move to a fully managed solution. We have been very happy with this decision. The system has been trouble-free for years, and any issues I have had have been promptly handled by our CSR Kerry. The service has been reliable, fits our needs very well, and the service provided by our CSR has been exemplary.

  ### 2. A perfect fit to support our PIM solution

**Rating:** 4.5/5.0 stars

**Reviewed by:** Jan M. | Enterprise Architect, Enterprise (> 1000 emp.)

**Reviewed Date:** October 30, 2025

**What do you like best about ResourceSpace?**

ResourceSpace works very smoothly with our PIM system, which makes managing and sharing our product images and technical sheets effortless. The interface is intuitive and reliable, and it fits perfectly into our daily workflow. We also really appreciate the excellent support included in our contract — quick, knowledgeable, and always helpful. Overall, it offers great value and solid performance without unnecessary complexity. Implemtation was rather straight-forward, we use the cloud version and ResourceSpace handles most of the stuff for use.

**What do you dislike about ResourceSpace?**

It takes a little time to get used to the user interface. It's less 'fancy' and less intuïtive then some other DAM solutions. However that is not a real issue in our setup where it is mostly used as a backend solution to provide assets to the PIM, e-commerce, quote creator and all other applications in need of assets.

**What problems is ResourceSpace solving and how is that benefiting you?**

ResourceSpace centralizes all our product images and technical sheets, making them easy to manage, access, and distribute. By working smoothly with our PIM system, it ensures that our product information is always accurate and up-to-date. This saves us time, reduces errors, and streamlines our workflows across teams, allowing us to focus more on creating value rather than managing files.

  ### 3. Flexible, Powerful, and Customizable—Outstanding Support Makes All the Difference

**Rating:** 5.0/5.0 stars

**Reviewed by:** Alain Z. | Marketing Technology Senior Advisor, Mid-Market (51-1000 emp.)

**Reviewed Date:** November 01, 2025

**What do you like best about ResourceSpace?**

This product stands out for its flexibility, power, support, and reliability. Each of these qualities contributes to a dependable and effective experience.

**What do you dislike about ResourceSpace?**

We initially started as open users, hosting everything on our own cloud, but that soon became a burden. However, since switching to the full NAS service and support, it has felt like a dream. We have even received macros and features customized beyond our expectations, all without any additional cost. The support team is also friendly and responds quickly, which has made the experience even better.

**What problems is ResourceSpace solving and how is that benefiting you?**

We have been working with ResourceSpace for six years, and they are consistently available to support us. One example of their assistance is the development of a macro action that reads our image names, extracts the metadata, and classifies the images each time we upload them in bulk.

  ### 4. ResourceSpace review

**Rating:** 5.0/5.0 stars

**Reviewed by:** Oriol D. | Video maker and photographer, Mid-Market (51-1000 emp.)

**Reviewed Date:** December 16, 2024

**What do you like best about ResourceSpace?**

We’ve had an excellent experience with ResourceSpace. There’s always someone available to assist whenever an issue arises, and their follow-up is outstanding. Their support has been crucial in helping us maximize the platform’s potential and ensuring it meets our needs. A great example of how open-source software can be backed by professional and efficient service.

**What do you dislike about ResourceSpace?**

At first, the platform has a somewhat steep learning curve, and some aspects of the interface could be more intuitive.

**What problems is ResourceSpace solving and how is that benefiting you?**

ResourceSpace has been incredibly helpful in organizing and storing the hundreds of photos we take throughout the year, as well as sharing them with the team. It gives our team much more independence when searching for content, streamlining our workflow significantly.

  ### 5. ResourceSpace: Intuitive, Affordable, and Unbeatable Support for DAM

**Rating:** 5.0/5.0 stars

**Reviewed by:** Verified User in Non-Profit Organization Management | Enterprise (> 1000 emp.)

**Reviewed Date:** October 30, 2025

**What do you like best about ResourceSpace?**

This software is very intuitive and easy to learn how to use. Our site supports around 3,500 regular users with very few reported issues. The site is fast and simple to use, and you can easily find what you are looking for. Open-source software keeps costs low, and customer service responses are fast. Hosted support ensures that the system is regularly updated to stay at the top of the DAM field. The team behind the system designed and developed it with great care and attention, and it's clear that they're committed to making it the best it can be. I very much doubt that there is a better DAM system out there at this price point — in fact, I know there isn't, because, as a charity, we have to check every three years to ensure that we have the best system at the best price. ResourceSpace is unbeatable in every respect.

**What do you dislike about ResourceSpace?**

Bugs can sometimes creep into the system during upgrades but are quickly resolved by the customer support team.

**What problems is ResourceSpace solving and how is that benefiting you?**

As a global NGO we need all wings of our organisation to be able to collaborate and share resources effectively - ResourceSpace helps us do this.

  ### 6. ResourceSpace: Scalable and flexible open-source DAMs with commercial-grade support

**Rating:** 4.5/5.0 stars

**Reviewed by:** Verified User in Museums and Institutions | Mid-Market (51-1000 emp.)

**Reviewed Date:** October 30, 2025

**What do you like best about ResourceSpace?**

Our nonprofit cultural organization has relied on ResourceSpace for over 16 years, dating back to the software’s early days. Initially, we managed a self-hosted setup and handled all support internally. Today, we maintain an annual support contract with Montala, which allows us to reach out for help with upgrades, user inquiries, and other needs.

