Ombud was great and sadly we switched to a competitor and its not nearly as user friendly and easy.

Ombud made it easy to upload an RFP and work as a team to complete it. It also acted as a knowledge base for the sales team where we could surface frequently asked questions.

The tool serves its purpose well. Easy enough to navigate between workspaces and see all assignments.

UX is not the best. Sometimes I find it hard to assign questions to others, and find out what are my assignments. Also it's annoying you can't tag people in the comments.

**What do you like best about Ombud?**

Ombud makes writing RFX responses a breeze!  With their import wizard, we can easily build a compliant response document in seconds.  Using the response library allows me to quickly search previous responses that may align to the current question, and, if necessary, quickly adjust the response to fit the current request.  Exporting the documents in standard formats takes the guess work out of creating a polished, ready to send document.

**What do you dislike about Ombud?**

There are a few workflows with the right tray that aren't very streamlined.  When assigning a question or section I wish the options had easier to set defaults for the current document.  For example, use a check-box to 'Remember This Person' or something to quickly find users to assign to.

The lengthy time to respond associated with historical RFX responses.

**What do you like best about Ombud?**

When I was new to the team, Ombud allowed me to retain the information and help answer the Security Questionnaires and RFPs. Not only was it a tool to respond to customer questionnaires and RFPs, it was like a study guide to learn about the company products. It became my go-to knowledge base. The Ombud team always has a quick turnaround when uploading the documents and questions.

**What do you dislike about Ombud?**

Honestly, it is hard to find a dislike or something that is least helpful with Ombud.
If I had to pick one thing, it would be the conditional responses on portals. There are times when there are so many conditional responses, Ombud is unable to pick them up and upload it.

**What problems is Ombud solving and how is that benefiting you?**

There are commonly asked questions that are easy to input with Ombud when adding them to the Reference Documents. It also helps when we can look back and cross-reference a questionnaire/ RFP that we are working on with previous ones.

**What do you like best about Ombud?**

OMBUD provides a very well-judged feature-set that is powerful and intuitive with a very low barrier to adoption.  I can get new sales / presales colleagues ramped within 30 minutes and the crowd-sourced content management means that every time the system is used, value is added.  The customer support is out of this world, too.

**What do you dislike about Ombud?**

One area of opportunity for OMBUD is in multi-language / multi-culture support.  There are adequate and effective workflows to get around this currently, but something more 'native' would be even more advantageous.

**Recommendations to others considering Ombud:**

Invite OMBUD in, let them lead the way and uncover the art of the possible.  Be realistic about what your ROI is based on and who the stakeholders are.

**What problems is Ombud solving and how is that benefiting you?**

We use OMBUD to single-source the completion of RFP and Infosec questionnaires.  Every stakeholder reports a minimum of 50% time saved, with the advantage of being able to surface relevant and up-to-date content.

**What do you like best about Ombud?**

Product is excellent, we utilize it for RFPs, Security Forms and our SOW process.  The ability to manage and reuse responses and content is a game-changer for us.  I reviewed many vendors prior to picking Ombud.  The decision came down to who I felt best about working with.  Ombud seemed to be more customer-oriented.  It played out well for us.  The support and service is class A.  It is like having an external extension to my team.

**What do you dislike about Ombud?**

Not much.  We utilize it to create Statements of Work (SOW)s.  We are stretching and twisting the RFP features to match our SOW workflow.  Hard for me to find fault in this as it is self-inflicted and it has actually increased our SOW throughput.   Ombud is actively working on advancing specific features that will enhance our SOW processes.

**What problems is Ombud solving and how is that benefiting you?**

We are able to reuse curated content for more professional and efficient responses.  Before we were reinventing the wheel in every response with quality dependent on the individual responding each time.  Our consistency and scalability have increase significantly.

**What do you like best about Ombud?**

One of the best parts of Ombud is how easily you can navigate through the tool and how simple it is and of course the canned responses that are stored in there and it can save tons of your time.

**What do you dislike about Ombud?**

As such there is nothing that I don't like about Ombud. Of course, there are few areas of improvement like - an Inbuilt translator that should have the capacity to translate pages between English and other languages.

Multiple teams can work together and make changes simultaneously and can view their progress section wise. All the concerned team working in a workplace is aware of the progress that they are making.

The canned responses that are stored there are of great help and can save a lot of time and effort.  Its reporting tab and can provide you with all kinds of numbers to stay on top of the game. It’s a game-changer tool and every organization should have it who are using RFP/RFP/RFQ.

Ombud eliminates 90% of administrative hassles associated with RFP responses, especially tracking what team members are assigned to tasks and how projects are tracking towards completion. Product support is extremely responsive and friendly--always there to help.

The manual upload process can be slightly confusing, but the product support team does an incredible job of quickly stepping in to either manage the upload directly or assist as needed.

