**What do you like best about 4ALLPORTAL?**

I use 4AP daily in editorial work to upload photos to the database and search within the database. 4AP is very helpful for me and my colleagues who also work with the DAM to collaborate in editorial processes and have quick access to the photos and the stored information. It has simplified collaboration and saves time in photo research. The 4AP solution is easy to understand and integrates well into the work routine. In case of problems, customer support is quickly reachable and provides a solution.

**What do you dislike about 4ALLPORTAL?**

Incorporating the photos into the database is relatively easy, whereas the search function did not work properly, was somewhat cumbersome, and needed to be adjusted.

**What problems is 4ALLPORTAL solving and how is that benefiting you?**

In our press office, we have many thousands of photos in the database, and new ones are added daily. We need to quickly find suitable photos for our various publications and constantly maintain the archive. Several people have access to 4AP and work on the different projects, among other things.

**What do you like best about 4ALLPORTAL?**

What convinces us the most is the clear, central structure as a reliable "Single Source of Truth." All relevant assets are consistently maintained, up-to-date, and quickly accessible. With flexible filters, metadata, and tags, the search functions very efficiently even with a continuously growing database. The collaboration with the 4ALLPORTAL team was also top-notch and on equal footing from the start. Instead of a standard solution, a platform tailored to our use case was implemented.

**What do you dislike about 4ALLPORTAL?**

Currently, we see fewer traditional points of criticism and more potential for further development, which we would look forward to in the future. These include, for example, a dropsite function, an integrated area for (brand) guidelines, as well as AI-supported features like facial recognition in photos for even better asset management.

**What problems is 4ALLPORTAL solving and how is that benefiting you?**

Before the introduction of 4ALLPORTAL, there was the problem of a lack of a unified structure for our media assets. There was no DAM solution in use; images and videos were mostly stored locally on a server and additionally managed in external tools. As the number of shoots and involved stakeholders increased, the workflow became increasingly confusing.

4ALLPORTAL impresses as a powerful PIM and DAM solution for companies with complex product data and a large number of assets. The user interface is functional, but appears rather technical and requires some familiarization. Particularly noteworthy are the integrations (e.g., with ERP, shops, and CMS) as well as the good scalability, making the system very suitable for multichannel strategies. Performance and automation are overall at a high level, but in practice, they depend heavily on the specific implementation. In terms of pricing, 4ALLPORTAL is in the higher segment, but it offers clear added value through efficiency gains and centralized data management. Support and onboarding are solid, especially with close collaboration with the provider.

The UI appears technical and somewhat outdated. The onboarding process is labor-intensive because many aspects are not intuitive. Additionally, there is a strong dependency on IT or implementation. At the same time, coordination processes between marketing, sales, and product management become significantly more efficient, which noticeably shortens the time-to-market.

I like how 4ALLPORTAL allows everyone to review images and easily pass them on to other departments. The ability to pinpoint exactly what on the images needs changing, rather than just making a note, is really useful. The pinpoint tool, along with a square box to show where changes are needed, adds a tangible component to the review process.

**What do you dislike about 4ALLPORTAL?**

I think the approval process could be improved. It currently just means the changes are approved, but I wish it indicated that the whole image is approved. That part of the process doesn't work as well for me.

4ALLPORTAL allows us to retouch and approve images seamlessly across three departments, pinpointing precise changes rather than vague notes. However, the approval process needs refinement to ensure it signifies an approved image rather than approved changes.

I like 4ALLPORTAL because there is no limit on files and you can share as much as you want. It is practical, easy, and intuitive for effectively transferring files to people. Additionally, the initial setup process was easy.

When you create a link or folder, if you want to edit the folder or change different files, you have to create another link, this is a hassle.

We have successfully replaced our legacy system and migrated around 30,000 files – including extensive metadata and multilingual references (a master document with up to 23 translations). Thanks to 4ALLPORTAL, all content is now instantly searchable at the push of a button. Additionally, we have implemented lifecycle and collaboration workflows that have made our processes significantly more efficient. The team was extremely professional, responsive, and technically skilled. Highly recommended for companies looking for a powerful and reliable DAM solution.