At present, our system holds more than 456,000 resources, amounting to over 42 TB of data. We have found ResourceSpace to be highly scalable, provided there is adequate disk space and database capacity. The platform is also very flexible, though taking full advantage of this flexibility sometimes means delving into the extensive configuration file to adjust settings.

The company continues to innovate, with support from the broader open source development community. Over the years, metadata support has been enhanced, with things like controlled keyword fields being added to the customizable field options. Recent additions include tools for AI based image tagging, facial recognition, etc. The fact that the tool takes advantage of foundational technologies like ImageMagick for image processing and ffmpeg for video processing means that it is extremely powerful, since it can handle any format supported by these widely-used open source tools.

ResourceSpace is essential to our organization’s long-term storage and management of digital imagery, and its use for multimedia content continues to grow. The frontend offers robust organizational and workflow tools, while the backend—built on PHP/MySQL and a straightforward ID-based filesystem—remains simple and easy to maintain, especially for those already familiar with LAMP-based applications.

**What do you dislike about ResourceSpace?**

As with any software that offers extensive features and has been developed over many years, there are occasional quirks and complexities. These can be intimidating, especially for users who choose not to use a hosted or supported solution. Still, the fact that Montala offers both self-hosted and fully-hosted options gives users the flexibility to self-host for free, seek support when needed, or opt for a fully-hosted service with a low barrier to entry.

ResourceSpace serves as a "jack of all trades" DAM solution, which means it may not be as specialized as products designed for specific market segments and might not fulfill every unique requirement. However, its high degree of customizability and flexibility allows it to address most general-purpose needs effectively.

The ResourceSpace plugin architecture is generally well maintained, but it is closely integrated with the system's internal structure. This can lead to changes between versions, sometimes requiring plugin updates after major releases—a common occurrence with any plugin-based system. To mitigate this, we've increasingly relied on the API for our recent customizations, which helps minimize such issues. For example, we've implemented custom integrations with several other databases, and developed tools on top of ResourceSpace to deliver images on our public website.

**What problems is ResourceSpace solving and how is that benefiting you?**

The system allows us to permanently store and retrieve hundreds of thousands of images and increasing quantities of video content on an easy-to understand platform that uses the same technologies under the hood that we already support for our public websites. SSO support for our Microsoft Entra IDP allows for easy and secure access control for our user base.

  ### 7. Eight Years of Reliable, User-Friendly Photo Management with Outstanding Support

**Rating:** 5.0/5.0 stars

**Reviewed by:** Linda K. | Creative Manager, Enterprise (> 1000 emp.)

**Reviewed Date:** October 30, 2025

**What do you like best about ResourceSpace?**

We have been using ResourceSpace for eight years to maintain our university photo library. It's been a reliable, user-friendly system, and has made it easy for us to keep our photo library well organized and accessible. The support team is top notch - they take the time to understand our unique needs and are invariably helpful and responsive. Great value for the money spent on the system.

**What do you dislike about ResourceSpace?**

No downsides I can think of. We've been very happy that we chose ResourceSpace.

**What problems is ResourceSpace solving and how is that benefiting you?**

ResourceSpace makes it easy for us to maintain a photo library for a variety of user groups. Montala has been very helpful in setting up different user groups with different permissions.

  ### 8. We love and use it daily! What a difference it has made.

**Rating:** 5.0/5.0 stars

**Reviewed by:** Donna S. | Communcations Director, Mid-Market (51-1000 emp.)

**Reviewed Date:** October 31, 2025

**What do you like best about ResourceSpace?**

Resource Space is easy to use and they provide exceptional support. They had us up and running in no time. We were able to quickly import, tag and organize over 10,000 photos in the first year. They also keep improving the software and really listen to customers to help make it as useful as possible. We manage licenses/permissions, utilize the facial recognition to help tag photos and so much more. And the price was perfect for our organization.

**What do you dislike about ResourceSpace?**

Nothing! We absolutely love it! We use it daily and it has made a world of difference for our communications department.

**What problems is ResourceSpace solving and how is that benefiting you?**

Before Resource Space, we had nearly 60,000 images that were not tagged or organized in any useful way. Today, images and other materials right at our fingertips. It's easy to sort, search, catalog and manage permissions. We are two years in and love it.

  ### 9. Essential tool for image sharing

**Rating:** 5.0/5.0 stars

**Reviewed by:** Naomi M. | SEO Copywriter, Small-Business (50 or fewer emp.)

**Reviewed Date:** November 11, 2025

**What do you like best about ResourceSpace?**

Resource Space has proven itself as an invaluable asset to our creative team for image sharing – particularly for users outside our network. We use it all the time, and it does exactly what we want it to; finding the image we need across multiple folders spanning 10+ years saves us a lot of time.

**What do you dislike about ResourceSpace?**

Manually adding tags to images can feel like a slog at times – but the benefit of finding a relevant image for a project quickly make it worth it!

**What problems is ResourceSpace solving and how is that benefiting you?**

Finding images quickly, and being able to select the relevant format for a particular project.

  ### 10. Super Practical Features and Exceptional Customer Support

**Rating:** 5.0/5.0 stars

**Reviewed by:** Verified User in Non-Profit Organization Management | Small-Business (50 or fewer emp.)

**Reviewed Date:** November 11, 2025

**What do you like best about ResourceSpace?**

The incredible amount of features, plug ins, but actually what I like most is the amazing customer support they have, they always are available and really take the time to think strategically with you about how to best set up your space, as well as how to use it strategically in an organization.

