**What do you like best about NinjaPipe?**

NinjaPipe packs a lot into one platform. Pipelines, email and SMS outreach, workflow automation, client portals, and invoicing are all in the box, so for a small business it's a real "run your sales from one login" option. Setup was straightforward, the iPhone app actually works, and it connects to Zapier, so basic automations were easy to stand up. As a lifetime deal the value on paper is strong, and the AI features are a nice touch for a tool at this price point.

**What do you dislike about NinjaPipe?**

The API was the sticking point for me. It only exposes contacts, not deals or pipeline data, so I couldn't wire it into my own automation agents the way I needed to. If you plan to drive the CRM programmatically or connect it deeply to other systems, that ceiling shows up fast. I also found that adopting its invoicing and portal features would have meant pulling work away from tools I already rely on, rather than slotting in alongside them.

**What problems is NinjaPipe solving and how is that benefiting you?**

I evaluated it as an all-in-one CRM to consolidate pipeline, outreach, and invoicing for a small business, and as a lighter alternative to HubSpot for a company that didn't want HubSpot's complexity. It does solve the "too many disconnected tools" problem for a lot of teams. In my case I ultimately stayed on HubSpot because of its deeper API, stronger integrations, and better mobile experience, so NinjaPipe didn't end up replacing my stack, but I can see it being a good fit for a team that wants everything in one place and won't need to automate against it heavily.

**What do you like best about NinjaPipe?**

As Master Franchisor of Realty ONE Group Philippines, I needed a CRM that could handle multiple pipelines at once — consumer leads, franchise development prospects, agent recruiting, and international referral partners — without enterprise pricing or a long implementation. NinjaPipe handled all of it with flexible custom fields, tags, and lead sources. A big plus for a franchise model: the ability to spin up separate workspaces for each franchisee office, so every location gets its own clean environment while we maintain structure at the master level. The public API is genuinely usable; we built direct integrations for automated lead imports. Biggest differentiator: founder Dinuka is hands-on and responsive. Operating across US and Philippine time zones, direct access to someone who deeply knows the product beats any tier-1 support desk.

**What do you dislike about NinjaPipe?**

As we've scaled, some real estate–specific workflows (transaction milestones, local credential tracking) have pushed past what a general-purpose CRM covers. It performs best kept lean as a relationship and pipeline engine rather than a full-volume master database.

It gave a new national franchise operation a working CRM from day one — per-office workspaces for franchisees, full pipeline visibility across very different audiences, and automated lead gen feeding straight into actionable follow-up.

**What do you like best about NinjaPipe?**

The one thing that makes Ninjapipe stand out from the rest is its versatility. I picked a small niche at the intersection of two different industries and have struggled to find software that lets both sides of my business thrive. I love Ninjapipe because everything I need lives in one place, and I don’t have to bend over backwards to make it work.

**What do you dislike about NinjaPipe?**

My biggest dislike is honestly how long it took me to find them. I literally went through Mindbody, Zen Planner, brevo, pipedrive, TeamUp, MassageBook, and PaddleCRM before I finally landed here. Other than that, I can’t really say I dislike anything. The software is still growing, and anything I feel like I’m missing is already in the pipeline.

**What problems is NinjaPipe solving and how is that benefiting you?**

It brings all of my client management needs onto one screen, pulling everything together from two different revenue streams. I also have a third revenue stream, and I can collect all of that data inside one piece of software as well. Even my client-facing app can be “managed” just by linking to it from inside the software.

With access to webhooks and automations, I can merge everything I need into one interface. As a neurodivergent user, I REALLY need to have all my ducks in a row to stay on top of things, and this helps me do that. It honestly feels like this software was made just for me!

**What do you like best about NinjaPipe?**

The pipeline board is where I live, so I will start there. Deals sit on a Kanban that I shaped around how we actually sell, not around a template someone else decided was universal. I added my own stages, attached custom fields for the data points that matter to us (source campaign, contract value, decision date), and built separate views for new business versus renewals. Dragging a deal across a stage updates everything attached to it, and spotting where the pipeline is clogging takes one glance at the board instead of a report I have to remember to run.
 
