What I like most about Retool is that I can start on the free plan and learn the basics without much hassle. As a software developer, I find it straightforward to connect databases and APIs, then build admin panels or dashboards using the drag-and-drop components. The platform feels fast, and the UI is clean and user-friendly, so I don’t have to spend a lot of time figuring things out. Retool significantly reduces the engineering overhead needed to build internal admin panels, operational tools, and diagnostics dashboards. Our main workflow pulls core CRM account data from Salesforce REST endpoints while also aggregating event logs and unstructured payload streams stored in AWS (S3, DynamoDB, and SQS queues). Retool connects smoothly to both REST APIs and cloud data resources with very little configuration. Its pre-built component library—especially editable tables, JSON tree viewers, key-value inspectors, and trigger buttons—lets us deliver a fully functional internal console in hours, rather than committing to multi-week full-stack engineering sprints. As applications grow to include interdependent JavaScript queries, complex temporary states, and a high number of components on a single canvas, the in-browser canvas editor can sometimes show noticeable responsiveness lag. In addition, more granular enterprise governance capabilities—such as automated multi-environment promotion pipelines, fine-grained role-based access control (RBAC), and comprehensive audit logging—are only available on higher-tier commercial plans. We continued to use it for a few years, and it worked fine. But ReTool were slow to pivot to AI-based tooling, and in that time gap we used AI to build out in-house tooling that replicated what we were paying ReTool for. We've since seen that Retool has brought out AI-friendly tooling, and if I was starting over from scratch, I'd consider using ReTool; I'm confident they've got a good grasp of the enterprise security side of things, but at a small business owner, with a functioning operations stack that costs me pennies per month, at this point there's not a good reason to go through the effort to switch back. Retool is great for the basics of building internal tools quickly. Retool lets us build internal tools in hours instead of weeks. We use it as the admin UI on top of our configuration service API. Teammates can view and edit the JSON config and change internal app settings without touching the codebase or making direct API calls. That makes config changes faster and less error-prone.

The built-in JSON editor and form components fit this use case well. Connecting to our REST API was straightforward. We can add validation, confirmation steps and role-based access around risky edits, so non-engineers can make safe changes without waiting on a deploy. When we need custom logic, we can drop into JavaScript and still keep the app easy to maintain.

Onboarding was smooth. The docs and templates got us from sign-up to a working app quickly, and new teammates were productive after a short walkthrough, with no heavy training needed.

Performance has been solid. Apps load quickly and saving config changes through the API feels responsive, even with large JSON payloads.

Pricing is reasonable for what we get. Building and maintaining custom admin UIs ourselves would cost far more engineering time than the subscription.

Per-user pricing is the biggest drawback. Cost scales with every person who needs to log in. That makes it hard to open a tool to a wider group, like occasional editors or stakeholders who only need to view or tweak a setting once in a while. We end up limiting access or sharing logins, which isn’t ideal for security or auditing.

Plans are also restrictive. Features we consider essentials for internal tools, such as granular permissions, audit logs, SSO and environment or version management, sit on higher tiers. Moving up means a big jump in cost, and it isn’t always obvious which plan covers what until you hit a wall.

Other things we’ve run into:

Complex apps get harder to maintain as they grow. Large queries, transformers and JS snippets spread across the editor can be hard to trace and debug.

Source control and review workflows feel less natural than regular code. Reviewing changes and promoting them across environments takes more effort than a normal pull request.

Apps are tied to Retool’s platform, so migrating off later would mean rebuilding.

Responsive and mobile layouts take extra work to get right.

I like how fast we can go from an idea to a working tool. We can wire up a query, drop in a table and a few buttons, and have something useful the same day. Retool cuts out a lot of one-off internal UI work, and teams can build their own admin screens or billing reconciliation views in a day or two instead of waiting for engineering time or using spreadsheets. I also value spaces for keeping teams isolated, source control for dev-to-prod promotion, and the MCP server for letting people build apps with AI tools. Self-hosting takes real effort. The basic install was fairly straightforward, but tuning newer features like MCP, the React runtime, and the agent sandbox took more work and needed chart patches, extra secrets, and a Temporal setup. I’d like the Helm chart to work with ArgoCD out of the box, since we currently vendor and patch it, and auto-generated secrets get regenerated on every sync. Clearer upgrade notes between major versions would help too. Source control has had rough edges, including Git sync issues and a fixed Retool committer email that conflicts with our policy; better error logs and a configurable committer email would help. Since my last review, the AI App Builder has been the biggest addition for me - being able to describe what I need and get a working starting point cuts a lot of the setup work out of building an internal tool. I've also leaned more on the range of data source integrations; connecting our existing databases and APIs is straightforward and means less glue code to maintain on our side.