**What do you dislike about ResourceSpace?**

It does take a bit of a learning curve, so introducing it to other colleagues (who are not always tech savy) can be a long process, or also introducing to interns can take some time.

**What problems is ResourceSpace solving and how is that benefiting you?**

Managing consent, managing photo files so that they are always easy to find (for communications, for internal, for external), and also being able to find documents based on their metadata. It's a way to keep institutional memory.

  ### 11. Flexible Platform with Outstanding Support and Customization

The platform's flexibility and the team's willingness to assist and work on developing new features tailored to our needs have been impressive. I truly appreciate these aspects and would recommend it without hesitation.

**What do you dislike about ResourceSpace?**

I don't have any particular comments, as everything functions just the way I want it to.

**What problems is ResourceSpace solving and how is that benefiting you?**

The platform offers access to both photos and videos, along with the ability to assign varying levels of access to users. It is also flexible, allowing content to be ranked using a wide range of criteria.

  ### 12. Excellence in Digital Asset Library & Archive

**Reviewed by:** Verified User in Sports | Mid-Market (51-1000 emp.)

**Reviewed Date:** November 11, 2025

**What do you like best about ResourceSpace?**

ResourceSpace has been an immensely valuable tool for us as an organisation to store all our valuable digital assets (images, video, brands etc) providing advanced search options, cataloguing , tagging and security balanced access to all our stakeholders.

The system is intuitive and easy to use but if needed their customer support is prompt, friendly and always resolution focused.

**What do you dislike about ResourceSpace?**

We have no real complaints.

The only very small matter we have encountered is with the 4 minute video preview sometimes leading users to mistake that for the entire video length.

**What problems is ResourceSpace solving and how is that benefiting you?**

Nil requirement

  ### 13. Outstanding Customer Service Sets Them Apart

**Rating:** 4.5/5.0 stars

**Reviewed by:** Verified User in Non-Profit Organization Management | Mid-Market (51-1000 emp.)

**Reviewed Date:** November 03, 2025

**What do you like best about ResourceSpace?**

They have the best customer service, and being an open-sourced platform means it has endless potential for many use cases across different businesses. It's a customizable database that's easy for users to get started and also easy to manage (as an administrator).

**What do you dislike about ResourceSpace?**

It occasionally has bugs that I cannot find the cause of (but they normally get resolved).

**What problems is ResourceSpace solving and how is that benefiting you?**

As a growing non-profit organization, we need a centralized space for preserving all multimedia assets and also making them available and accessible to the whole organization. ResourceSpace is such an application that helps us.

  ### 14. Powerful and adaptable, but complex in operation

**Rating:** 5.0/5.0 stars

**Reviewed Date:** October 30, 2025

**What do you like best about ResourceSpace?**

It can be customized in great detail. Strong filtering functions possible. Continuously adjusted.

**What do you dislike about ResourceSpace?**

Due to the extensive range of functions, it is not very intuitive in many areas.

**What problems is ResourceSpace solving and how is that benefiting you?**

Management of a very large number of images with many derivatives.

  ### 15. Smooth sailing

**Rating:** 5.0/5.0 stars

**Reviewed by:** Damian A. | Web Team Leader, Mid-Market (51-1000 emp.)

**Reviewed Date:** February 05, 2025

**What do you like best about ResourceSpace?**

Since we switched from a self-hosted and self-managed installation to cloud hosted and supported installation, we have not had a single issue with the software over many months. The support is fantastic, hosting is reliable. We have 150 staff empowered to access our digital assets and it's been remarkably easy and smooth sailing. The switch was easy. Support check in with us proactively on a regular basis and it's software I love to use.

**What do you dislike about ResourceSpace?**

I love ResourceSpace. As open source software it can be tempting to set it up and try to self manage and self host, which can naturally lead to difficulties. Unless you are really equipped to do so.

**What problems is ResourceSpace solving and how is that benefiting you?**

We're a not for profit conservation group. It manages our extensive photo library of 35,000+ images and other digital assets. It allows staff spread around the country and working in the field to access and share their images with marketing staff in the city and for everyone to understand permissions, licensing and meta data for the assets.

With ResourceSpace, we have a web-based platform that is user-friendly and covers all our requirements through the system's features and characteristics. The software is invaluable for storing and sharing our digital content. ResourceSpace saves us so much time by making processes more efficient, whether it's editing assets in the DAM instead of downloading them into an image editor, or the ability to create collections. The collection features allow us to categorize the files, make them easily accessible to users, and share individual files or complete collections with external partners. Access to the content can be individually enabled by us depending on the user's country and language. In short: easy to use, implementation and integration for specific requirements, many helpful features, frequently used, great support.

**What do you dislike about ResourceSpace?**

There is nothing to complain about. The collaboration with Montala is excellent, and the constant developments and upgrades of the software are impressive. The support team is great - it provides us with excellent customer service and always finds a solution for our specific requirements.

**What do you like best about ResourceSpace?**

As an administrator for my organisation of 300+ colleagues, what I like best about Resource Space is the intuitive usability. I don't have to spend time re-training colleagues regularly as they seem to be able to find what they are looking for, most of the time. In addition, I value the customer support - their promptness and accesibility is great! They have had multiple calls, trainings, troubleshooting and developed bespoke functionalities for our organisation.