The custom fields deserve a second mention because the flexibility goes further than most tools at this level. I can add sections and fields to contact and deal records freely, reorder them, and build the record layout my team actually reads. When we onboarded a client with an unusual qualification process, I modeled their fields in an afternoon rather than forcing their data into someone else's schema.
 
Databins are the feature I did not know I needed until I set one up. They are inbound endpoints that catch leads from ads, landing pages, and external funnels, then drop them into the CRM already assigned and enriched, ready for the next step. Before this, my landing page leads traveled through a chain of form tool, automation platform, and spreadsheet before a human saw them, and every link in that chain was a place for a lead to silently die. Now the funnel posts to a Databin and the lead appears in the pipeline with an owner and a follow-up task already attached. Setting the first one up took some reading of their documentation, but once the pattern clicked, wiring a new campaign became a fifteen minute job.
 
The unified inbox changed how my team handles conversations. Email, WhatsApp, and SMS all land in one place, threaded against the contact record, so the person answering can see the full history regardless of which channel the client picked that day. Half our prospects reply on WhatsApp to an email we sent, and before NinjaPipe that meant the thread split across two apps and two people. Now the conversation stays whole. Not every channel nuance is perfect, but the core promise holds up in daily use.
 
Automations handle the repetitive layer I used to do by hand:
 
- New lead in a specific pipeline stage triggers a welcome email and a task for the assigned rep
- No activity on a deal for a set number of days flags it and notifies the owner
- A form submission tags the contact, assigns them by territory, and starts a follow-up sequence
- A signed document moves the deal to the next stage automatically
 
None of these is exotic, and that is rather the point. They are the exact chores that quietly eat an hour a day, and the workflow builder is plain enough that I built all of the above without a consultant.
 
Booking pages and forms are solid rather than spectacular, and I mean that positively. Share a booking link, the client picks a slot, it lands on the calendar and on the contact record. The forms feed straight into pipelines. Both do their job without needing a separate Calendly or Typeform subscription, which is exactly what I wanted from them.
 
Ninja DocSign closes the loop at the end of the pipeline. I generate the document, send it for signature, and get notified the moment it comes back signed, with the deal record updated. Before, contracts lived in a separate e-signature tool and someone had to remember to update the CRM afterward. Someone did not always remember.
 
The pace of development is the thing that convinced me to commit rather than treat this as an experiment. The public roadmap is real and moving, updates land at a rate I have rarely seen from a vendor, and support has answered my questions fast enough that I stopped bracing for the usual three-day ticket cycle. Two feature requests I raised showed up in the product within weeks. That responsiveness is worth more to me than any single feature, because it tells me where the product will be in a year.
 
Integrations kept me from having to abandon the tools that survived the consolidation. Native connections cover the essentials I use daily, Gmail, Google Calendar, Slack, and Outlook on the team side, and for everything else the platform plays properly with Zapier, n8n, Pabbly, and Albato, plus webhooks and an API when I want to build the connection myself. I run one n8n workflow that pushes closed deals into our accounting process, and it has not needed attention since the day I built it. A CRM that assumed it would be my only tool would have been a dealbreaker; this one assumes the opposite.
 
Pricing sits well under what the incumbents charge for the equivalent footprint. The entry plan starts at seven dollars a month billed yearly, there is a free tier to explore with no card required, and the features that competitors gate behind enterprise plans (client portals, white-label, automations) are reachable here without a sales call. For a small team the math is not close.

**What do you dislike about NinjaPipe?**

All is working great, New version massively improved everything and roadmap is really rich!