**What do you like best about Ombud?**

The Show Suggestions feature and subsequent search bar that appears feels like magic compared to the way we used to respond to RFPs. If you build your Reference content with good key words and give the machine learning a little bit of time, the questions practically answer themselves. 

Beyond that, the Search bar and Filter tools are helpful for users who are not as familiar with Reference content, as well as for questions that are more specific and warrant a search of past RFPs. One co-worker described it as an internal Google, which I have to agree with!

**What do you dislike about Ombud?**

There are occasionally minor formatting glitches when working in a section or response (mainly bulleting and URLs). It’s not as smooth as working in Microsoft Word, but it seems like Ombud is aware of this and making improvements with each new release. Their Support team is also incredibly responsive.

**What problems is Ombud solving and how is that benefiting you?**

We are saving huge amounts of time with Ombud’s content reuse capabilities. Our content is also more organized and searchable than ever before thanks to tagging. Finally, friction during collaboration with other departments/SMEs is reduced significantly thanks to the Tasks feature at the Question level.

**What do you like best about Ombud?**

Ombud is easy to pick up and use from day one. We were able to increase productivity, quality and efficiency in no time. It changes the way we take our new team members through the on-boarding process, reducing the time spent on training on how to get to the right answer. After short listing three solutions, Ombud blew the competition out of the water with its machine learning features (automated suggestions), importing document service, and the exporting to excel was pure magic. Also very valuable is the customer success team and our regular business reviews where Ombud takes the time to help us maximise the use of the solution as well as present opportunities we did not know about.

**What do you dislike about Ombud?**

Because it's so flexible, it can be daunting if you haven't got a vision or plan of what you want to achieve - like looking at a blank sheet of paper. I personally do not have any dislikes, but there's always room for improvements like any tool. We have multiple languages to manage and would like to see some integration/linking here, and more options in the formatting features like a proper emdash or euros symbol. I would also like to see more visual tracking for navigating where the writer/user is on the workspace. But these are tiny things and we have workarounds, the efficiency gains outweigh any of these niggles.

We are able to increase production, which is in line with the increase in how many projects we receive and are expected to work on. We collaborate more efficiently and with transparency across all the users. We have faster onboarding and this has allowed us to look for different/wider skillsets we may not traditionally been able to hire in the past.

**What do you like best about Ombud?**

Using Ombud, anyone on our go-to-market team is able to respond to questions from prospects and customers faster and with less effort. And because the content in Ombud is curated, the responses are of a higher overall quality. When we receive an RFP or an infosec questionnaire or even a list of ad hoc questions, the first thing you're likely to see in Slack is, "I added it to Ombud." That should give you an idea of how deeply ingrained Ombud is in our daily work, and this is a testament to how easy Ombud is to use and also to their exceptional customer support.

**What do you dislike about Ombud?**

Each question (in Ombud terminology, an entry) has a status:unanswered, in progress, needs review, or complete. This is helpful for seeing how far along you are in responding to an RFP, etc. However, it isn't possible to enforce a workflow, e.g., only the sales manager can mark an entry as complete. Sometimes this results in our having to scan back over a document to ensure that the right pairs of eyes have reviewed each entry. I would classify this as an inconvenience, rather than a dislike, and my understanding is that this feature gap will be closed soon.

**Recommendations to others considering Ombud:**

You will be most successful with Ombud if you devote internal resources to maintaining and growing your reference content, which is the best-in-class responses that Ombud will recommend be reused. The more you invest in building up this library, the greater percentage of questions will be automatically matched to a response, and the happier you'll be that these responses are current and meet your quality standard. I wouldn't think of this as an "Ombud administrator" FTE but rather a combination of product marketing/sales enablement/proposal management, i.e., the resource pays dividends beyond Ombud itself.

**What problems is Ombud solving and how is that benefiting you?**

We use Ombud to respond to RFPs, infosec questionnaires, and other sets of ad hoc questions (e.g., follow-up questions in an RFP process). Prior to using Ombud, everything was done in shared Google docs and sheets or (worse) via email. The time savings we've achieved are incredible: typically, 50% or more of RFPs are filled out immediately upon upload to Ombud. We see similar results for infosec questionnaires. In most cases, we're able to turn around these documents with just a few hours of work, compared to literally days of effort prior to having implemented Ombud.

Two minor items: 
1) The interface can be a little clunky at times, particularly with multiple people working on big RFPs. I agree with another reviewer's statement that it's difficult to visualize answers in the finished product while collaboratively editing. 
2) Export sometimes runs into issues with complex source documents.

**What problems is Ombud solving and how is that benefiting you?**

We are saving a great deal of time on RFP and vendor questionnaires, we can enforce answer consistency, and have started to build ongoing answer integrity checks with the relevant teams. Like any system, it's only as good as your data.