  ### 21. Extremely satisfied

**Rating:** 5.0/5.0 stars

**Reviewed by:** Reza S. | IT Manager, Manufacturing, Mid-Market (51-1000 emp.)

**Reviewed Date:** January 03, 2025

**What do you like best about ResourceSpace?**

We have been using ResourceSpace for many years, an outstanding open-source application. Initially, we hosted it in our own data center, but maintaining the system, especially as a public-facing server, became increasingly challenging and time-consuming.

To address these challenges, we transitioned to ResourceSpace Cloud two years ago, a cost-effective and flexible solution. With this move, our system is always up-to-date with the latest patches, allowing us to focus on improving our internal processes instead of managing server infrastructure.

During the migration, we received exceptional support from a dedicated Customer Success team, ensuring a smooth and hassle-free onboarding experience. What truly impressed us, however, was the team's ongoing commitment to our success. They continue to guide us, introducing new features and encouraging us to make the most of the platform.

We are extremely satisfied with ResourceSpace Cloud and the support we have received.

**What do you dislike about ResourceSpace?**

It is a highly advanced system that demands a significant level of expertise. Therefore, professional support is essential.

**What problems is ResourceSpace solving and how is that benefiting you?**

Manage and distribute digital content to customers and suppliers.

  ### 22. Using ResourceSpace to manage images within a botanic garden

**Rating:** 4.0/5.0 stars

**Reviewed by:** Lorna M. | Head of Library Services, Mid-Market (51-1000 emp.)

**Reviewed Date:** December 20, 2024

**What do you like best about ResourceSpace?**

ResourceSpace was easy to implement and is easy to use while also including lots of really useful features, including the ability to create customised collections of images that can be shared with both internal and external users and to link to particular images / collections from our Library Management System. I also like the fact that it's an Open Source system and the customer support that we get via Montala has been great.

**What do you dislike about ResourceSpace?**

I haven't found any major downsides with using ResourceSpace. I haven't got as much time as I would like to spend working with it and so I haven't been able to explore all of the potential uses.

**What problems is ResourceSpace solving and how is that benefiting you?**

ResourceSpace is enabling us to share images across the organisation and with external contacts in a much more managed way. Previously multiple copies of the same image were being stored on different network drives and / or cloud-based storage making it difficult to manage that resource effectively.

  ### 23. ResourceSpace is a great data asset management system.

**Rating:** 4.5/5.0 stars

**Reviewed by:** Monika H. | Online Marketing Manager, Mid-Market (51-1000 emp.)

**Reviewed Date:** December 17, 2024

**What do you like best about ResourceSpace?**

We have been using ResourceSpace since 2018 and chose this software to manage our media data because the search and storage options are very extensive, the cloud-based software is quickly available to all our subsidiaries and is also used by them for storage. We use the system on a daily basis. It is easy to provide customers or other users with the media documents with just a link. The customer service support responds very quickly and always has a solution to our questions.

**What do you dislike about ResourceSpace?**

Communication is always in English. We are a company in Germany and sometimes you have to be precise to avoid misunderstandings.

**What problems is ResourceSpace solving and how is that benefiting you?**

We have been using ResourceSpace since 2018 and chose this software to manage our media data because the search and storage options are very extensive, the cloud-based software is quickly available to all our subsidiaries and is also used by them for storage.

  ### 24. Excellent customer support and a wonderful product for managing your digital assets.

**Rating:** 5.0/5.0 stars

**Reviewed by:** Creole C. | Owner, Mid-Market (51-1000 emp.)

**Reviewed Date:** December 13, 2024

**What do you like best about ResourceSpace?**

The metadata fields help staff navigate to the information they need quickly. The system is easy to update as your organization grows and evolves. Since implementing the system, we have made several changes, and it adapts seamlessly. I have been using the program for over two years now in a full-time capacity, and am always amazed by the number of features it offers.

The customer support and knowledge base are excellent. Despite a 12-hour time difference, we find the staff very flexible in arranging meetings whenever we need live support.

**What do you dislike about ResourceSpace?**

Would like to find a way to have less metadata fields by combining a couple but can't find a way to do it. It would be nice to be able to rearrange images on the dash for planning images for upload to our website.

**What problems is ResourceSpace solving and how is that benefiting you?**

LAN storage is expensive and not searchable. ResourceSpace solves this issue.

  ### 25. Resource Space - a great partner for our business

**Rating:** 5.0/5.0 stars

**Reviewed by:** Sam S. | Marketing Manager, Mid-Market (51-1000 emp.)

**Reviewed Date:** December 18, 2024

**What do you like best about ResourceSpace?**

The ResourceSpace platform is easy to use, mostly intuitive, and well liked by all of our users. When something isn't that straightforward, which is rare, you can get straight in touch with them and they help you. You always speak to a person, they always explain how to do what you need. What is great is that they check in regularly to make sure all is well and you don't need anything.

**What do you dislike about ResourceSpace?**

Very occasionally I want to do something but the 'button' to do it is not easily found. However, when this has ever happened the team at ResourceSpace simply move it to somewhere I can see more easily!

**What problems is ResourceSpace solving and how is that benefiting you?**

Making digital resources easily accessible for my customers in order to promote our brand.

  ### 26. ResourceSpace allows us to easily share digitised collections with our wider organisation.

**What do you like best about ResourceSpace?**

ResourceSpace is a great platform for sharing our digital collections. The security measures ensure that we can control what access users are granted. Customer support is always available to investigate issues and provide solutions quickly and cheerfully.

