The fact that what we see on screen and what we see on the bottom banner is different is hard to remember and understand. Even if you weren’t trained on how to access images or approvals, you could still easily figure it out on your own. **What do you dislike about ResourceSpace?** There are a few glitches that can be frustrating when entering metadata. Sometimes, out of nowhere, the metadata seems to change, and we’re constantly having to go back in to check and adjust it to make sure the correct checkboxes are selected to restrict access to certain images. **What problems is ResourceSpace solving and how is that benefiting you?** Images of children, and the associated consent paperwork, were sitting on people’s laptops with no restrictions on access and no consent forms linked in a logical, easy-to-find way. RS has allowed us to create a system where consent forms can be traced back from images, and where images of children for which we no longer have consent can be removed from circulation. It helps us keep the content we use up to date and relevant, while still allowing us to archive older resources without needing to delete them. ### 8. The core software itself is awesome, the team behind it is amazing. Working in marketing for a charity, we have stringent media management requirements and users with varying levels of technical knowledge and comfort. The system is easy to use, and feedback is positive from all. The human support is very nice, responsive, and knowledgeable, and there's a ton of help in the form of documentation and video too. It's open source, so you really have a brilliant system for free if you're willing to support it yourself. If you pay ResourceSpace to support it, on one hand the price does feel a bit steep, even with the charity discount; however, the problems it solves, the faultless premium support, the continual improvements, the peace of mind, the expertise and the 20 years experience they have working with so many organisations of different sizes in various sectors, it's very difficult to argue that they aren't worth it. So far it appears to have had 100% uptime in my experience too. The system has AI image search features, and they implemented it very early too. Everything you'd want from a DAM, it's just there. **What do you dislike about ResourceSpace?** Arguably nothing, it's pretty faultless. It is a mature product, rooted in the non-profit sector (with its origins going back to Oxfam), made available as open source software. This was useful during procurement as I was able to download, install and configure it, show colleagues and gain a feel of the software and its functionality. Exploring the software in this way enhanced confidence and informed requirements for a fully-supported service provided by Montala. I've found the support friendly, responsive and attentive, whether it's immediate needs for running a service, or longer-term planning. There is considerable functionality available to situate the DAMS within a wider context - our system has been integrated within the institutional SSO authentication. Also, we have quite a sophisticated integration with the EMu collections management system. We've found system performance to be generally fine, the main area that needs a bit of consideration and care is system integrations and scheduled jobs, but this can be discussed. Montala's responsiveness has been reflected in the design of the user interface. They took on board recommendations from my colleagues who are specialists in UI/UX to improve especially the accessibility, so using the system is clear and straightforward. The pricing is broadly arranged across tiers. I think the service is good value when I consider what it might cost to provide an equivalent in-house fully supported service. AI is an active area of software development, though we are still evaluating it. I understand particular attention has been given to bringing in LLMs locally so that data doesn't leak to 3rd parties. **What do you dislike about ResourceSpace?** Overall, I haven't experienced many downsides of using ResourceSpace. My main gripe is (a technical limitation) that a user can only be a member of one group. As a system administrator ('Super Admin'), the impact is mitigated by a facility to switch user, but for testing purposes it has led to the creation of multiple test user accounts, which is inefficient and confusing. This seems odd given that the system is developed on a Linux platform, where users can be members of any number of groups. So, I'd welcome the addition of support for membership of multiple groups. (Suggestions can be offered for consideration to the ResourceSpace roadmap, which is available on their website.) **What problems is ResourceSpace solving and how is that benefiting you?** ResourceSpace provides a solution to a long-standing problem of digital asset management – a secure, dependable storage facility with appropriate tools to keep track of, organise and share assets for the various purposes of a museum. Also customer service is also always so fast and reliable and willing to think along deeply with you on how to make the solutions best be fit for your organization. It also has a lot of nice integrations, some paid and some unpaid, but they always surprise you with something new t that can be super useful. **What do you dislike about ResourceSpace?** It does take a bit of a learning curve, so introducing it to other colleagues (who are not always tech savy) can be a long process. Initially, we hosted it in our own data center, but maintaining the system, especially as a public-facing server, became increasingly challenging and time-consuming.

To address these challenges, we transitioned to ResourceSpace Cloud two years ago, a cost-effective and flexible solution. With this move, our system is always up-to-date with the latest patches, allowing us to focus on improving our internal processes instead of managing server infrastructure.

The system is easy to update as your organization grows and evolves. Since implementing the system, we have made several changes, and it adapts seamlessly. I have been using the program for over two years now in a full-time capacity, and am always amazed by the number of features it offers. The customer support and knowledge base are excellent. Despite a 12-hour time difference, we find the staff very flexible in arranging meetings whenever we need live support. **What do you dislike about ResourceSpace?** Would like to find a way to have less metadata fields by combining a couple but can't find a way to do it. The ability to share assets with others quickly is a must in a fast-paced business environment. **What do you dislike about ResourceSpace?** There are features that are not fleshed out and feel very clunky. The ability to share a link with external users so they can add/share assets is a great addition, though it lacks business and legal required TOS when accepting those assets. Attempts to address this, even through paid sponsorship, with Montala has been briskly dismissed. Other things like addressing asset comment has also been met with the same fate. Even when showing real-world use cases and, again, offering paid sponsorship to help improve features. This is probably the most frustrating aspect and the only thing that causes pause in recommending ResourceSpace. **What problems is ResourceSpace solving and how is that benefiting you?** Our organization is over a century old and has a plethora of historical assets we need to digitize and catalog.