**What problems is NinjaPipe solving and how is that benefiting you?**

The problem underneath everything else was tool sprawl. My client and sales operation ran on a CRM, a form builder, a scheduling tool, an e-signature service, an email campaign tool, and an automation platform gluing them together. Each subscription was small, but together they were a real monthly cost, and worse, they were six places where data lived in slightly different shapes. NinjaPipe absorbed most of that stack. The subscriptions I cancelled paid for it several times over, and the bigger win is that a contact is now one record with their form submissions, bookings, conversations, signed documents, and deal history all attached, instead of six fragments I had to mentally join.
 
Leads used to leak between capture and contact. A form submission would sit in an inbox, an ad lead would sit in a platform export, and the follow-up depended on somebody noticing. The Databin plus automation combination closed that gap. A lead now arrives assigned, tagged, and with the first touch already scheduled, whether it came from a landing page, an ad campaign, or a manual entry. The practical difference is that follow-up speed stopped depending on who happened to be watching which inbox, and prospects get a response while they still remember filling out the form.
 
Multichannel conversations were a coordination problem before they were a technology problem. A client would email, then switch to WhatsApp, then text, and the thread would scatter across whoever answered where. With the unified inbox the conversation stays attached to the contact no matter the channel, so anyone on the team can pick it up with full context. Handoffs between colleagues went from a summary message plus screenshots to simply opening the record.
 
Pipeline visibility used to be a weekly meeting agenda item. Somebody would prepare a status rundown, deals would get discussed from memory, and stalled opportunities surfaced only when someone remembered them. Now the board is the status. Stalled deals flag themselves through the inactivity automation, revenue in each stage is visible without preparation, and the weekly conversation shifted from reconstructing reality to deciding what to do about it.
 
The contract stage used to be where momentum went to die. A verbal yes would wait days for a document to be drafted in one tool, sent through another, and chased manually. With DocSign inside the same platform, the document goes out minutes after the yes, the signature notification arrives in real time, and the automation moves the deal forward without anyone touching it. The gap between agreement and signed paper shrank from a coordination task to a background process.
 
Quoting and invoicing lived outside the sales process before, and the seam showed. A deal would close in the CRM, then someone would recreate the same client and the same line items in a separate invoicing tool, and any discrepancy between the two systems surfaced weeks later as an awkward email. With quotes and invoices generated from the deal record itself, the numbers agreed on during the sale are the numbers on the invoice, and the duplicate data entry is gone. It is an unglamorous improvement that removed a recurring source of small, embarrassing errors.
 
Working away from the desk stopped being a degraded experience. The mobile app carries enough of the platform that I can check the pipeline, answer an inbox thread, or log a call outcome from wherever I am, and the field-oriented features suggest the vendor takes this seriously rather than treating mobile as a checkbox. For anyone whose sales work does not happen entirely at a keyboard, that matters more than it sounds. The before-state was returning to the office with a pocket full of mental notes and updating records from memory, which is a polite way of saying half of it never got recorded.
 
And finally, the client-facing layer solved a problem I had stopped trying to solve: giving clients visibility without giving them my inbox. The portal lets a client see their own documents, invoices, and shared materials in one branded place. The status update emails I used to write on request have largely disappeared, because the answer to most of those questions is now something the client can see for themselves.

​What stands out most about NinjaPipe is how powerful, fast, and professional it feels right out of the box. ​Having used both HubSpot and GoHighLevel, NinjaPipe’s automation engine is noticeably more robust and intuitive. Managing data through Databins is seamless and completely eliminates my reliance on tools like Zapier. ​The UI/UX is exceptionally clean and responsive. Unlike GoHighLevel, which can feel bloated with popups, forced AI features, and aggressive affiliate marketing, NinjaPipe offers a refined experience that elevates your client portals. Onboarding was effortless, and the performance-to-cost ratio completely beats out overpriced enterprise CRMs. ​Lastly, a huge differentiator for me is being able to use its full visual designer for 1-to-1 emails sent via connected Google Workspace accounts. Designing custom, beautifully branded invoice templates directly in my primary account is something no other CRM seems to allow for non-marketing sends.