**What do you dislike about ResourceSpace?**

Understanding how the collection features work can take a little time, and figuring out how they can be used effectively for our purpose was difficult

**What problems is ResourceSpace solving and how is that benefiting you?**

ResourceSpace solved the problem of creating an online platform to share digitised material from the Archives and Special Collections accessible only to staff and students of UCA. It also allows us to create external share links to share certain collections with outside researchers.

Knowing that our data storage is well protected according to European standards and also allows us to plant trees was crucial for us.

**What do you dislike about ResourceSpace?**

  ### 34. Excellent Image DAM

**Rating:** 5.0/5.0 stars

**Reviewed by:** Anthony W. | Associate Director for Web Platforms and Operations, Small-Business (50 or fewer emp.)

**Reviewed Date:** February 15, 2022

**What do you like best about ResourceSpace?**

I love the ability to ingest, catalog and tag assets for quick and easy recall. The ability to share assets with others quickly is a must in a fast-paced business environment.

**What do you dislike about ResourceSpace?**

There are features that are not fleshed out and feel very clunky. The ability to share a link with external users so they can add/share assets is a great addition, though it lacks business and legal required TOS when accepting those assets. Attempts to address this, even through paid sponsorship, with Montala has been briskly dismissed. Other things like addressing asset comment has also been met with the same fate. Even when showing real-world use cases and, again, offering paid sponsorship to help improve features. This is probably the most frustrating aspect and the only thing that causes pause in recommending ResourceSpace.

**What problems is ResourceSpace solving and how is that benefiting you?**

Our organization is over a century old and has a plethora of historical assets we need to digitize and catalog. ResourceSpace fits into that role in an excellent way providing the tools we need. Additionally, we have a print (64 page) and digital magazine that we are integrating into ResourceSpace to be able to seamlessly meld with our workflow.

  ### 35. OK media organization software. Search functionality leaves a lot to be desired

  ### 36. Good Open Source solution

**Rating:** 2.5/5.0 stars

**Reviewed by:** Jared P. | Athletics Department Graduate Assistant, Mid-Market (51-1000 emp.)

**Reviewed Date:** October 15, 2021

**What do you like best about ResourceSpace?**

It's a free open source digital asset management solution

**What do you dislike about ResourceSpace?**

It takes time to maintain. You need to know how to do the backend work and the server space.

**What problems is ResourceSpace solving and how is that benefiting you?**

It's cost-effective, but it also takes time to manage, so that needs to be considered.

  ### 37. Excellent Open-Source Asset Management Solution for Large and Small Businesses

**Rating:** 4.5/5.0 stars

**Reviewed by:** Chris B. | Partner and Creative Director, Small-Business (50 or fewer emp.)

**Reviewed Date:** April 05, 2018

**What do you like best about ResourceSpace?**

Clean, simple interface & highly configurable.

**What do you dislike about ResourceSpace?**

Use of collections can be clunky. Difficult to delete assets (although that's probably by design).

**Recommendations to others considering ResourceSpace:**

Try it if you're looking at Asset Management options. It's highly capable, competitively priced (if you use Montala to set it up and administer), and easily the best open-source solution out there.

**What problems is ResourceSpace solving and how is that benefiting you?**

Managing a variety of digital assets in one cloud-based location. Reduces time needed to review projects; facilitates easy sharing of assets. Low cost, especially if you can install, deploy and manage the system yourself. Montala, who maintains and distributes ResourceSpace, produces frequent software updates, maintains a very active and helpful Google Group, and also sells turnkey installations of the system at very competitive rates compared to other big commercial Digital Asset Management players.

I've tested over 50 digital asset management systems over the last 5 years and actively use and administer 3 different Asset Management platforms. ResoruceSpace is one of the most stable, fastest performing systems on the market. What's great is that it will run happily on some of Amazon's smallest, least powerful servers. While competing system often require much more robust (i.e. more expensive) hosting environments.

ResourceSpace also handles more digital formats (for preview) than just about any other system as well. when properly configured, I haven't found a video file it cannot decode and create a preview for, including just about all professional video formats. It can also preview multi-page PDFs, Adobe Creative Suite files and many document files. It's only weakness is a rather weak accuracy level in creating document previews, but on the flip side, it does a nice job of extracting text from documents and adding it to the files metadata.

All in all, especially if you set this up and administer it yourself, in my opinion it's the best open-source solution out there, and is still a top 10 option on the paid side of the spectrum for digital asset management.

  ### 38. Amazing free, open source DAM system

**Rating:** 4.5/5.0 stars

**Reviewed by:** Verified User in Higher Education | Small-Business (50 or fewer emp.)

**Reviewed Date:** January 12, 2018

**What do you like best about ResourceSpace?**

ResourceSpace is free software, meaning there are no license fees and enterprise pricing plans even for unlimited users. This has been essential for my institution as we have limited resources. I worked with a very small group of people, using the ResourceSpace free open source software, to launch an online photo archive of marketing and communications images. We were fortunate to have an in-house systems administrator who was willing to work with us to set up the system based on our specific needs.

**What do you dislike about ResourceSpace?**

There are several customizations we would have liked to incorporate, but with our limited support, we were not able to find solutions for all of them. One shortfall in particular is the lack of ability to create nested collections, or sub-collections within larger ones.

