Before we adopted this tool, I relied entirely on Google Sheets and email to collect expenses from teachers and admin staff, and I constantly ran into messy, unregulated submissions. Last quarter, our entire teaching team submitted professional development expenses for a new campus teaching training program, and multiple instructors mixed up expense types, duplicated entries, or attached receipts to the wrong spreadsheet rows. I spent an entire workday cross-checking every record to fix mistakes, which was extremely time-consuming. After switching to Odoo Expense, all expense submissions are centralized in one dashboard with fixed, campus-aligned categories like classroom supplies, academic travel, and training fees. Every faculty member has to fill out standardized fields and upload corresponding receipts before submitting requests. I no longer need to sort through hundreds of emails or messy spreadsheet tabs. Now I can filter data by staff role, expense category and time period in minutes, generating accurate reports in one click. Moreover, the built-in comment function on each expense entry is incredibly practical. When I had questions about a teacher’s training meal expense last month, I left a note directly on the entry, and the staff replied in real time. All communication is permanently recorded, making our internal audit process smooth and traceable. This tool greatly cuts down my repetitive admin work, letting me focus more on staff scheduling and employee file management. **What do you dislike about Odoo Expense?** The biggest downside of Odoo Expense that repeatedly troubles our team is its clunky, unstable mobile submission experience, which creates frequent reimbursement delays for our on-the-go faculty. Most of our teachers submit expenses after off-campus academic conferences or supply shopping, and they almost exclusively use mobile phones instead of desktop computers. But the mobile version has obvious functional flaws that seriously hinder their daily operations. I encountered a typical problematic case just last month. One of our senior professors attended a three-day higher education seminar out of state and accumulated a batch of transit, meal and registration receipts. He tried to submit all expense records via his mobile phone during his return trip. However, the mobile system does not support bulk receipt uploads, forcing him to upload photos one by one. Some forgot to mark the purchase purpose, some missed partial receipts, and several emails were buried in spam folders.
