Proplio is a compliance management software platform for letting agencies in the United Kingdom. It centralises the tracking, management, and documentation of legally required obligations for residential rental properties. The solution supports portfolios of any size and covers statutory requirements such as gas safety, electrical safety, energy performance, fire safety, tenancy licensing and other regulatory duties. The platform employs a three-colour status system that indicates compliance standing at a glance. It allows logging and monitoring of multiple certificate types including gas safety certificates, energy performance certificates, electrical installation condition reports, legionella risk assessments, fire safety documentation, portable appliance testing records and smoke and carbon monoxide alarm records. The system accommodates custom compliance categories for obligations beyond standard requirements. It provides automated email reminders at ninety, sixty, thirty, fourteen and seven day intervals before certificate expiry. It offers secure document storage where certificates can be uploaded against properties and metadata such as reference numbers, issue dates and expiry dates can be recorded. Proplio enables generation of audit-compliant PDF reports that bundle certificates, include a complete timestamped audit trail and provide a unique verification identifier for council inspections, insurance audits or portfolio reviews. Contractor management tools allow storage of preferred service provider details and one-click email functionality with prepopulated property and service information. The platform supports multi-user access for team collaboration and provides landlord compliance sharing through secure read-only links that require no login credentials. The web-based application is accessible through standard internet browsers and features a mobile-responsive design for use on any device. Data storage takes place within United Kingdom and European data centres under encrypted connections. Passwords are securely hashed and all traffic is encrypted to protect sensitive information.