**Recommendations to others considering ResourceSpace:**

I would recommend ResourceSpace as a low barrier and low (or no) cost solution for a fairly robust digital asset management system. It is extremely versatile, and can be configured according to a specific user needs. It is also relatively intuitive to use.

**What problems is ResourceSpace solving and how is that benefiting you?**

We have been able to successfully launch an online photo archive of marketing and communications images.

  ### 39. Data Loss

**Rating:** 0.5/5.0 stars

**Reviewed by:** Verified User in Non-Profit Organization Management | Mid-Market (51-1000 emp.)

**Reviewed Date:** May 12, 2017

**What do you like best about ResourceSpace?**

It's actually a fairly decent as a DAMS but it''s also functions as a DADS (digital asset destruction system).

**What do you dislike about ResourceSpace?**

We recently lost 1,234 files due to "bugs" or bad code. I would not recommend this application for use in any professional environment.

**Recommendations to others considering ResourceSpace:**

Don't do it.

**What problems is ResourceSpace solving and how is that benefiting you?**

It has allowed us to consolidate image storage but the application is unstable.

  ### 40. Messy Interface, But Gets The Job Done

**Rating:** 3.5/5.0 stars

**Reviewed by:** Verified User in Higher Education | Enterprise (> 1000 emp.)

**Reviewed Date:** September 08, 2016

**What do you like best about ResourceSpace?**

Resourcespace is a great solution for storing a large number of files on the web. While there are a number of different features on Resourcespace, I primarily use it to create "collections" of high quality photos. The collection feature is a great way to keep everything organized and easy to access. I also enjoy how accurate the search feature is.

**What do you dislike about ResourceSpace?**

The Resourcespace is rather messy. The school I work for uses the program to upload, maintain, and share photos with faculty and staff. Because the interface isn't very clean, faculty and staff often have trouble trying to figure out how it works. In other words, Respurcespace can be relatively easy to grasp if you're familiar with programs similar to it, but if you're not, it can become incredibly difficult to use.

**What problems is ResourceSpace solving and how is that benefiting you?**

Resourcespace is a fantastic way to share files with coworkers without having to email large files or send a link to a folder on a cloud sharing site. Rather, you can simply upload your files to your Resourcespace archive and let interested parties know the name of the collection.

  ### 41. ResourceSpace helped an international team manage photos, videos, pdfs and more

**Rating:** 4.5/5.0 stars

**Reviewed by:** Michael B. | Creative Content Manager, Mid-Market (51-1000 emp.)

**Reviewed Date:** July 19, 2016

**What do you like best about ResourceSpace?**

Once you get used to not working with a file tree, the focus on search is great. It was very handy for sharing collections of content with externals. Sales and marketing were the main beneficiaries of the solution, the time savings were appreciated by all.

**What do you dislike about ResourceSpace?**

There was some frustration with uploading, e.g. if the browser window closes while uploading content (accidentally or otherwise), you cannot view the upload progress, but this was relatively minor.

**Recommendations to others considering ResourceSpace:**

Just try the free trial and see if it is right for you. It does take some time for people to get used to, but is worth the effort.

**What problems is ResourceSpace solving and how is that benefiting you?**

The goal was to find a solution that would be a central repository for images, videos and pdfs on a low budget. ResourceSpace more than met those needs and had room to be used in greater depth to generate more value.

**Official Response from Stuart Bithell:**

> Hi Michael,

We're glad to hear you enjoyed using ResourceSpace.

Regarding the upload progress, we have recently implemented a job queue function, that we're planning on extending to uploads and bulk downloads, which will allow the tasks to run in the background (with the option of view progress)

Thanks for your feedback!

  ### 42. A robust open source DAM perfect for images, small orgs, marketing teams and academic orgs

**Rating:** 4.0/5.0 stars

**Reviewed by:** Chris L. | E-Commerce Manager, Mid-Market (51-1000 emp.)

**Reviewed Date:** April 19, 2016

**What do you like best about ResourceSpace?**

This is a well established, fully developed DAM that excels when managing photos. The ability to self host ResourceSpace for free means that it is accessible for any budget, but it's successful enough that there are several SaaS hosting options available including through Bitnami and other cloud solutions.

It does image management and categorization very well, with a shopping cart model for collecting and curating content. It imports exif data nicely and has great tagging options. The web based interface is performant and reliable, it's automatically provides resized versions of images, and allows you to expose portions of your image collection in a public or private manner, and has easy email integration.

**What do you dislike about ResourceSpace?**

Videos aren't resampled for smaller sizes in the same way that photos are. Unable to filter (out of the box) by landscape vs portrait images. Getting email working had to be done via linux config files.

**Recommendations to others considering ResourceSpace:**

This is so much better than keeping your content on an FTP, shared drive or on a Dropbox folder. It definitely takes someone to spearhead input and curation of content, and don't underestimate the effort required in cataloging content.

**What problems is ResourceSpace solving and how is that benefiting you?**

ResourceSpace goes a long way towards solving the issue of consolidating media assets, doing away with duplicates and versions, eliminates a lot of menial work by automatically providing web-sized versions of high-res images, and creating a marketing or communications media assets portal for external clients. It also allows you to create collections and "themes" of featured assets, and allows you to provide asset specific captions and attributions so that your best content is always available, and in the best light.