Ombud's ability to help find relevant answers from other RFP's and documents to quickly fill out RFPs, RFIs, Security Questionnaires, or even simple email questions from customers really helps our productivity and accuracy of information.

Many individuals on my team struggle with the interface for entering answers.  It is difficult to visualize the format of the answer once it is output into the final document.  For instance, the environment is able to add content rich datatypes, but the format in ombud does not always carryover in to the final document, whether it is in word, excel, etc...

**Recommendations to others considering Ombud:**

This is a no brainer.  You will drive more efficiency and better quality with your RFx's

**What do you like best about Ombud?**

Easy to use, makes historical content available to search and reuse in new RFP/I's as well as a KB that can be used to quickly search for answers by all registered users. 

I have been using Ombud for almost 6 years and it is a game changer! After extensive evaluation and reviewing their competition it was clear that Ombud is best of breed and all other offerings are about 3-4 years behind them. Response times to RFP's have dropped by almost 40% thanks to the reusability of previous responses and promotion of content to a validated response in a Reference Workspace. I also think its worth mention that the various integrations and configurations (SSO, SFDC etc) are largely self service so there is no going back and forth with their help desk to get things setup and meet your corp standard.

Would like to see more AI rolled in to help with their search algorithm.

**What do you like best about Ombud?**

Ombud takes the two biggest challenges in RFP responses- content access/management and collaboration, and seamlessly brings them together in one platform.  Not only does it make the proposal team's life easier, it also gives time back to sales, pre-sales, and all other collaborators.  As someone who manages proposals, it is an easy sell to get other contributors to use Ombud and it has paid dividends in our response time, effectiveness, and win rate.  Since implementing Ombud, we have received many compliments from prospects and customers, not just on the thoroughness of our proposal responses but our ability to respond to one off queries quickly and with polished content.

**What do you dislike about Ombud?**

There is nothing major that stands out, just minor product requests which Ombud is always very responsive with.  The one thing that could be improved is the comment collaboration functionality.  One of the best things about Ombud is how intuitive it is for most users which means that our adoption rate is high but the comment functionality isn't intuitive and sometimes leads to comments going unnoticed.  Our proposal team is highly aware and sensitive to this issue and has workarounds in place to avoid major problems but it is worth noting.

We initially purchased Ombud to assist with proposal management but it has also improved our customer communications across every part of the sales cycle as well as with knowledge sharing internally.

Granular searching can be a challenge at times; however, this will be changing drastically with Ombud's future updates to its search capabilities.

I would highly recommend looking into Ombud's roadmap to see what they're doing in the next few months.  New feature set and search functionality is truly mind-blowing.

We previously stored reference content in giant Word documents which cause a plethora of headaches.  Since moving to Ombud, all of those problems have disappeared.

Even casual users find the interface intuitive, making the proposal development process efficient and almost pleasant. In addition, the customer service is excellent. Both the product and the service are indispensable for us.

System-wide dashboards leave a lot to be desired, though the library offers some decent query functionality.

**What problems is Ombud solving and how is that benefiting you?**

Collaborating on proposals in Word or Excel was inefficient and sometimes confusing. With Ombud, we communicate more readily, have better version control, and spend more time on strategy than on document management.

The Bid Management features alone, assignments, comment threads, expiry of content, etc., are well worth the cost. Add to that the ability to search for previous content in an intuitive manner, and Ombud Rx becomes a no-brainer. The support team at Ombud is remarkable as well.

It would be nice to have folders in the Workspace library and the search feature currently relies heavily on keywords, though an upcoming release will add AI capabilities.

Our implementation of Ombud Rx has allowed our Bid Team to consolidate knowledge in a single repository, increase the quality of our messaging, and increase throughput to focus on well-qualified opportunities.

Editing documents in Ombud can be painful but, to be fair, it is not intending to compete with traditional documenting editing software.

Helped us drive a structured approach to RFP responses. Ombud dramatically reduces the time to respond to RFX documents thanks to it's content suggestion and curation mechanism. Not only that, but it helps us enforce accuracy and up-to-dateness in responses.

**What do you like best about Ombud?**

By leveraging the database on questions & answers, the tool will propose the best matching answers to your newly uploaded RFP questions.

**What do you dislike about Ombud?**

You still have to review the responses, as it doesn't have full AI to figure out the best matching answer, and your suggested answers are only as good as the data you put in.  So you really need to invest in your answers during first few months, to "feed" the engine.

**What problems is Ombud solving and how is that benefiting you?**

Repetitive answering the same questions that are common across RFP's we receive.  Saves 100's of hours across our Sales Account mgrs, and Solutions Engineers, as well as minimizes need to ping our security/compliance team on every question.
