Flightcase

Flightcase is event production software for AV rental, staging, lighting and live event production companies. It covers the span of a job that usually gets split across four tools: the gear catalogue, the quote, the warehouse pull, the crew, and the invoice. Quotes price themselves from your inventory, so changing a rate card does not mean retyping quotes. Lines group into sections, and a discount can apply to one line or a whole group. Send a quote and the client opens a link in a browser and approves it there, with no account to create and no PDF to lose in an email thread. An approved quote becomes the show and then the invoice with the numbers intact, which is the handoff where most setups start to drift. Inventory works from real reservations rather than a spreadsheet, so a conflict surfaces before the truck is loaded. Cases and kits price and move as a single package instead of a list of parts. Replacement values feed both the rate card and the insurance schedule. Gear leaves and returns through a scanner, checked against the actual job rather than a printed list. Crew are asked for availability in one round instead of one text message at a time, and booked crew get their own view: their calls, their call times, and the files shared with them, and nothing else about the job. Clients and crew never need a paid seat. Also handles sub-rentals, dry hire with security holds, a production calendar with soft holds for work that has not confirmed yet, call sheets, deposit invoicing and card payments. Free plan for solo operators. Team at $39/month, Pro at $99/month, additional seats $5/month. Currently in open beta.

GearDash

GearDash is shop management software for specialty repair and rental businesses: bike shops, ski and snowboard shops, music stores, skate sharpening services, dive shops, and kayak and canoe liveries. It runs the parts of the day that generic point-of-sale systems miss — the repair bench, the rental fleet, and the customer communication in between. Customers check themselves in by scanning a QR code or using an in-store kiosk, so the counter line disappears and every job starts with clean, complete information. Work flows into a live repair queue that the whole team sees in real time, with optional workflow stations for shops that move gear bench to bench. When a job is finished, the customer automatically gets a text that their gear is ready, and two-way SmartMessaging lets staff answer questions or get approval for additional work without picking up the phone. On the rental side, GearDash manages packages, fleet quantities, barcoded equipment, and returns with damage photos that attach to the equipment's maintenance history. The online booking page gives customers an availability calendar with live pricing, prepayment or deposits, promo codes, gift cards, and launch-time selection — with no customer booking fees, ever. Reservations flow straight into the same queue the shop already works, and bookings appear in the GearDash mobile app for iOS and Android, so an owner can see who is coming, who has paid, and handle no-shows or cancellations from anywhere. GearDash also covers estimates and invoices with remote payment through Stripe or the shop's own Square account, staff scheduling with a time clock and payroll-ready timesheets, post-service surveys, email and text marketing with proper opt-in handling, and receipt, label, and claim-check printing. Pricing is simple: $69 per month for a single module or $99 per month for repairs and rentals together, with 1,000 customer texts included monthly, a 7-day free trial, and white-glove setup included. GearDash is built and supported in the United States and Canada for shops that want big-retailer capability without big-retailer complexity.

HireYard

Running a hire business means more than taking bookings. You're keeping equipment maintained, pricing jobs so they make sense, juggling everything from a two-hour hire to a six-month plant contract. Works across construction and trade hire — excavators, plate compactors, generators, trailers — and leisure rental like jet skis, kayaks and ski gear. Run daily hire and hourly hire on the same fleet, no separate systems. Set rates per asset, category, or fleet-wide, with weekend packages and minimum hire periods. Hourly bookings automatically cap at your day rate, so nobody gets a confusing invoice. Track service intervals and inspections per asset with automatic reminders — useful for WHS and operator-licence requirements, not just an oil change. Zapier connects your apps, customers, and asset data to your accounting software, CRM, or marketing tools. Double-bookings aren't possible, whether it's one excavator or fifty kayaks.
