There is a good balance between having overall flexibility in how different project types are run, tracked, and measured with an overall rigor that helps keep data consistent and usable. Service for the is excellent. We had a fantastic implementation process, and the folks assigned to our implementation team (Peter Cote and Earl Taylor) were absolutely great to work with. They both know the product extremely well, were very responsive to our requests, and did a great job leading us. **What do you dislike about BigTime Projector?** For a software development company that uses Jira to track the development effort, Projector's integration with Jira needs a significant amount of work. The process for getting time into Projector from another system is a bit cumbersome. **What problems is BigTime Projector solving and how is that benefiting you?** We are a consulting and software development firm, and we need the ability to track individual projects with each client. The interface is user-friendly, well laid out, and powerful, making the acquisition of data and management information quick and easy. However, where Projector stands out is at implementation; from the point of pre-sales, the Projector team were honest, open, knowledgeable, and approachable - incredibly easy to work with. However, implementing a Projector in an organisation that was itself a software implementor was eye-opening in all the right ways. We had a tight timescale; no problem. Needed careful budget management; no problem. Out-of-session questions; no problem. Self-help materials - and I had a good idea of the time and effort that has to go into these sorts of things - no problem. Most immediately this is manifested in an invoicing process that used to take the best part of a month to close out, that now takes 3-4 working days. We've been able to build org monitoring, project management and resource management dashboards that allow us to get all of the information we need to run the company more efficiently while spending less time doing so. Our information was in silos before and the team was flying blind. We initially rolled it out to replace our outdated timesheeting. From there we moved on to project management, resource management, forecasting and revenue recognition. As our processes have matured we have found that Projector as a tool has everything that we could possibly need, and more, already baked in. Its strengths are: - For individual users the timesheet and expense claim systems are well designed - Forecasting - Revenue recognition - Resource management - Tracking projects against budgets - Powerful customised report building functionality - Integration with SalesForce - The administration of the system is highly configurable and flexible, but not too complicated to manage **What do you dislike about BigTime Projector?** Projector is relatively easy for end-user, billable staff to use; but it is a powerful tool for project managers, and the power makes the system complex. PMs require a fair amount of training before they become effective in the tool. Projector is in the process of migrating away from a downloadable executable. The migration is largely complete, but the executable is still required for detailed project management and administration of the application. **Recommendations to others considering BigTime Projector:** Projector has no equal when it comes to forecasting and revenue recognition. If monitoring and reporting on the financial performance of projects are important to you, then Projector is the best of breed solution available. **What problems is BigTime Projector solving and how is that benefiting you?** We use the tool for: - Forecasting and revenue recognition - Timesheet logging and time approval - Expense capture and approval - project management - detailed planning and resource management - programme management - reporting, especially on utilisation rates and project budget tracking - tracking project delivery against initial budgets The biggest single benefit is that we now have a tight integration across our sales pipeline, project delivery, forecasting and revenue recognition. Drop downs and field types are supported, but ranges for example are not. We have utilized the built-in Power BI capabilities and extended the capabilities using Power Apps. We have also streamlined execution with Power Automate, ensuring repetitive tasks are done accurately and in almost no time. Many additional problems are solved by Projector PSA. All stages of the engagement life cycle can be managed. Utilization management increases billable time. Invoices are generated accurately and on-time. Because it is so robust it can be a lot to bite off. Projector is easily the most flexible PSA that I've worked with (used the top 3 of 5 in the past) in that you can modify almost anything without doing tons of development like in the competition. Also, being a standalone platform instead of being an integrated/partner solution that sits on SaaS that you have to license first, which doubles the cost annually. **What do you dislike about BigTime Projector?** So much feature functionality has been added over the years that the UI needs to be reimagined. Some of the documentation is dated but still accurate. Once you get into the management portal and projector web, and work in it a lot, it becomes second nature, but the learning curve is pretty steep the first few times though. Invoice report/template editing is cumbersome. Invoice management functions could be more clear, such as outstanding invoices by date range (function of AR, but the data is present in Projector to display) and categorize based on net terms, would be a large help - as visualizing this information can be tough without customization of your financial systems. **What problems is BigTime Projector solving and how is that benefiting you?** I have now been a part of bringing projector to 2 professional services companies, and the reduction in effort for billing/AR, accounting, and pro serve directors has been impossible to quantify. At least 1.5 FTEs a year in labor/effort are saved just through the capabilities to integrate into business applications like Sage or Quickbooks for rev rec and invoice automation alone. ### 12. Engineers provide email support, as well as phone or consulting as needed. QuickBooks and Accounting: High marks for Accounting functions. Time Reporting: Easily adaptable across the organization, time reporting essentials are straightforward and easy to use. Sales: Our representative is very responsive. He is keen to the consulting world and actively seeks to understand any and all challenges we face with product adoption. We understand the roadmap for the product, and are eager to reap the many benefits of the upcoming and future features. **What do you dislike about BigTime Projector?