**Official Response from Stuart Bithell:**

> Hi Chris,

I'm glad you were impressed with the software.

It is possible to resample videos in the same manner as images, through the configuration page (on the server). This is due to the reliance of an external library (FFMPEG), which also needs to be included in the installation process.

Through the configuration page, you're able to automatically convert uploads to certain file formats, based on your requirements. For example, you may need all uploads to automatically produce a H.264 format, ready for website distribution. Upon upload, these will be automatically created, and available to view on the resource view page.

The video extension and parameters are fully configurable from within the configuration page.

That's a good point RE: searching by orientation. ResourceSpace can automatically detect the orientation, so it would be possible to have that as a metadata option to search from.

Since this review, we have introduced a 'Media Search' on the advanced search page, that allows you to search based on file info (height, width, size, extension). It makes perfect sense to include the orientation to this, too.

We've included this onto our roadmap now. Thanks for the suggestion!

  ### 43. Great Open Source DAM for Archiving and Digital Preservation

**Rating:** 4.5/5.0 stars

**Reviewed by:** Nicole M. | Multimedia Archivist and Systems Manager, Non-Profit Organization Management, Mid-Market (51-1000 emp.)

**Reviewed Date:** January 09, 2015

**What do you like best about ResourceSpace?**

We use ResourceSpace (RS) as an archival database for our media collection of over 150,000 assets. RS has a clean and intuitive user interface, great search capability, and after two years of use is still my open source DAM of choice for our needs. We selected ResourceSpace over other systems for three reasons: First, ResourceSpace is able to create previews of nearly every file type we throw into it, including a wide range of digital audio, video, and image formats. Second, it is web-based, so expensive client software licenses are rendered obsolete. Third, ResourceSpace is highly configurable, even for admins who don't write code. I have taught several ResourceSpace admins to customize their systems, configure their metadata schema, add taxonomies, and automate cataloging using Exiftool metadata extraction, all of which can be accomplished within ResourceSpace's front-end "Team Center" administrative portal.

**What do you dislike about ResourceSpace?**

Along with its community of open source developers, Montala (the company that developed ResourceSpace and maintains its code base) has made great improvements to the system in the last two years. They continue to address outstanding issues and make necessary updates. At this point there is little to dislike. If you have the in-house expertise to keep an open source DAM up and running smoothly, you will not be disappointed with ResourceSpace.

**Recommendations to others considering ResourceSpace:**

We use ResourceSpace as an archival DAM, primarily for archiving and preservation of video assets, so this recommendation is for others with similar goals. If we are being honest, I don't believe there is a fantastic archival DAM for sale at all; certainly not for under $50,000. Many DAMs that cost as much or more are still quite unreliable, poorly maintained, upgraded rarely, and are designed for archives that don't prioritize digital preservation. Those who do often develop their own DAMs. ResourceSpace is as feature-rich as the very best proprietary DAMs, but unlike those systems, RS is totally configurable (open source), and free. ResourceSpace doesn't mess with your files and takes asset preservation seriously (auto-import of technical metadata, md5 checksums, retention of original files, filenames and metadata). Other open source DAM options for users with slightly different requirements should also take a look at CollectiveAccess, and Artefactual's Archivematica and AtoM.

**What problems is ResourceSpace solving and how is that benefiting you?**

ResourceSpace gives us the opportunity to preview, catalog and control our digital assets, retain, back up and move high-resolution original files to different server locations, between NAS servers for efficient file storage, or to LTO tape. RS makes our multimedia collection of over 150,000 assets accessible to our entire staff internationally. Most importantly, it gives us the ability to maintain our files responsibly for long-term preservation, and to ensure all data is preserved in its original file format and directory structure.

  ### 44. Really good open-source option for DAMS on a limited budget as long as you can support it

**Rating:** 4.5/5.0 stars

**Reviewed by:** Edward M. | Digital Curator of Journalism, Information Services

**Reviewed Date:** December 12, 2014

**What do you like best about ResourceSpace?**

ResourceSpace (RS) is easy to use. It does a great job of making media assets available to multiple users simultaneously. The search feature is quite responsive and has strong abilities for advanced searches. Setup is pretty easy, with a well thought out administrative feature set. Don't underestimate the value of the user group on Google groups. It's a great resource. One of the features that is really sweet is the ability to share collections of media easily either internally or externally.

**What do you dislike about ResourceSpace?**

There are times when my limited experience with PHP can be a sticking point. Someone with basic knowledge of running a LAMP server should be able to install and configure most things, but if you want to customize RS, you may need some help from someone with more advanced skills. As with any open-source software, it's free as in free kittens, not free beer! You have to expect that you will spend at least some time solving problems, setting things up, adjusting to workflow, etc.

**Recommendations to others considering ResourceSpace:**

You can do a lot with ResourceSpace. Just be sure to match your functionality requirements with the feature set (as with any software you consider). You should count on incurring some cost in terms of time and money to set RS up and keep it running. Still, it seems like a very good deal if the features meet your needs.

**What problems is ResourceSpace solving and how is that benefiting you?**

One of the big problems was that our communications team was spending too much time providing media assets to outside users. We needed a system that would allow us to create a group of media assets that could be easily shared with partners without a lot of hassle. RS has allowed us to control access to assets but also keep track of what rights we have to use them and to share them accordingly.