**What do you dislike about 4ALLPORTAL?**

Since it is not an out-of-the-box solution, there is a configuration effort required, and this also results in a longer onboarding time.

We had the problem of making files that were translated into up to 23 languages visible at the push of a button, as well as the associated derivatives, such as print documents, online documents, and ePapers. This was successfully achieved with 4ALLPORTAL without any issues.

The 4All Portal is a media database that stands out thanks to its comprehensive and powerful basic structure. It offers a huge range of options for managing digital content and can also handle large amounts of data with ease – a tool with real potential for us.
The support is particularly noteworthy: super fast and extremely competent! The team responds quickly and is extremely committed to helping us optimise the configuration. We work closely with them to adapt the system to our needs step by step.

At the moment, the configuration is not yet perfectly tailored to our specific processes. This is normal for such a versatile system and simply requires time and fine-tuning to really get the most out of it. In short: the 4All Portal is very promising. With the support we are receiving, we will also be able to overcome the current configuration challenges.

The automatic filling of filters when integrating new data based on the file name is very practical. I particularly like the variety of options that can be individually tailored to one's own preferences. This makes the work significantly easier. Additionally, I find it helpful that different profiles, such as for web or print, are available for download.

**What do you dislike about 4ALLPORTAL?**

The search functions are quite complex and require that you master them well to obtain the desired results. For users without experience with databases, the operation is not self-explanatory and an introduction is necessary.

Images no longer need to be requested from another department in a cumbersome manner, but can be downloaded directly by oneself. This eliminates waiting times, which significantly eases the work on both sides.

Due to the many possibilities and applications, it may take a little longer to get familiar with the site and create a workflow for yourself, but once you have it, it works without problems.

It was difficult to make all our product images accessible to everyone as graphics without giving every employee full access to them. Through 4ALLPORTAL, we have created an image database that now allows every employee controlled and monitored access to the data.

A lot can be adjusted once you understand the logic. The system looks tidier than the previous system. There are good functions for mass editing (folder-based keywording, lever function for mapping filters, release status for easy use of the assets)

**What do you dislike about 4ALLPORTAL?**

It is slower than the previous system. It is buggy in some places, so already generated thumbnails disappear for no apparent reason. Also, the generation of the thumbnails took a very long time with almost 120,000 assets. Unfortunately, the backend for the administration is not so clear. Especially when uploading many files, errors occur. The shopping cart and the collections are well thought out in the beginning, but not yet so suitable for the actual workflow.

We had to replace our existing DAM and were looking for a more modern alternative. In the course of this, the most important functions from the old system were first checked and, if necessary, transferred. We work a lot in folders, this transfer to 4ALLPORTAL was not technically challenging, but the whole work in 4ALLPORTAL is designed differently. For the storage and management of assets and the storage of metadata, the 4ALLPORTAL supports with folder-based keywording as well as simple mass tagging.

Data flows easily between the two solutions, and each user group can search metadata based upon their departments' native search requirements. Furthermore, multiple languages are supported in the application for both DAM and PIM metadata.

Professional services are needed for the initial implementation to map the use cases to the configuration. After training is completed and with practice using the solution for a few months, my team can configure 4ALLPORTAL independently.

We were wondering what 4ALLPORTAL means by "scalable and individual". After having our 4ALLPORTAL for some time now, we know what it means: 4ALLPORTAL works for us like our own software. As a DAM, we organize our files here. Overcrowded, confusing "download folders" and hundreds of identical ones we have exchanged for a clear database in which you can quickly find keyworded files. Our 4ALLPORTAL has been constantly adapted and optimized by the 4ALLPORTAL development team. Until now there was no requirement that was not technically feasible.

**What do you dislike about 4ALLPORTAL?**

With 4ALLPORTAL, you never have the feeling that you are at the edge of your capabilities. That's why you permanently have the feeling that you can work even more efficiently in order to use the time for creative or more productive work.

**What problems is 4ALLPORTAL solving and how is that benefiting you?**

We save a lot of time with 4ALLPORTAL. With the DAM, files can be found quickly in the latest version, with the role, task and rights management, an overview exists directly and files can be temporarily shared with third-party providers with just a few clicks.