** The Project Management functions are cumbersome or non-existent. Unlike competitors that do a great job at task planning, project scheduling, and collaboration tools with teams and customers, Projector PSA falls short in this area. The web interface is far more modern than the desktop version - although we spend most of our time in the desktop version for administration. I would like to see a full sunset of the desktop version and faster adoption of web based features and functions. The project health, project management and balanced scorecard functions will be key in order to compete with any company seeking a full service product to meet both fiscal and project management needs. Projector simply isn't there yet, but I believe they are headed in this direction. **Recommendations to others considering BigTime Projector:** Run a full analysis complete with business case examples when considering purchasing the product. Include Accounting, Project Managers, and project teams in the review. We had a time-intensive manual process for years; Projector PSA has made this so easy! It checked all the boxes for the major features we were looking for to better track and manage our projects. It was almost overlooked as it didn't have quite the visual polish as the other solutions we were evaluating (more on that below). However, it was the sales experience that kept us moving forward and the demos that convinced us of its power. Most of the first sales call with John was him making sure the solution fit our needs before even proceeding with arranging a demo, which was a very different approach from the other vendors. This great service continued throughout the sales process, demos, implementation, and ongoing support. It did take quite some time to get our finance workflow up and running, but that was due to us having to update our own internal financial processes at the same time. Our senior financial person who was part of the implementation phase says of the experience, "You have been great Rick, and we really appreciate your help and dedication to get us up and running properly. Many items are very nuanced so your patience with our idiosyncrasies (and Canadian tax/multiple currency items) was very appreciated." Rick certainly knows his stuff and he was excellent to work with during our implementation phase. Support has been amazing, too, with prompt and thorough replies to questions. The company as a whole seems invested in providing high-quality customer support and wanting to contribute to the success of its customers. I like that they're moving more and more features from the management portal to their web interface, as it shows they're continuously working to improve their services. The program itself is very deep and well thought out - so far it has been able to do everything we expected it to do (though we have much more to learn). **What do you dislike about BigTime Projector?** Having a management portal and web interface can make it confusing sometimes to know where to go to change a setting. The portal itself looks very dated (and was why we almost overlooked Projector initially), but it works well and is easy enough to navigate once you get used to it. As mentioned, many features are moving to the web version though I expect some administrative functions will need to remain in the portal. I wish the detailed task planning was available in the web interface to make it more accessible to team members and easier to edit (such as drag and drop). This is the main feature that currently lags behind the competition, in my opinion. However, the regular task management in the web interface works very well and we use it for managing less complex projects. **Recommendations to others considering BigTime Projector:** There are a lot of solutions out there, so be sure to do your homework and watch lots of demos. It's a big commitment to roll out a piece of of software that's so crucial to your business. The SalesForce.Com integration is limited - One SFDC opportunity can only create one engagement with one project via the automated connector instead of being able to create one engagement with multiple projects (according to a standard template). Because of this, we chose to not implement the connector and are manually entering opportunity projects in Projector from an automated SFDC report. Projector PSA provides Resource Direct Costs (RDC) based on a daily or hourly rate - while this works perfect for hourly paid resources, this does not work well for a salaried resource who is paid an annual salary on a bi-weekly basis. In other words, if a salaried person works more than or less than 40 hours in a week, the cost of those hours are based on an hourly or daily rate instead of a calculated rate based on the number of hours worked divided into their weekly or annualized compensation. **Recommendations to others considering BigTime Projector:** Take the time to think through and plan out your future state strategy and aspirations of your business. Our company does purchase a lot of small parts and it does not integrate well with Projector. Also, the labor component of the time sheets does not have a connection with our payroll software or our accounting "costs" software (QuickBooks Online). As a result of implementing Projector, we no longer have to chase people to enter their time. Why? First because the interface is so intuitive and easy to use. Second because Projector reminds colleagues if they forget to put in their time. Our revenue recognition relies on time data, so timely entry is key to our ability to have an efficient monthly close. Projector calculates the revenue we can recognize which has also improved our ability to close the month with more accurate and complete data. **What do you dislike about BigTime Projector?** Not much! It is a little cumbersome to work with, especially on the Mac. Sometimes feels like data over-load. **Recommendations to others considering BigTime Projector:** Map out the whole picture before building the database set up. Know how each part affects the whole.