  ### 45. We use ResourceSpace to host our digital photo archive of tens of thousands of images.

**Rating:** 4.0/5.0 stars

**Reviewed by:** Jeff D. | Art Director / Design & Production Manager, Non-Profit Organization Management, Mid-Market (51-1000 emp.)

**Reviewed Date:** January 08, 2015

**What do you like best about ResourceSpace?**

ResourceSpace provides a highly-flexible way to host, sort, and access a whole range of digital assets, and makes them highly searchable/findable, while allowing for highly-customized metadata fields to meet the data needs of our business. Overall, a great system that works beautifully, and allows a high level of customization.

**What do you dislike about ResourceSpace?**

Some of the administrative features could be made more intuitive and easy to use for non-technical people. For example, design-related settings could require less knowledge of code and development, or require less custom work from Montala. Just updating our logo files and visual design seems to requires relatively expert developers.

**Recommendations to others considering ResourceSpace:**

Be sure that you have the necessary capacity to fuel your asset management system. We have a wonderful system in ResourceSpace, but our struggle is carving out the capacity to review our imagery in detail and apply appropriate metadata to ensure it's as useful and findable as possible.

**What problems is ResourceSpace solving and how is that benefiting you?**

ResourceSpace has allowed us to make our vast image library (well over 40,000 assets) available for easy searching and sharing. What once required far too much time searching through disks and server folders, requiring a high level of institutional knowledge to know where to look and what to look for, now takes much less time, and is far easier to search without that institutional knowledge. It's allowed others throughout our organization to find imagery they need to access without calling on the few people who are most familiar with our photo assets.

  ### 46. A Good quality, easy to install and manage DAM system

**Rating:** 5.0/5.0 stars

**Reviewed by:** Paul M. | IT Project and Business Process Manager, Museums and Institutions, Mid-Market (51-1000 emp.)

**Reviewed Date:** January 08, 2015

**What do you like best about ResourceSpace?**

Not being tied into any proprietry systems. Ability to alter such a large range of features. Quick searching over many images and many keywords. Delivery of different size images.Good permission management.Web interface. Cost is great. Service is great. Unlimited user count for the same cost.

**What do you dislike about ResourceSpace?**

Not much. Sometimes unreasonable searching can be time consuming but in the vast majority of searches this is not the case.

**Recommendations to others considering ResourceSpace:**

If you are doubting implementing a DAM then Resourcespace is certainly worth installing. Low costs, low skill, high rewards. If you are considering installing a DAM then ResourceSpace is a good choice. Maintenance is good value, it is easily expandable and customisable - you could be spending your money on licences on other products or using it to increase the functionality of this one to meet your needs exactly.

**What problems is ResourceSpace solving and how is that benefiting you?**

Storage and retrieval of images of works of art (and others) via keyword searches across the whole organisation across a large geographic spread both for internal use and for delivery to external agencies. Removal of local storage of images and having a central repository that allows sharing of these assets across different teams.

  ### 47. Great Open Source DAM

**Rating:** 5.0/5.0 stars

**Reviewed by:** Verified User in Marketing and Advertising | Mid-Market (51-1000 emp.)

**Reviewed Date:** January 22, 2015

**What do you like best about ResourceSpace?**

Clean design, fast install, simple upgrades and ease of use. Friendly open source user people behind product. The product is very active and worked on every day. Passionate community.

**What do you dislike about ResourceSpace?**

Not really a dislike but more of a reality check. Some tasks such as advanced content management and plugin writing may require developer skills.

**Recommendations to others considering ResourceSpace:**

Be patient and ask for help after exhausting all avenues. Study the configuration file here include/config.default.php but be sure to use include/config.php as your actual configuration file.

**What problems is ResourceSpace solving and how is that benefiting you?**

ResourceSpace has most of the features of a classic DAM.

However, if you have a requirement that is not met you may be able to write a plugin to solve the problem.

There is a great open source user community behind ResourceSpace and most are eager to help.

Your financial savings could be substantial over commercial products.

**Recommendations to others considering ResourceSpace:**

As Kevin Bacon would say; "It's a no-brainer".

**What problems is ResourceSpace solving and how is that benefiting you?**

Sharing multimedia, collaboration, offering previews and exclusives, hosting brand collateral. It has solved all of our multimedia distribution issues both internally and externally.

The system is easy to use, customize and work with. Search functionality is great and smooth. Very fast system.

**What do you dislike about ResourceSpace?**

When uploading photos, the naming of files can get a bit difficult at times. Would like an option to set up batch naming uploads with the ability to set numbering and date information in file names.

**Recommendations to others considering ResourceSpace:**

ResourceSpace has been a fantastic solution for our needs. Customer Service is top-notch!

**What problems is ResourceSpace solving and how is that benefiting you?**

Sharing resources and storing photography for easy cataloging and access.

  ### 50. Easy DAM Solution to jump into as a beginner in DAM.

**Rating:** 4.0/5.0 stars

**Reviewed by:** Verified User in Media Production | Mid-Market (51-1000 emp.)

**Reviewed Date:** December 11, 2014

**What do you like best about ResourceSpace?**

The Easy setup, as well as the level of feature right out of the box.

**What do you dislike about ResourceSpace?**

A few minor technical problems that need to be addressed through patches and updates.

**What problems is ResourceSpace solving and how is that benefiting you?**

If keeping things simple is your priority this is a great solution. The ability to access the system over the internet, thus making this a cloud solution, makes this a very convenient way of offering access to digital assets from anywhere just through internet access.