**What do you dislike about NinjaPipe?**

​1. Lack of Dedicated Email Infrastructure (SPF/DKIM): Because sending relies on direct Google Workspace or Outlook connections rather than dedicated SMTP or native DNS authentication (SPF, DKIM, DMARC), it’s not suitable for high-volume email marketing. Without true SPF/DKIM configuration, you can't scale outreach without risking your primary domain reputation. ​2. Bloated Email HTML & Lack of Mobile Stacking: While the email editor allows branding, the output code relies on deeply nested legacy tables (Table > Table body > Table row > Table cell > nested Table) instead of clean, modern div blocks or sections. Additionally, it lacks responsive column stacking for mobile viewports. ​3. Limited Payment Gateway Options: The payment processing capabilities feel unfinished. The current Stripe integration isn't very intuitive and frequently forces you back into the external Stripe dashboard for routine management. Adding more native payment processors and deepening the UI would be a major upgrade. ​4. Automation intergrations The workflow and automation engine would benefit greatly from deeper marketing integrations specifically native server-side conversion tracking for GA4, Meta Ads, and Google Ads etc.

​Before NinjaPipe, managing client lists, lead ingestion, and routine invoicing required juggling multiple platforms and relying on external middleware like Zapier. NinjaPipe solved this tool sprawl by offering robust, native automations and Databins that handle data flow seamlessly out of the box. ​A unique problem it solved for me is transactional branding: unlike most platforms that lock design editors behind mass marketing tools, NinjaPipe lets me fully design branded invoice templates that send directly through my connected Google Workspace account. ​The ultimate benefit is time saved and peace of mind. Setup was quick, the interface is completely friction-free compared to bloated alternatives, and my business operations look far more professional to my clients

I've been impressed with NinjaPipe's structure and overall progress since my initial purchase. It's become a great CRM hub for me and my clients to utilize, and I love the ability to integrate with other tools. The openness of the API connectivity with GPT and other tools is fantastic. NinjaPipe's support is far better than what I experienced with Go High Level. The guided setup was very nice and helped me check things off the list.

I find the guided setup sometimes unnecessary, and I feel there is a learning curve on certain things that NinjaPipe does differently from other CRMs and views.

**What do you like best about NinjaPipe?**

It's ease of use. It's very easy to get started, which is a huge plus, IMO. The pricing was well within my budget. Support has been quick to answer.

**What do you dislike about NinjaPipe?**

Integrations. I have had an extremely hard time getting it to integrate with Zapier. I switched to Make, to see if that would be easier, but it doesn't integrate with Make. NinjaPipe needs to have more integration and those integrations need to be easier to use.

**What problems is NinjaPipe solving and how is that benefiting you?**

I had tried several CRMs before NinjaPipe, and even went back to a spreadsheet bc I couldn't find anything that worked for me. Since I started using NinjaPipe, I have been able to keep my projects organized and see what needs to be done and when.

I like how it brings every piece of your client management and sales pipeline together in one clean, user-friendly platform. The dashboard is refreshingly well-organized; you get a clear overview of your clients, deals, tasks, invoices, and products without drowning in tabs or menus. Automations are a highlight—building out workflows for emails, SMS, WhatsApp messages, appointment setting, or even pipeline moves is intuitive, and integration with tools like Zapier makes connecting to your other apps a breeze.

**What do you dislike about NinjaPipe?**

Email tracking isn’t fully fleshed out yet—I’d love to see better records of sent and received messages directly within the CRM. The app occasionally requires a little exploration to find specific details (like communication logs), but updates are frequent and the support team is prompt and helpful whenever you hit a snag.

**What problems is NinjaPipe solving and how is that benefiting you?**

Ninjapipe is tackling the problem of Fragmented, repetitive, and time-consuming client management and sales ops. Instead of flipping between separate tools for contacts, tasks, quotes, invoicing, and automations, I now have everything in one place. That means less admin, more organization, and faster follow-up throughout the sales process.
